Required Skills

We are looking for a highly organized and detail-oriented Administrative Assistant to provide support to IMAX's Legal & Business Affairs team in our Los Angeles office. This role is pivotal in supporting the efficient operations of our Legal & Business Affairs team, which plays a critical role in IMAX's global business operations including Distribution, Development/Production, Post-Production, Marketing/Publicity, Finance, Strategy & Innovation and various business development initiatives.

Responsibilities
• Provide comprehensive administrative assistance to the Legal & Business Affairs team, including calendar management, handling phone and email correspondence, preparing expense reports and processing invoices.
• Schedule and coordinate internal and external meetings/calls/videoconferences. Prepare meeting materials and follow up on action items and deadlines.
• Assist in the organization and maintenance of contracts, invoices and other legal and business documents. Ensure accuracy, confidentiality, and proper version control.
• Draft, proofread and edit various documents, including emails, memos, presentations and reports, maintaining clear and effective communication within the team, with internal colleagues, and with external partners.
• Assist in managing databases and information systems to ensure accurate and up-to-date records. Help maintain file organization and accessibility, ensuring that documents are properly classified and easily retrievable.
• Develop and maintain positive working relationships with internal stakeholders and external partners. Serve as a point of contact for inquiries and coordinate with various other departments as required, providing professional and courteous assistance and directing them to the appropriate team members.
• Support the Legal & Business Affairs team in special projects and initiatives as assigned. Collaborate with team members to meet deadlines and achieve departmental objectives.

Requirements/Qualifications
• 3+ years proven experience as an administrative assistant or in a similar role, preferably within a legal or corporate environment.
• Bachelor's degree required; additional education or certifications in legal and/or business administration or a related field is a plus.
• Strong organizational skills with exceptional attention to detail and accuracy.
• Excellent written and oral communication skills and judgment.
• Effective time management and multitasking skills, with the ability to prioritize and meet deadlines in a fast-paced environment.
• Ability to work independently as well as in a collaborative team environment, displaying a proactive and positive "can-do" attitude.
• Ability to interact professionally with internal colleagues at all levels of the organization and external clients and vendors.
• Discretion and professionalism in handling confidential and sensitive information.

Responsibilities:
• Manage a very active desk; juggle heavy volume of tasks which include calls, calendar entries/meetings, content demos, creative partner discussions, scheduling, travel, invoices, expenses, etc.

• Responsible for collecting necessary assets and crafting compelling content that captures the needs of a creative or partner deck. Collaborate and delegate tasks to graphic designers to ensure that all presentation needs are met and that each project reflects the deck's value and goal
• Project manage IMAX Live experiences in the music space. Must have strong organizational and communication skills, and the ability to manage multiple tasks and deadlines in a fast-paced, high-pressure environment
• Maintain an understanding of the music space + artists' presence - socials, streaming, touring
• Adhere to all confidentiality requirements for live, post, corporate, strategic, and marketing teams

Requirements/Qualifications:
• 2-4 years experience managing team calendars and handling daily administrative tasks
• Experience building creative pitch + partner presentation decks. Basic Keynote + Adobe Suite knowledge preferred
• Agile mentality with the ability to multi-task and quickly pivot to changing priorities
• Customer centric with daily interactions with VIP artists, celebrities, filmmakers, managers and executives

RESPONSIBILITIES:
• Be the single point of creative truth for IMAX Film projects and campaigns
• Lead and manage the entire creative project lifecycle from briefing to final delivery: planning, scope changes, creative development, approvals, creative versioning, material delivery/distribution, and postmortem/wrap

• Build strong working relationships with business partners and serve as the liaison between internal and external partners, setting project expectations whilst communicating progress; able to identify issues early on and suggest workable solutions
• Collaborate with Operations team to ensure projects or requests for resources addressed during project intake and are assigned appropriately
• Ensure all deliverables are meeting business partner expectations, including adherence to established timelines / guidelines and budgets
• Work closely with IMAX Creative, Film Marketing, Intl Marketing, Exhibition Marketing, Digital/Social Marketing business partners to understand and apply learnings to future projects improve performance

REQUIREMENTS/QUALIFICATIONS:
• Bachelor’s Degree in relevant field or equivalent
• Based in Los Angeles
• 6 years of creative/advertising/marketing agency is preferred
• Film Marketing experience working in house or agency side with studios or streamers, familiar with navigating through matrixed eco-systems dealing with multiple business partners and layered approvals
• Exceptional account management - undaunted with collaborating with internal stakeholders of varied roles and seniority
• Experience working across several project types: print, digital, motion, audio/visual and environmental
• Understanding of technical deliverables across the above project types
• Strong understanding of creative development and versioning process
• A problem solver who is able to listen, gather information, evaluate the situation, and make informed right-sized fit solutions
• Ability to manage vendors, timelines, and budgets
• Ability to multi-task and prioritize without missing deadlines and work within defined budgets
• Understanding of how to build budgets, write scopes of work, develop timelines and working with project management tools like Basecamp and Mavenlink
• Exemplary follow-through communication and organizational skills
• Strong listening, project management and presentation skills
• Impeccable attention to detail
• Proficiency in Microsoft Office including Word, PowerPoint and Excel
• Working knowledge of latest Adobe Creative Suite is preferred
• Understanding of MarCom channels and their respective needs - paid/earned across PR, Social, dot-com, etc.
