Monitor operations, activities, and software updates of records and registration functions; recommend improvements and modifications; prepare various reports on operations and activities using INFORMER to analyze and access the registration data to share with various departments campus-wide.
Assist in the implementation of goals and objectives; establish schedules and methods for providing efficient and effective registration and student records services; implement policies and procedures.
Interpret, apply, and assist in ensuring staff compliance with College policies and procedures, federal and state laws, and regulations pertaining to disclosure of student information.
Assist in the coordination of assigned registration activities with those of faculty, administrative staff, and other College divisions and departments.
May lead and participate in the maintenance of an automated registration and student records system (AI portal); establish procedures that support service member tuition assistance programs; advise staff in appropriate systems administration and maintenance programs.
Assist in the coordination and implementation of new software platforms designated for upgrades campus-wide.
Stay informed of current state and federal regulations regarding student records.

Utilize Informer software to provide program and /or enrollment data to departments and college staff upon request.

Monitor Etrieve forms and process course substitutions, requisite waivers, grade changes, Incomplete forms, program changes, and other forms on a daily basis.
Navigate student documents in Etrieve for research and information.
Provide necessary documentation, training, and leadership to staff and faculty including, but not limited to, Ellucian Colleague, Ellucian Self-Service, and Softdocs.

Fayetteville Technical Community College is seeking qualified applicants for this full-time position. The Assistant Registrar will assist in the planning, organizing, and supervision of the College's registration and student records services; actively participate in registration activities with faculty, staff, and other College divisions and departments; and perform a variety... of technical tasks relative to registration. To organize and direct functional operations within the department.
Qualified candidates will possess excellent record keeping and communication skills both written and oral as well as organizational skills. The appropriate candidate should possess exemplary customer service skills and be able to coordinate activities with other college divisions, federal and state agencies, institutions, and various lenders. The candidate will also perform a variety of other duties as assigned by the Senior Registrar.

Duties
The successful candidate will:
Exercise technical and functional supervision over clerical staff.
Maintain strict confidentiality of student records and other materials or information of a confidential or sensitive nature as it relates to FERPA (Family Educational Rights and Privacy Act).
Lead and participate in the registration of students for College courses and in the maintenance of student records.
Assist in the coordination and supervision of registration staff and workflow processes including monitoring student registrations, publication of class schedules, information dissemination and verification, and manage communications to support student outreach.
Monitor operations, activities, and software updates of records and registration functions; recommend improvements and modifications; prepare various reports on operations and activities using INFORMER to analyze and access the registration data to share with various departments campus-wide.
Assist in the implementation of goals and objectives; establish schedules and methods for providing efficient and effective registration and student records services; implement policies and procedures.
Interpret, apply, and assist in ensuring staff compliance with College policies and procedures, federal and state laws, and regulations pertaining to disclosure of student information.
Assist in the coordination of assigned registration activities with those of faculty, administrative staff, and other College divisions and departments.
May lead and participate in the maintenance of an automated registration and student records system (AI portal); establish procedures that support service member tuition assistance programs; advise staff in appropriate systems administration and maintenance programs.
Assist in the coordination and implementation of new software platforms designated for upgrades campus-wide.
Stay informed of current state and federal regulations regarding student records.
Interpret, apply, and assist in ensuring staff compliance with College policies and procedures and federal and state laws and regulations pertaining to disclosure of student information.
Utilize Informer software to provide program and /or enrollment data to departments and college staff upon request.
Maintain documentation covering registration office and records retention policy and office procedures; compile and maintain a variety of statistical records and reports using Informer to distribute to various departments.
Monitor Etrieve forms and process course substitutions, requisite waivers, grade changes, Incomplete forms, program changes, and other forms on a daily basis.
Navigate student documents in Etrieve for research and information.
Provide necessary documentation, training, and leadership to staff and faculty including, but not limited to, Ellucian Colleague, Ellucian Self-Service, and Softdocs.
Confer with and provide staff assistance and advice to higher level College staff as assigned; develop, prepare, and present recommendations and reports as requested; create manuals to post to the web of updated processes in Registration and Records.
Establish ongoing training and staff development to include creating manuals of all new training modules for all state supported software platforms utilized by the Registration and Records department.
May perform more complex registration issues including enrolling students and provide counseling to students regarding Army requirements and procedures as they pertain to the College.
Answer questions and provide information to students and the public; investigate complaints and recommend corrective action as necessary to resolve complaints.
Participate in the selection of staff; provide or participate in staff training; work with employees to correct deficiencies.
Serve as acting Senior Registrar in the absence of the Senior Registrar.
Assist Senior Registrar with implementation of policies and procedures within the Registrar's Office and participate in annual unit goals and objectives.
Assist Senior Registrar in monitoring changes that are needed in the College Catalog and the Registrar's Office website.
Serve on the Refunds Request Committee and process as well as research issues.
Actively participate on departmental and College committees as assigned.
Represent the College and the Registrar's Office in a positive and professional manner and collaborate with academic and other Student Service offices to contribute to the retention of students.
Perform related duties as assigned.
Minimum Qualifications
Bachelor's degree from an accredited college in Business Administration, Records Management, or a closely related field; or equivalent and three years of increasingly responsible experience involving student registration and records activities data analysis.
Must possess both written and oral communication skills.
Must have expert efficiency in Microsoft Office and operational functions of a personal computer.
Preferred Requirements
Master's Degree from an accredited college in Business Administration, Records Management, or a closely related field; or equivalent.
Experience working with Ellucian Colleague.
Computer Programming skills a plus
