Essential Responsibilities
• Works with IFT designated vendors and caterers to plan all food and beverage events at IFT FIRST Annual Event and Expo
• Works with IFT designated vendors to plan all audio-visual aspects of IFT FIRST Annual Event and Expo
• Prepares event specifications, including catering, audio visual and set up and run of shows for the convention center and hotel(s)
• Develops the staff master calendar and staff schedule
• Serves as event website liaison to marketing team
• Works collaboratively with digital team to make sure mobile app and online planner are updated with event (non-session) information
• Develops and manages event signage orders (non-expo)
• Organizes planning visits as necessary
• Works collaboratively with IFT staff to coordinate respective event logistic requests
• Manages ancillary and in conjunction with meetings
• Responsible for post-event wrap up including all reporting, invoices and event close
• Updates and creates event standard operating procedures as necessary
• Works collaboratively with Manager, Event and Exhibit Experiences and the executive office on Office of the President and board meetings

General Responsibilities
• Partner with cross-functional staff teams to actively combine all internal stakeholders in the success of the digital experience
• Ensure all meetings department deadlines, reports, projects and other activities are forthcoming in a timely fashion.
• Ensure all operational elements and activities are within budget
• Execute ad hoc meetings department responsibilities as necessary

Experience Requirements
• Bachelor's degree in business, communications, marketing, or related area
• Minimum of 7-10 years progressive experience in meeting management with a strong focus on food and beverage, audio visual and budget management
• Prior experience in association meetings and events is required
• Certified Meeting Professional (CMP) required
• Demonstrated project management
• Knowledge of database systems and management
• Experience with a health or scientific organization a plus
• Development and management of profitable programs
• Leveraging best practices in the industry a must
