What You'll Do:

As Accounting Supervisor & Relationship Manager, you'll:
• Set up services for new clients: When a new client signs up, you'll talk with them and review their books in order to understand their needs. Then, you'll propose a scope of services that would be most suitable for them (the sales team will help present this to the client). Once the client confirms the proposed scope, it is your job to come up with a detailed plan regarding how we will implement those services. A set of international bookkeepers will be assigned to each client. You will help them get started on the services for each new client, while coordinating communication between all people involved. Throughout this process, your goal is to build a personal relationship with the client, and to manage their expectations effectively.
• Supervise services for a portfolio of clients: You will supervise an international team of bookkeepers to ensure each client's needs are met on an ongoing basis. You may be called on to help the bookkeepers with any requests that go beyond their abilities.
• Manage communication with clients: For some clients, you will serve as the primary point of contact, even after the initial setup phase is over. In these cases, the international bookkeeping team will still handle all of the bookkeeping work. However, you will handle some of the communication with the client. Sometimes, this is as simple as answering a few questions here and there, and forwarding a few monthly reports. However, if a client does not have any in-house help, you may help fill gaps for them.
• Additionally, you may occasionally be asked to help with related work in other areas of the business. We're a fast-growing startup, so from time to time we ask everyone to help with projects beyond their normal range of responsibilities. This could be anything from researching software options to developing a customer service training program for our front-line bookkeeping staff.

We're Looking for Someone Who Is:
• Experienced. We need an accountant who has handled the accounting for multiple different small businesses and/or non-profits (either working within the organization or in an accounting/bookkeeping firm). The ideal candidate has had titles like: CFO, VP of Finance, Director of Accounting, Finance Manager, Controller, Full Charge Bookkeeper, Senior Accountant, etc. Management experience is very valuable for this role. However, candidates must also have experience working directly in QuickBooks (not just supervising someone who does).
• Knowledgeable. You must have an excellent understanding of accounting & bookkeeping best practices. The ideal candidate has a degree in accounting or a closely related field such as finance, business or economics, though this isn't strictly required. Being a CPA is a plus, but not required. Being a ProAdvisor is also a plus, but not required.
• Highly organized. This role is a high-speed juggling act. You need to juggle multiple clients with different services and coordinate the work of a diverse team of bookkeepers. This requires exceptional organizational, time management, and project management skills.
• Great at building strong, personal relationships. You are the primary contact for a set of clients. It is important that you establish a personal rapport with the clients. More than just a bookkeeper, the goal in this position is to become a trusted advisor to each client. This takes relationship-building skills and a friendly, outgoing attitude.
• Detail-oriented. Clients judge us by our accuracy and precision. The ideal candidate hates making mistakes and is extremely detail-oriented.
• A great communicator. As the face of BooksTime to the client, you should have excellent professional communication skills. You will need to be perfectly fluent in English (both written and spoken).
• Tech-savvy. You will need to be adept with computers and good at figuring out new systems and tools. Excel expertise is preferred. QuickBooks Online and/or Desktop experience is required. Experience with other accounting software, such as FreshBooks, Xero, Intacct, or NetSuite, is not required but would be an added benefit.
• An adaptable, fast learner. Every client is unique in their use of software platforms, processes, requirements, etc., so each new client is a learning experience. We need someone who feels very comfortable diving in and figuring things out independently (though there will always be people who can help!). If you are happiest maintaining a well-established process that someone else designed, this is NOT the ideal role for you. If you love looking for creative solutions to new problems all the time, you could be a perfect fit!

Other Details:

Time Zones - IMPORTANT: You will need to work in Central or Eastern Time business hours. You will need to be able to communicate with our European team for 2-3 hours per day (and they leave the office around 11am or noon Eastern Time) as well as with our clients, who are all in the US.

Salary Range: $27.00 - $39.00 per hour depending on education and experience

BooksTime needs to expand a remote, US-based team of senior-level accountants who serve as Onboarding Specialists. We’re looking for someone who can help build and manage this incredibly important team.

The Onboarding Specialists will supervise the set-up of services for new clients, coordinating with the international bookkeeping teams who do most of the ongoing work. The Onboarding Specialists are typically Controller or CFO-level professionals. They help manage client communication, and serve as expert advisors and reviewers for the bookkeepers.

What You'll Do:

You’ll start out by doing the Onboarding Specialist job yourself for a little while, which includes:

Setting up services for new clients: Talk with them, understand their needs, and coordinate a team of international bookkeepers to get services up and running. Your role is to be a high-level accounting resource to the bookkeepers, help manage communication with the client (including managing their expectations), and generally build a personal relationship with the client.

Supervise ongoing services: After the set-up is done, you’ll supervise and support the bookkeepers as needed for the same clients.

As soon as you’ve learned the ropes, we’d be looking for you to step into a management role. You’ll (with help) interview, select, train and manage a team of approx. 5-10 Onboarding Specialists. You’ll be responsible for all ordinary management functions, with especial emphasis on:
• Training and coaching
• Process improvement
• Helping Onboarding Specialists when they run into challenges. A few examples:

-- If a client is being difficult and making unreasonable demands, and the OS isn’t comfortable addressing it on their own.

-- If a newer OS is still learning the ropes and needs a co-pilot while leading an onboarding call with a new client.

-- If an OS needs advice about how to handle an especially complex project.

We're Looking for Someone Who Is:

• Experienced. Our ideal candidate has either held in-house accounting leadership roles (such as CFO, VP of Finance, or Controller) or high-level positions in accounting firms. Management experience is required. Experience must include work in US-based companies.

• Tech-savvy. We’re a technology-forward firm. You will need to be comfortable figuring out new systems and tools. QuickBooks experience is strongly preferred (either Online or Desktop). Experience with other accounting software, such as Xero or NetSuite, is not required but would be helpful. Spreadsheet skills will come in handy.
• Comfortable with ambiguity. We need someone who feels very comfortable in situations where there’s no easy way to look up the right answer. Someone who’s happy to dive in and figure things out, who can come up with ideas for new processes and implement them, and who can add structure where it may be missing.
