Responsibilities Include:
• Supports budget management for the department; which includes creating reports and dashboards as necessary
• Tracks invoices for the department
• Provides support for the HBS Alumni Bulletin magazine:
• Weekly managing of the email inbox and quarterly admin tasks to assist in the production of the magazine
• Managing distribution of special deliveries
• Logging special mentions of individuals annually preparing the year’s production schedules
• Ordering the bound copies of the year’s magazines
• Manages multiple calendars as needed
• Manages in-house printing on-demand
• Materials management and collation for special presentations
• Orders office supplies
• Supports photo archiving, batching photos, and uploading to digital asset management system
• Assists in preparing mailing lists for vendors
• May provide general office assistance for immediate supervisor and leadership team, including monitoring and responding to office voice mail and email boxes, and maintaining department vendor list.

Basic Qualifications:

The Talent Acquisition Manager for External Relations (ER) is a newly established role to enable External Relations to expand our capacity to attract top talent. Collaborating with HBS Human Resources and External Relations Business Administration as well as other stakeholders, this person will establish, implement, and execute the department’s recruitment strategies which are centered around cultivating diverse candidate pools for recurring searches as well as hard-to-fill and niche roles.
Job Responsibilities
This role will manage the full recruitment lifecycle on open searches for exempt and non-exempt staff roles within ER.
• Ensure that every open search and our overall recruitment strategy demonstrates a measurable commitment to diversity, equity, and inclusion and the School’s Affirmative Action goals
• Coordinate position review and posting process – work with hiring managers to draft job descriptions, prepare documentation for position approval, develop timelines and milestones for search process, and lead regular check-ins for managers who are actively recruiting
• Source and conduct outreach efforts to passive candidate from a variety of channels to develop candidate pipelines; track conversion rates of different sourcing activities and recommend adjustments
• Partner with and leverage HBS HR Talent Acquisition on recruitment/sourcing strategies, niche searches, and escalations as needed

The Director plays a critical role to align HBS Clubs & Associations to the strategic objectives of AR/ER while continuing to strengthen the Club & Association network and innovate in deepening engagement and enabling the Clubs to support the priorities of HBS.
The Director of Clubs & Associations is responsible for:
• Creating and implementing a strategic framework and plan for strengthening, supporting and augmenting Clubs & Associations and their leadership.
• Focus areas include Club leadership succession and support, technology investments and enhancements, operational and governance models, augmenting the HBS club brand, programming and communications
• Developing and cultivating relationships with Club and Association leaders.
• Support new leaders as they transition, navigate succession and governance issues and manages escalation strategies.
• Building and supporting strong cross HBS partnerships to advance HBS and External Relations goals including but not limited to Global Research Centers, HBS Initiatives, Dean and Faculty engagement and fundraising campaigns and engagement.
• Creating and enforcing operating standards.

• Overseas hiring, training, work assignments, and performance management of team members.

Basic Qualifications:
• BA/BS required
• Minimum of 10 years professional experience including at least 5-7 years of directly related experience in volunteer management and customer or community engagement

• Excellent communication skills (verbal and written) and the ability to represent HBS and the University professionally both internally and externally.

Responsibilities:
• Collaborate with business and IT stakeholders to define and execute service delivery roadmaps and application backlogs
• Lead implementation of enhancement requests and resolution of software defects for vendor based and custom developed applications
• Engage with vendors, ensuring operational needs are met and advocating for new features in alignment with HBS use cases
• Participate in projects, providing technical leadership and subject matter expertise for applications
• Develop and maintain deep product knowledge, including understanding of intraplatform dependencies
• Test new application features and functionality in collaboration with business stakeholders and other teams in IT
• Communicate changes in service delivery and application functionality to customers
• Maintain awareness of industry security issues and perform annual application security reviews
• Develop and maintain use case and technical documentation
• Diagnose and resolve escalated support requests
• Assume additional responsibilities as assigned
Basic Qualifications:
• Minimum of two years’ post-secondary education or relevant work experience
Additional Qualifications and Skills:
• Bachelor's degree in computer science, technology, management information systems, computer engineering, or similar field is preferred
• Experience with the administration of Microsoft 365, Canvas, Zoom, Kaltura, Panopto, Qualtrics, or Salesforce Communities is preferred
• Demonstrated solution design using both technical and business process approaches is preferred
• Experience with custom developed applications and the software development life cycle is preferred
• Experience leveraging APIs, reporting, and data analytics is preferred
Working Conditions:
• Additional support outside of regularly scheduled hours, including early mornings, nights, weekends, and holiday breaks, will occasionally be required
