In this role, you will responsible for working with internal... and external contacts to plan and execute a wide range of event types attended by ALG Vacations team members, travel advisor distributors and industry suppliers. You will ensure team members in attendance have the support they need and are fully prepared for the event, in alignment with leadership’s vision. You will take ownership of all event project needs, prioritize work, and meet deadlines with little supervision. You will play a key role in the outcome of our events and overall attendee experience. Events are a major contributor to the development and maintenance of relationships with our key travel advisors and supplier partners.
A successful Event Coordinator will:
• Own and complete all assigned tasks from start to finish with little supervision post full training period
• Learn and utilize Cvent Event Management Platform on a daily basis to build event sites, create and send event invitations, manage RSVPs, and run reports
• Coordinate event logistics, including registration and attendee tracking, presentations, event materials support and pre/post-event evaluations
• Coordinate and monitor event timelines and ensure deadlines are met
• Track event finances including check requests, invoicing, and reporting and stay within established budget
• Utilize Cvent budget tool to track monthly budget, forecasting and actual spend tracking by event for finance months end and report to Sr. Manager
• Understand how venue contracting works
• Negotiate and contract venues for all event logistics including room layouts, audio visual equipment, catering, signage, and décor
• Work with all necessary departments both internally and externally to align all event execution needs
• Execute all logistical aspects of the event, alignment with Marketing, Supplier Engagement, Team Member Travel and other internal ALGV departments
• Finalize necessary materials/giveaways and request items using the established processes
• Provide support of annual learning conference (Ascend), Industry Events, Fams, ALGV Elite Retreats, local market events/supplier and virtual event platforms for all registration logistics, air travel and transportation as needed
• Understand the functionality of Microsoft Teams, SharePoint and Salesforce preferred
• Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards and all necessary event materials
• Develop and maintain positive professional relationships with vendors, as well as internal and external clients through excellent written and verbal communications
• Participate in monthly team meetings to propose new ideas to improve the event planning and implementation process
• Understand our corporate methodology and integrate tools and concepts into daily work
• Possess a high level of ownership, accountability, and initiative
• Work well in a team environment to collaborate and problem solve as a team.

A successful Event Coordinator will have:
• Bachelor’s Degree (BA) from four-year college or university; or two or more years related experience and/or training; or equivalent combination of education and experience.
• Ability to manage and accomplish multiple projects independently in a fast-paced team environment with minimal supervision
• Coordinate multiple projects and/or tasks with attention to detail and high level of accuracy
• Ability to adapt to a busy and frequently changing environment.
• Excellent communication skills, including writing, proof reading skills, and speaking
• Exceptional interpersonal skills both in person and by phone, with high degree of professionalism
• Strong organizational, follow-through and time management skills
• Fantastic customer service skills and work ethic
• Ability to quickly solve problems using creative solutions
• High level of ownership, accountability, and initiative
• Ability to travel (3 - 5 trips per year)
• Previous event planning experience is a plus but not required.

The Wedding & Leisure Group Sales Specialist is focused on new incoming group leads and plays an important role in qualifying new groups and guiding customers through the group options ALG Vacations offers to allow for the highest possible sales conversion.
As the frontline of Consumer Direct Group Sales, you will be dedicated to providing best-in-class sales and customer service on all group opportunities in a fast-paced, fun, and supportive environment.
Best of all, no cold-calling, only inbound calls and emails from potential customer and outbound calls to existing customers! Additionally, there are great career growth opportunities to move into our Wedding & Event Concierge team or into specialized positions within our Group Operations and Service teams.
A successful Wedding & Leisure Group Sales Specialist will :
• Serve as the primary point-of-contact to answer incoming calls and emails via the Group Departments communication channels for all ALG Vacations brands *(Apple Vacations, Weddings by Funjet, Cheap Caribbean, BeachBound, and Southwest Vacations).*
• Recommend new or different group solutions to meet the needs of each customer including offering new hotels, destinations, or booking incentives
• Enter, manage, and prioritize new leads through CRM
• Work with customers to develop appropriate itineraries to satisfy their group needs
• Work with hotels to solicit and secure group rates as needed
• Respond to customers for group vacations on a timely basis
• Present quote information (written and verbal) to customer in a professional manner
• Meet goals and expectations as established by leadership
• Build customer loyalty and maintain strong relationships with customers and suppliers
• Attend training sessions to build or maintain product knowledge, including processes and terms and conditions
• Provide assistance and backup to team members within the Groups Department
• Take pride and strive for excellence in responding same day to all communications and phone calls
• Consistently provide feedback and ideas to further streamline our process
• Set a great example by being a top performer and consistently receiving positive marketplace feedback by providing high-level customer service
• Align closely with teammates to problem solve and support each others workload

Requirements :
• Must possess excellent interpersonal skills and the ability to maintain strong relationships both internally and externally
• Good time management, multi-tasking, and organizational skills
• Strong understanding of the groups workflow process
• Proficient in both Microsoft Software including, Outlook, Excel, PowerPoint, Word, and Teams
• Preferred but not required experience using Salesforce.com & DocuSign
• Ability to work collaboratively with colleagues and staff to contribute to results driven and team oriented environment
• Ability to work under pressure and meet deadlines
• Ability to meet and / or exceed established sales targets
• Strong ability to efficiently navigate through various computer screens and programs

Grow your career as a B2B Service Specialist within ALG Vacations, one of our 14 industry-leading brands. In this role, you will focus on supporting Travel Agents and Consumers on multiple vacation brands. This role is responsible for exceeding Travel Agents/Consumer expectations by providing an efficient, quality call experience. A successful team member will support all contacts via multiple channels and will meet and/or exceed specific quality, service and sales metrics. Specialists are the voice of the customer by providing feedback to improve processes and gain Travel Agent and Consumer loyalty. **
This position will support the closing shift:**
12:30pm EST - 9:00pm EST / 1:00pm EST - 9:30pm EST
There is (1) weekend day required (Saturday or Sunday); however, there will be one day given off during the week. **
A successful B2B Service Specialist will:**
• Provide support through complex modifications to previously booked reservations
• Communicate and uphold policies pertaining to fulfillment of Travel Agent/Consumer expectations
• Focus on service and sales opportunities to respond to requests, increase vacation value by offering options
• Utilize multiple systems and provide education and support to Travel Agents on VAX systems
• Focus on problem resolution with attention to detail and documentation to decrease errors and maintain profitability
• Resolve technical errors independently
• Report system and product disruptions to service
• Act as the voice of the customer and provide feedback for process improvements
• Ability to navigate multiple systems including MS Office (Excel/Word and Outlook), internet, and proprietary systems
• Ability to quickly and accurately comprehend numbers by adding, subtracting, multiplying and dividing
• Communicate with others via voice, email and chat clearly and concisely
A successful B2B Service Specialist will have:
• High School Diploma
• BS/BA or equivalent experience preferred
• 1-3 years customer service and computer proficiency
• 3-5 years travel experience a plus along with complex problem resolution
• Ability to cross train to multiple brands and being multi-functional to other levels within the contact center
