What You Will Do
• Consistently provide a high level of customer service to Gensler staff, clients, vendors, business partners and guests while at times, being the client interface.
• Meeting coordination and conference room reservations & set-up, as needed. Attend meetings, if necessary, for taking minutes and documenting other information.
• Managing workload – prioritizing work and ensuring deadlines are met.
• Project Start-Up tasks including contracts, proposal letters, work authorizations, creation and/or maintenance of project directories, cloud-based file sharing sites, opening project and sub-project numbers.
• Early Project Phases tasks including but not limited to programming data worksheets, consultant contracts, consultant work authorizations, accurate project files documentation (hard copy and electronic), FAST form documents, project filing, print coordination, copying/scanning, creation/maintenance of various spreadsheets, correspondence, maintenance of logs (contracts, work authorization, consultant work authorizations, sketch logs, plotting), meeting coordination and virtual meeting set-up as required, preparation of meeting agendas and meeting notes, package preparations & shipping/mailing and org charts for the team.
• Construction Documentation/Administration Phases tasks include file sharing, print coordination, logging RFIs & submittals, forwarding RFIs and submittals to consultants, reminding consultants to respond, QA/QC documents stamping and coordination.
• Project Close-Out tasks include dead filing and punch lists.
• Supporting the Design Managers in the studio by pulling AR reports, coordination fee matrixes.
• Special duties and projects, as assigned or necessary including coverage of other coordinators and front desk reception.

Your Qualifications
• 5+ years of experience in an administrative capacity preferably with an architecture, construction, engineering, or design firm.
• Bachelor's Degree preferred.
• Ability to effectively prioritize with strong time management skills in a fast-paced environment.
• Superior verbal and written communication skills.
• Highly organized with a strong attention to detail.
• High level of professionalism and strong sense of urgency.
• Intermediate to advanced skills in MS Office Suite (Outlook, Excel, Word, PowerPoint).
• Proficiency in InDesign, Photoshop, and MS Project preferred.

Your Role

As the Meetings and Events Engagement Manager, you will be a supportive role with Studio Director, Event Producers, and internal clients to ensure exceptional execution of meetings and events. This role requires a professional who enjoys collaboration and listening to clients' needs and can turn ideas into an engaging experience. The team member will understand the process of consulting internal clients while being able create project plans, work with vendors, and at times lead meetings.

What You Will Do
• Reporting to the Global Meetings and Events Director
• Utilize experience in full-service event planning, including menu and event décor, project planning, attendee registration, rooming list management, transportation/manifest management, and content management.
• Collaborate with the team to plan and execute live and virtual meetings and events.
• Employ creative and strategic processes to design engaging internal meeting and event experiences.
• Create compelling experiences that incorporate entertainment, learning, and branding elements.
• Develop effective marketing and communication plans for internal and external meetings and events.
• Demonstrate exceptional verbal and communication skills when interacting with colleagues, leadership, vendors, and external speakers.
• Bring innovative ideas to the team based on insights and research to produce exceptional meetings and events.
• Facilitate internal planning meetings, including weekly meetings, kick-offs, and other production meetings as required.

• Work with event producers to ensure exceptional A/V production experiences at every meeting, including sourcing and selecting equipment, vetting vendors, managing production stage, set design, lighting, rigging, etc.
• Support event producers in implementing online experiences for virtual and hybrid events, setting up platforms such as Teams, Zoom, and CVENT.
• Demonstrate proficiency in computer programs such as MS Office, Windows-based programs, and email.
• Travel to meetings as a partner, serving as an associate or lead event producer, supporting registration and coordinating with local teams (30-50% travel).
• Portfolio required.

Your Qualifications
• 5 years of live event management
• 2 years of virtual event management
• Bachelor's Degree or 4+ years' experience in marketing, communications, or events
