Job Description

The Service Management Office (SMO) is part of Defra’s Operational IT function Group Infrastructure and Operations (GIO). SMO is responsible for providing a central point of focus driving efficiency and effectiveness in the delivery of IT services through sharing common resources and process expertise. The SMO also provide people, departmental performance and management information which is underpinned by a secretariat function to formally document governance meetings and provide support to the wider GIO function.

We have a pivotal role in ensuring GIO delivers its strategic vision of being a trusted partner that delivers service excellence underpinned by a flexible, service-orientated, valued focused team that actively approaches continuous improvement methods.

We are currently recruiting a Business Support Officer to join our team.

You will be joining a diverse, fun and nationally dispersed team that aspires to be proactive, professional and positive in our work. The successful candidate will be responsible for providing secretarial support, support risk management, maintain the GIO SharePoint site and coordinate management information for GIO stakeholders as well as support the wider SMO team as required.

Person specification

Responsibilities
• Actively engage and support in governance meetings as a Secretariat, to ensure effective minutes/notes and actions and decisions are produced and meetings kept on track and time.
• Line-management of 1-2 SMO colleagues.
• Engage with wider Digital, Data and Technology Services secretariat team(s) to ensure we are aligned with central processes and policy where required.
• Support the management of SMO governance timetable of meetings ensuring all stakeholders are fully engaged as per support wraps and prepared for agenda items, obtain action updates, outcomes and decisions from governance boards.
• Support the management and maintenance of new SharePoint Site GIO Connect including championing usage of the site, directing colleagues to the site and responding to feedback.
• Support the SMO Business Support and Management Information Managers with records management, reporting and management information. Activities include monthly reporting and gathering information for internal/external audits.
• Together with the SMO team, deliver communications (email updates, newsletters etc.) across GIO and support internal event management, in addition to larger team and stakeholder meetings.

Skills And Experience
• Experience providing end-to-end business support including producing meeting minutes, having high attention to detail.
• Proficient in using Microsoft Office (especially Excel, Word, Powerpoint) or equivalent tools.
• Highly organised, pays attention to detail and can prioritise tasks efficiently, managing time, activities and resources.
• Experience of record management on systems such as SharePoint (or equivalent).
• Excellent people skills with an ability to work in a dispersed environment and build effective relationships with colleagues and stakeholders alike.
• An understanding of the range of IT services required to support a large and complex organisation.

The Data & Information team within DDTS is recruiting a Data Governance Manager.

You'll define, implement, and manage data governance frameworks, policies, and standards across Defra and its public sector bodies. You'll assess the current and future data maturity, and design and deliver practical data governance solutions to improve the quality and reliability of data across the Defra group.

The post does not have immediate line management responsibilities, but it is expected you engage with a broad range of stakeholders across Defra group, developing and maintaining a robust community of experts .

You'll have the opportunity to engage with the cross-government data practitioner communities, exchanging and disseminating good practise and lessons.

Person specification

Responsibilities
• Contribute to the development of the Data and Information Management Framework (DIMF) by leading delivery of essential data governance artefacts and activities within set milestones and quality
• Establish the implementation of the Central Digital and Data Office's (CDDO) data maturity assessments, adoption of other related policies and standards such as single data ownership model within Defra by identifying and leading the delivery of critical artefacts, maintaining their standards, and providing reports on progress and maturity
• Ensure that documents are published and accessible in a user-friendly way. Communicate DIMF offerings utilising different channels such as blogs, teach-in sessions by developing and executing an engagement plan that meets the needs of diverse users of DIMF across Defra group
• Chair the Data Management Working Group by developing agenda, ways of working, and chairing meetings to unlock partnership working across Defra Group organisations
• Maintain liaison with the Data Management and Standards Board and report key findings, escalate issues, risks when needed
• Identify opportunities to develop and run a new community of practice for data governance and management professionals to raise awareness and increase consistency of approach across the Defra Group

Skills And Experience
• You have experience in data governance andhave up to date knowledge of data governance theory, standard methodology, and practical considerations and are able to apply this throughout the data lifecycle
• You are able to implement an end-to-end data governance framework and develop robust processes, operational policies, standards and compliance to encourage good data management
• You understand the different data maturity models available and are able to implement best practice, baselining maturity across different domains and highlighting opportunities for improvement
• You can demonstrate an understanding of best practice data policies, processes & standards and are able to implement and apply these effectively
• You know how to identify, influence and build relationships with important stakeholders, tailoring communication to their needs, and work with teams to build relationships while also meeting user needs

Group Infrastructure and Operations (GIO) within Defra's DDTS are looking for a Mobile Device Support Officer.

As a Mobile Device Support Officer, you will be providing remote 2nd and 3rd line Cloud Mobile Telephony support , resolving incidents and issues, for the Defra group.

This is a customer facing role as a part of a busy team. Where you will be dealing politely and efficiently with staff at all levels. Using adaptable clear communication skills over the phone and in writing. Where you will adjust to meet the various levels of technical assistance required.

You will contribute to the successful delivery of the Cloud Mobile services. Setting up, supporting and maintaining Apple products such as iPhones and iPads, etc. Providing training for users, troubleshooting and resolving network issues. Delivering excellent incident and request fulfilment. In line with ITIL Principles, to the approved standards using ServiceNow.

Person specification

Responsibilities
• Resolving ServiceNow catalogue requests for staff. Opening, updating and closing cases.
• Continuously reviewing online help and guidance such as Knowledge Articles (KAs), ensuring training materials are fit for purpose.
• Monitoring and ensuring agreed quality and service performance targets. By resolving operational incidents and problems.
• Engaging with and escalating to 3rd party suppliers, to support with more complex incidents. In line with Service Level Agreements (SLA’s) and managing these escalations to the point of resolution.
• Providing technical support on incidents for Cloud Technologies. By working closely with customers to understand their requirements and user needs.
• Contributing to regular team meetings. Having the ability to present technical information in a clear, concise and direct manner. Providing updates on complex issues.

Skills And Experience
• A proven background in IT, Telecoms and/or Vodafone Corporate Online (VCO) Portal with knowledge of Mobile Networks.
• Experience of supporting and resolving 2nd and 3rd line support calls.

• Comfortable with delivering to staff in varied locations via phone and conferencing services.
• Experience of working within a technical environment. Supporting demanding customers, under pressure, as part of a team.
• Awareness of ITIL best practice and use of IT service Management tools. Such as ServiceNow to help manage the team’s workload.
