Position Summary:
The Major Gifts Operations Manager is a regular, full-time exempt position and is covered by the collective bargaining unit agreement between HRC and the Service Employees International Union. The position is responsible for building and fostering communication and relationships with HRC’s most crucial financial base.
The position reports directly to the Deputy Director of Special Projects, Development and works closely with the Director of Major Gifts, Planned Giving, Planned Giving and Foundation Relations and Major Gift Officers. The position is responsible for contributing to and maintaining the Federal Club Council Program. Specific duties are as follows:
FINANCIAL
• Serve as the primary person for all financial matters related to the Federal Club Council program.
• Ensure accurate booking of pledge revenue
• Tracking gifts raised toward budgeted monthly goal through the maintenance of a daily income log
• Tracking processing and receipt of matching gifts
• Facilitate paperwork for all major donor pledges; reallocations; income transfers and credit card credits.
• Manage production and mailing of itemized tax letters
• Provide regular updates to major gifts team regarding pending & overdue pledges; delinquent pledge payments; etc
• Assist the Director of Major Gifts, Planned Giving, Planned Giving and Foundation Relations in the development of the annual major gifts program budget & individual clubs; continuous tracking and reporting of all revenue and club goals to budget.
• DATABASE, SYSTEMS AND REPORTING
• Serve as the point person for donor database matters.
• Ensure accurate entry of pledges and payments into database
• Assist and advise with regular list pulls
• Format monthly activity reports
• Assist Director of Major Gifts, Planned Giving, Planned Giving and Foundation Relations with development and accuracy of reporting around budget progress
• Assist with the population of donor records with salient information to establish greater historical knowledge to include call reports and other relevant information
• Responsible for leading Federal Club Council report creation, data pulls, database improvement, discovery and problem resolution. Work with internal database staff to develop more efficient reporting and solutions.
• ADMINISTRATIVE
• Provide support for Federal Club Council program.
• Manage regular teleconferencing for major donor committee calls and other special teleconferences.
• Maintain roster of major donor committee and to act as an information resource for the committee providing meeting minutes and other information as needed
• Assist with the implementation of special fundraising campaigns and the development of pledge cards, recipient lists, mailhouse production, and overall inventory of program materials
• Maintain vendor contacts for donor stewardship and team support for travel, event invitations, and other details for major donor events across the country
• Provide customer service for donors as a primary point of contact
• Assist with the planning and production of the annual Major Donor Leadership Summit
• Oversee Federal Club Council acknowledgement process and donor recognition program
• Represent the Federal Club Council team on designate interdepartmental projects and committees.
• Provide overall operations & administrative leadership in support of Director and the entire Federal Club Council program with the major focus on program operations and systems.
• Qualifications:
• Bachelors degree or equivalent experience with at least 3 years of experience in managing “customer based” projects, programs and development experience
• Strong skills with Microsoft Office applications (Word, Excel and PowerPoint) and Google Apps (Gmail, Docs, Sheets, Forms, and Drive).
• Proven administrative proficiency and organizational skills,
• An ability to handle multiple tasks in a fast paced work environment;
• Excellent oral and written communications skills are necessary.
• Strong interest in the rapidly changing LGBTQ+ equality movement and a working knowledge of LGBTQ+ issues.
