The Leadership Division of the Aspen Institute builds off its 70-year history of developing leaders across generations and place to become more effective, values-based leaders. Today, the Leadership Division supports the lifelong development of leaders through its (1) signature seminar offerings, (2) the Aspen Global Leadership Network (AGLN) and (3) Weave: The Social Fabric Project.
About This Role
The Leadership Division’s marketing and communications team is seeking an intern for a 3-month internship helping with media production, design, and storytelling. Acting as an internal agency for our leadership programs, the Marketing and Communications team produces a wide range of multimedia products to help bring the concept of values-based leadership alive. The intern will be a critical part in our content production and promotion efforts.
Responsibilities Include
• Creating multimedia content in support of our leadership programs including blog posts, social media graphics, video clips, and audiograms
• Supporting production of the Aspen Global Leadership Network’s LIMINAL podcast including research, booking, and transcript management
• Assisting with the production of email newsletters, event promotions pages, and virtual event logistics, and virtual event post-production
• Assisting with social media editorial for Leadership Division and its programs including the Aspen Global Leadership Network, Executive Seminars, and Weave: the Social Fabric Project by drafting content for Instagram, Twitter, Facebook, and LinkedIn
• Updating websites and coordinating with program teams for content
• Assist with social and digital analytics reports
Job Requirements
• Current or recent college/graduate student or other professional
• Experience with multimedia production
• Proficient in Adobe multimedia tools, Canva, or other design software
• Strong organizational skills and attention to detail

The Aspen Latinos & Society Program (Aspen Latinos) is looking for a Senior Communications Manager to take our work to the next level by developing and executing strategic communications initiatives across our program areas and equipping staff at all levels to be effective communicators. The Senior Communications Manager will be able to manage communications strategy across the program and independently create content. This is a new role on a growing team – so there is a lot of room to run and create new things.
In collaboration with Aspen Latinos staff and partners, the Senior Communications Manager will develop a strategy and lead a variety of efforts to amplify our work and engage in public dialogue — all with the goal of building and sustaining urgency for systems change in inclusive economic growth through business and entrepreneurship support, digital inclusion, and leadership development opportunities for Latinos and other underserved communities in the US. Strategies include digital communications efforts, media placement, editorial product development, publication launches, event promotion, communications channels for our own network of program partners, participants and funders, and creative ideas we haven’t yet considered.
Location: Washington, D.C or New York City. Current Aspen Institute policies require employees to work from the office a minimum of 40% of their working hours.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Strategy – Work with the program team and the Aspen Institute Communications Department to develop and implement a program communication strategy, including creating a scope and objectives to build awareness and support for the initiative among a wide variety of stakeholders. Provide thought leadership to help the program team frame issues and communicate more effectively.
• Narrative and Writing – Work with the program team to translate a variety of research and other material into clear, compelling content such as blogs, fact sheets, newsletters, press releases, and speeches. Manage and oversee branding identity, messaging, and narrative for the program, and oversee final production, publication, and promotion of content.

The Aspen Institute Energy and Environment Program (EEP) explores significant challenges with diverse thinkers and doers to make a more prosperous, equitable, and sustainable society for all. We address critical energy, environmental, and climate change issues through non-partisan, non-ideological convening, with the specific intent of bringing together diverse stakeholders to improve the process and progress of policy-level dialogue. This enables EEP to sit at a critical intersection in the conversation and bring together diverse groups of expert stakeholders. In addition to energy and environmental policy, which the program has been addressing for several decades, EEP is now actively and purposefully engaging in climate change policy – mitigating the effects of climate change, adapting to the inevitable impacts of climate change, and the international cooperation needed to achieve these goals.
This Is Planet Ed is an initiative of the Energy and Environment Program that seeks to unlock the power of education as a force for climate action, solutions, and environmental justice. In accordance with our Reimagining Work policy, the Program Coordinator should be willing to be in-person with colleagues a minimum of 40% of the time while having the flexibility to work remotely for the balance. In-person consists of meaningful connections with colleagues in an office, traveling to a different office or location to meet fellow staff members, at an Aspen event, at a meeting outside the office or other opportunities to meet in person with teammates and colleagues.

CORE FUNCTION:
The Program Coordinator will work directly with EEP Assistant Director for Climate & Environment, EEP’s Senior Fellow, This is Planet Ed, as well as other senior program staff and external vendors to support the program’s various projects and events by providing event planning and logistics, high touch correspondence with external stakeholders, data maintenance, website management, project finances, materials development and distribution and related activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Program Coordinator is primarily tasked with leading all administrative and logistical details associated with This is Planet Ed’s various work streams including Early Years Climate Action, K12 Climate Action, Higher Education Climate Action, and Climate Media for Kids.
• Convening and Meeting Logistics [45%] – Support project lead in coordinating convening logistics and contact with participants to ensure efficient implementation, including but not limited to:
• all phases of meeting planning and coordination,
• preparing invitations and thank you letters, tracking rsvp’s, preparing meeting materials, and helping with meeting logistics (e.g., arranging for catering, lodging and travel)
• contracting and supervision of vendors and logistics providers as necessary for project-specific work;
• primary responsibility for assuring highly detailed quality control over all program correspondence and conference materials, including proofreading.
• Administrative and General Team Support [20%] –The Program Coordinator will provide assistance for the Assistant Director and Senior Fellow which includes, but is not limited to:
• Scheduling conference calls
• Producing and distributing meeting correspondence memos (i.e. minutes)
• Assisting in the preparation of regularly scheduled reports
• Organizing travel arrangements (i.e. airfare and lodging)
• Copy-editing materials (i.e. presentations, reports, blogs)
• Information Systems Management [10%] - Assume primary responsibility for the management and maintenance of program information systems, including but not limited to:
• computerized resources, lists of participants and other contacts, administrative files, subject files, and online resources;
• communications activities, including drafting letters, maintaining website, disseminating publications, responding to inquiries, proofing copy, setting up exhibits at conferences etc.;
• maintaining master calendar for program.
• Communications Support [10%] - Assume primary responsibility for drafting and developing communications materials, including but not limited to:
• social media management and posts (linkedin, twitter, and instagram);
• monthly newsletters on the work of This Is Planet Ed; and
• blogs for the This Is Planet Ed website.
• Administrative and Financial Management [15%] - Oversees administrative and financial functions, including but not limited to:
• processing requests for payment, including payments through Concur; and
• managing and tracking invoices for the program.
PRINCIPAL INTERACTIONS:
• EEP team members, including Assistant Directors, Senior Fellow, and Program Managers
• High-profile participants from government, business, academia and civil society
• Aspen Institute communications and office services teams
KNOWLEDGE, EDUCATION, AND EXPERIENCE:
• Bachelor’s degree with at least 1 year of experience in a professional environment, preferably non-profit
• Event management experience required

The Program Coordinator will work directly with EEP Assistant Director for Climate & Environment, EEP’s Senior Fellow, This is Planet Ed, as well as other senior program staff and external vendors to support the program’s various projects and events by providing event planning and logistics, high touch correspondence with external stakeholders, data maintenance, website management, project finances, materials development and distribution and related activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Program Coordinator is primarily tasked with leading all administrative and logistical details associated with This is Planet Ed’s various work streams including Early Years Climate Action, K12 Climate Action, Higher Education Climate Action, and Climate Media for Kids.
• Convening and Meeting Logistics [45%] – Support project lead in coordinating convening logistics and contact with participants to ensure efficient implementation, including but not limited to:
• all phases of meeting planning and coordination,
• preparing invitations and thank you letters, tracking rsvp’s, preparing meeting materials, and helping with meeting logistics (e.g., arranging for catering, lodging and travel)
• contracting and supervision of vendors and logistics providers as necessary for project-specific work;
• primary responsibility for assuring highly detailed quality control over all program correspondence and conference materials, including proofreading.
• Administrative and General Team Support [20%] –The Program Coordinator will provide assistance for the Assistant Director and Senior Fellow which includes, but is not limited to:
• Scheduling conference calls
• Producing and distributing meeting correspondence memos (i.e. minutes)
• Assisting in the preparation of regularly scheduled reports
• Organizing travel arrangements (i.e. airfare and lodging)
• Copy-editing materials (i.e. presentations, reports, blogs)
• Information Systems Management [10%] - Assume primary responsibility for the management and maintenance of program information systems, including but not limited to:
• computerized resources, lists of participants and other contacts, administrative files, subject files, and online resources;
• communications activities, including drafting letters, maintaining website, disseminating publications, responding to inquiries, proofing copy, setting up exhibits at conferences etc.;
• maintaining master calendar for program.
• Communications Support [10%] - Assume primary responsibility for drafting and developing communications materials, including but not limited to:
• social media management and posts (linkedin, twitter, and instagram);
• monthly newsletters on the work of This Is Planet Ed; and
• blogs for the This Is Planet Ed website.
• Administrative and Financial Management [15%] - Oversees administrative and financial functions, including but not limited to:
• processing requests for payment, including payments through Concur; and
• managing and tracking invoices for the program.
PRINCIPAL INTERACTIONS:
• EEP team members, including Assistant Directors, Senior Fellow, and Program Managers
• High-profile participants from government, business, academia and civil society

KNOWLEDGE, EDUCATION, AND EXPERIENCE:
• Bachelor’s degree with at least 1 year of experience in a professional environment, preferably non-profit
• Event management experience required

Basic Function:
The Associate Director of Strategic Engagement and Development supports the fundraising capabilities of the Leadership Division during a rapid period of growth and momentum. This position is responsible for supporting the donor development process and leading a lean development team that serves all programs of and across the Leadership Division. In particular, the position has a focus on providing direct support to the Division’s EVP fundraising efforts. Strategic Advisory and Donor-Centric Fundraising Support
• Maintain a client-services mindset and relationship-building approach to collaboration with the Leadership Division and its programs.
• Serve as the key resource and point of contact for development activities within Weave: The Social Fabric Project, Executive and Custom Leadership Seminars, and cross-cutting leadership division initiatives.
• Collaborate closely with the AGLN Development Director, identifying opportunities for collaboration, supporting special initiatives, and allocating Development Associate capacity towards AGLN fundraising deliverables.
• Interface with Weave and Seminars program directors, supporting fundraising strategies, and capacity-building for independent fundraising activities and strategy execution.
• Work with the Division’s Marketing and Communications team to develop powerful fundraising narratives and supporting material.
Fundraising Processes Oversight and Management
• Coordinate/author proposals to both individuals and organizations arising from Division fundraising efforts, including planning, strategy, writing, personalized follow-up, and stewardship.
• Ensure coordination among Division programs with regards to donor outreach and engagement.
• Closely partner with Aspen Institute Office of Institutional Advancement to further cross-program relationship management and best processes and practices for fundraising and gift management at the Institute.
• Work with the Institute’s financial teams to accurately track incoming and received contributions and revenue pipeline for up-to-date financial planning.
• Manage the Development Associate and temporary support staff.
• Oversee the day-to-day operations of the Development Office, including annual budgeting and administrative needs.
Required Knowledge, Education and Experience:
• Have spent at least five years in a Development or related role. Senior-level experience is strongly preferred.
• Experience developing and running major fundraising campaigns to secure 6 and 7-figure gifts. While it is not necessary to have sourced gifts without the assistance of colleagues previously, there is an expectation that the Associate Director will do so in this role.
• Strong interest in the work and mission of the Aspen Institute and the ability to represent the organization externally.

Department Description: The Accounting & Treasury Unit of the Office of Financial Operations (OFO) is responsible for all transactional processes of the Institute, which includes Accounts Payable, Accounts Receivable, Payroll and general ledger oversight. The department completes the annual audit process, ensures compliance with all financial regulations, and provides financial information to internal staff, senior management, Board of Directors, and external parties.
Basic Function: The Payroll Manager manages a Payroll Assistant and reports to the Director of Accounting & Treasury Unit. The Payroll Manager is responsible for overseeing the daily operations of payroll including processing bi-weekly payroll, ensuring timecards are completed, and managing the calculation of employee retirement plan contributions for all employees of the Institute.

• Provide reporting necessary to support finance and organizational needs including financial statements, 403(b) audits and the preparation of the Form 990.
• Proactively keep the Director and VP, Finance informed of the status of day-to-day activities and issues as they arise.
• Serve as first point of contact for employees in matters of time, attendance and payroll.
• Oversight of sales tax filings in all required states.
• Develop effective working relationships with other departments including accounting, financial reporting, benefits, human resources, compliance, and legal.
Knowledge, Education, and Experience:
• At least eight years of payroll experience required.
• Bachelor’s degree in Accounting or Business Administration, or equivalent combination of education and work experience required.
• Demonstrated attention to detail in performance of tasks, with ability to identify errors or missing information prior to processing of invoice or expense report.

Department Description: The Accounting & Treasury Unit of the Office of Financial Operations (OFO) is responsible for all transactional processes of the Institute, which includes Accounts Payable, Accounts Receivable, Payroll and general ledger oversight. The department completes the annual audit process, ensures compliance with all financial regulations, and provides financial information to internal staff, senior management, Board of Directors, and external parties.
Basic Function: The Payroll Manager manages a Payroll Assistant and reports to the Director of Accounting & Treasury Unit. The Payroll Manager is responsible for overseeing the daily operations of payroll including processing bi-weekly payroll, ensuring timecards are completed, and managing the calculation of employee retirement plan contributions for all employees of the Institute.
Essential Duties
Essential responsibilities include, but are not limited to:
• Domestic Payroll
• Review all pay components for completeness and accuracy including:
• Gross pay
• Overtime
• Benefit withholdings
• Payroll taxes
• Wage garnishments
• Commuting/parking reimbursements
• Severance and special payments
• New hires and terminations
• 403(b) and 457(b) deferrals and contributions
• Employee leave payments
• Ensure 1096 and W-2’s and state reports are filed timely and accurately.
• Ensure organization is in compliance with wage and hour laws.
• Monitor the integration of UKG to NetSuite to ensure it is functioning properly.
• Keep abreast of changes to regulations affecting payroll and payroll tax administration.
• Staff Management
• Hire and train qualified payroll staff.
• Supervise payroll staff including reviewing work for accuracy and efficiency.
• Coach staff and promote their development by supplying opportunities to improve their skills.
• Other Responsibilities
• Provide reporting necessary to support finance and organizational needs including financial statements, 403(b) audits and the preparation of the Form 990.
• Proactively keep the Director and VP, Finance informed of the status of day-to-day activities and issues as they arise.
• Serve as first point of contact for employees in matters of time, attendance and payroll.
• Oversight of sales tax filings in all required states.
• Develop effective working relationships with other departments including accounting, financial reporting, benefits, human resources, compliance, and legal.
Knowledge, Education, and Experience:
• At least eight years of payroll experience required.
• Bachelor’s degree in Accounting or Business Administration, or equivalent combination of education and work experience required.
• Demonstrated attention to detail in performance of tasks, with ability to identify errors or missing information prior to processing of invoice or expense report.

The Aspen Institute Energy and Environment Program (EEP) explores significant challenges with diverse thinkers and doers to make a more prosperous, equitable, and sustainable society for all. We address critical energy, environmental, and climate change issues through non-partisan, non-ideological convening, with the specific intent of bringing together diverse stakeholders to improve the process and progress of policy-level dialogue. This enables EEP to sit at a critical intersection in the conversation and bring together diverse groups of expert stakeholders. In addition to energy and environmental policy, which the program has been addressing for several decades, EEP is now actively and purposefully engaging in climate change policy – mitigating the effects of climate change, adapting to the inevitable impacts of climate change, and the international cooperation needed to achieve these goals.

The interns will support the senior Energy & Environment team members in planning high quality in-person and virtual events, developing high-quality content across our channels, researching substance, and doing key administrative activities to help bring important climate solutions to decision-makers.
Candidates should specify in their cover letter of one or several of the areas of work we do if they have a preference or several preferences:
- Executive Director's office – working on overall management of Aspen’s climate work and management of program.
- Environment & Climate – focus on water, forests, agriculture, and food.
- Shipping decarbonization – reducing emissions in the marine shipping sector.
- Future Leaders – working with our cohort of 18-30 year old future leaders.
- Communications – working with social media and press.
- Development – working on raising funding to support our programming.
JOB REQUIREMENTS:
· Current or recent college/graduate student or other professional;
· Experience or interest in learning and communicating about issues related to climate change.
· Strong organizational skills and attention to detail;
· Excellent writing, editing, and proofreading skills;
