Description: The Delaware Riverkeeper Network (DRN), a grassroots, regional, nonprofit working to protect and restore the Delaware River is seeking an Administrative Coordinator. Reports to: Director of Grants and Operations

Key responsibilities:

Human Resources
• Participate in the recruitment, hiring, and onboarding of new staff members, including benefits enrollment
• Serve as point of contact for benefits broker and insurance carriers as well as for all benefit-related questions from staff
• Manage the annual benefits open enrollment process
• Assist employees with benefit-related queries and enrollment processes
• Develop knowledge of legal requirements and regulations affecting Human Resources
• Identify, research, and coordinate general employee training, and assist in planning employee enrichment activities, such as retreats
• Coordinate offboarding process for departing staff, conduct exit interviews, and review benefits separation
• Securely maintain personnel files for all full-time, part-time, temporary staff, and interns
• Responsible for handling confidential information with complete discretion
• Oversee employee time-tracking and related reporting

Grants Administration
• Secure signatures from the Delaware Riverkeeper and other senior leadership on financial documents and grant agreements as necessary
• Maintain the organizational calendar for grant applications and reporting, and coordinate the grant application process, including prioritizing applications
• Oversee the grant management platform, including responsibility for compiling grant documents and keeping grant files organized
• Draft all the formal grant acknowledgements
• Develop an understanding of subject matter for the issues for which the employee is assisting with grant writing.
• Assist the Director of Grants and Operations with the development of grants applications including creating files for shared work, keeping all staff on track to meet deadlines, and assist with writing, editing, proofing, and submission of applications.
• Draft Letters of Inquiry and grant proposals, in collaboration with the Director of Grants and Operations and other staff.
• Support annual audit activities.

Operations & Administration (approximately 10%)
• Provide administrative and clerical support to the Director of Grants and Operations including drafting and sending emails and other correspondence as needed.
• Assist the Director of Grants and Operations with the development of the Organization s operations handbook
• Schedule meetings, develop agendas, and follow up with post-meeting action items for staff meetings; Safety committee meetings; and Justice, Equity, Diversity, and Inclusion committee meetings
• Assist the Director of Grants and Operations with management of the office space and liaise with building management
• Serves as point of contact for vendors

Other
• Participates in DRN-sponsored events as needed
• Other duties as assigned

Qualifications:
• Minimum bachelors level degree OR five (5) years of experience.
• Minimum one year of administrative/operational experience.
• Experience and comfort in working with finance and numbers.
• Strong attention to detail and focus on quality control.
• Excellent computer skills, including a high degree of proficiency in a variety of online systems and software and/or ability to learn them (current systems/software used include: Classy, ClickTime, Paychex, QuickBooks, Google suite, Office 365 suite with an emphasis on Excel, Teams, and Zoom).
• Team player capable of working independently with minimal oversight.
• Must be able to handle problems quickly and efficiently.
• Knowledge of records management principles and procedures including record keeping and filing principles and practices.
• Ability to multi-task in a high performing environment, expected.
• Proficiency in English usage, spelling, grammar, and punctuation.
• Work experience in the nonprofit sector, preferably in the environmental field.

Valid driver s license and good driving record is required. Ability to travel around the Watershed is required. Some evening and weekend work required.

Salary: Base starts at $42,500, but is negotiable.

Location

The position is based in DRN s main office in Bristol, Bucks County, PA. Employees may be eligible to work remotely if their job duties can be met through basic hardware and software, they ve proven to be trustworthy, disciplined, and self-motivated, and have been given permission by DRN. However, travel to the Bristol office will be required as needed.

Physical Requirements and Demands/Work Environment:
• Physical ability to perform the essential functions of the job, including some hands-on physical work.
• Constantly required to operate standard office equipment, such as a computer, phones, photocopiers, printers, and fax machines. Occasionally required to move files, open filing cabinets and bend or stand as necessary.
• Occasionally required to lift up to 35 pounds.
• Work will be primarily indoors, in an office setting.
• Working conditions may include potential exposure to dust.
