The Office Administrative Assistant plays a crucial role in ensuring the smooth and efficient operation of our office environment. You will provide administrative support to the CEO and Head of Airline Operations, assist in coordinating office activities, and facilitate communication both internally and externally. This position requires excellent organizational skills, attention to detail, and the ability to multitask effectively.
Responsibilities
• Administrative Support: Provide administrative assistance to the CEO and Head of Airline Operations, including but not limited to managing correspondence, handling phone calls, and organizing meetings.
• Confidentiality: Manages sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company.
• Data Management: Maintain and update databases, spreadsheets, and other records as needed. Ensure data accuracy and confidentiality.
• Office Organization: Manage office supplies, equipment, and facilities. Keep the office environment tidy and organized for optimal efficiency.
• Calendar Management: Assist in scheduling appointments, meetings, and conferences. Coordinate arrangements and logistics as necessary, and liaise with other assistants to ensure calendar integrity.
• Document Preparation: Draft, edit, and format documents, presentations, and reports. Proofread materials for accuracy and completeness.
• Communication: Serve as a primary point of contact for inquiries related to the CEO and Head of Airline Operations.. Handle incoming and outgoing correspondence professionally and promptly.
• Travel Coordination: Arrange travel itineraries, accommodation, and transportation for the CEO and Head of Airline Operations, as requested. Assist Employee Travel with hotel arrangements for visiting staff at the office.
• Event Coordination: Assist in planning and organizing company events, conferences, and workshops. Coordinate logistics and support event execution.
• Financial Administration: Assist with basic financial tasks such as expense tracking, invoice processing, and budget monitoring.
• Team Collaboration: Collaborate with colleagues and management to support office-wide initiatives and projects.
Qualifications
• Proven experience as an administrative assistant or in a similar role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), iOS, macOS, Zoom, Teams and other office software.
• Strong organizational and time-management skills.
• Excellent communication and interpersonal abilities.
• Attention to detail and accuracy in work.
• Ability to handle confidential information with discretion.
• Flexibility and adaptability to changing priorities and tasks.
• High school diploma; additional qualifications in Office Administration are a plus.

Crewmembers are active in their systems when returning to work Update the base Offline List monthly to reflect current Leaves of Absence and ensure proper Crewmember bid ability.
