Mandarin Lutheran ChurchPosition DescriptionPart Time Administrative AssistantRequired Skills and KnowledgeBasic Qualifications Ability to be bonded no cost to applicant Competent in Microsoft 365 products ie Word Excel and PowerPoint and Social Media platformsRequired Skills and KnowledgeMust demonstrate the following skills and experience Experience in computer programs and systems commonly used in an office environment such as Outlook Microsoft Word Excel PowerPoint and QuickBooks Experience in posting to social media channels Ability to learn and competently use programs such as Constant Contact to prepare daily and weekly newsletters and other mass communications to the congregation Ability to learn and competently use the functionalities of specialized church management computer programs such as ChurchTrac and Tithely Ability to manage... multiple tasks and to prioritize conflicting demands Knowledge of office management skills including handling correspondence monthly accounting telephone skills and monthly reporting Interpersonal relationship skills Must be open to new ideas and able to professionally handle numerous interactions with senior staff Church Council members congregation members potential congregation members and outside parties in support of MLCs mission and programs Attention to Detail Must be able to consistently provide high quality administrative skills in both a supervised and unsupervised environment Must display maturity and discretion with respect to the confidentiality of all matters pertaining to the church the pastor and the congregationResponsibilitiesCommunications Courteously answer incoming telephone calls answer routine questions and refer callers to applicable MLC resources Prepare and manage the proper filing of all correspondence members visitors synod pastor etc vendor records financial records and any other documentation Maintain the file retention schedulesystem in accordance with the ELCA Records Retention policy and guidelines Gather necessary information and prepare the weekly church bulletin in coordination with the pastor Produce special weekly andor seasonal inserts prepare special bulletins as required Holidays Weddings Funerals etc Obtain content materials from relevant Council and Team leaders and post on website and Facebook as scheduled Prepare daily and weekly Mandarin Messenger newsletters and launch as scheduled in Constant Contact Develop schedules for receipt of content for all social media and communications and publicize to relevant contributors Other communications tasks as may be assignedChurch Attendance Records Maintain a weekly update of congregation attendance from attendance slips Sort and route attendance slips that require further handling such as Pastor to call new members and special needs to the appropriate MLC resources Distribute prayer concern information according to established procedures Advise the pastor and other designated council or team members of special outreach to shut-ins members who are ill etc Enter attendance of members into ChurchTrac or other church council approved management software and discard attendance slips Other attendance-related and general tasks as may be assignedAccounting Maintain weekly offering records in ChurchTrac or other church council approved management software and coordinate with the Treasurer to reconcile as may be needed Utilize QuickBooks or other church council approved accounting software to accurately maintain accounting records prepare checks and set up and monitor auto-payments from bank accounts as necessary Complete all staff payroll functions in accounting system and properly prepare and submit all required tax-related payments and reports Ensure that annual corporate registration is renewed on time Other accounting-related tasks as may be assignedJob Type Part-timePay 1500 - 2000 per hourBenefits Paid time offSchedule 4 hour shift Monday to FridayExperience Office Administration 5 years PreferredWork Location One location
