Position Description for the Director of Operations and Patron Services

The Director of Operations and Patron Services (DOPS) supports the operations of the Williams Center for the Arts at Lafayette College, which includes the professional operation of the Performance Series, presenting international artists in chamber music, jazz, dance, theater, family, and world stage, as well as film series; concerts in the Department of Music; performances by student groups; general use by other campus departments; and supports the front of house operations of the Theater Department at Buck Hall.

The Director of Operations and Patron Services reports to the Director of the Performance Series and works closely with Williams Center and Buck Hall technical staff; the Director of Galleries; faculty and staff in Music and Theater; and manages and trains student staff in the ticket office and front of house.
• Operations Management
• Facilitate use of the main stage by both College constituencies and visiting artists. Review contracts and riders, reserve rehearsal space, arrange and pay for housing, transportation, parking, and hospitality for visiting artists.
• Maintain the calendar for all campus arts venues.
• Maintain strict documentation and financial records for all performances and screenings; communicate as needed with licensing agencies; and pay bills as needed.
• Schedule, prepare, and submit work orders as needed for events as well as maintenance and repair of public spaces in the Williams Center and Buck H
• Contract piano tuning (outside contractor) and custodial support (campus unit).
• Patron Services
• Provide a positive customer experience and ensure a safe and pleasant patron environment.
• Day to day supervision of all patron services within a multi-venue environment, including ticketing and box office operations; house management and ushering; merchandise sales; reporting; and post-event receptions.
• Build season (around 70 performances, four subscription packages), using AudienceView’s University Tickets software.
• Build ticketing order form and create gift certificates, discount codes, subscription renewal campaign, and donation campaigns.
• Manage and update patron database of ~5500 households.
• Track gifts received and report regularly to the Annual Fund office.
• Prepare sales reports and admissions tax returns.
• Hire, train, schedule, and supervise box office, front-of-house staff, and student house managers and ushers.
• Maintain detailed records of sales, donations, credit card wire transfers, and maintain multiple budgets.
• Maintain ticket operations at all performing arts venues.
• Generate performance reports for all ticketed events.
• Monitor building and performance environment regularly to ensure patron, performer, and staff safety.
• Work with Public Safety and Facilities Operations.

Qualifications
• Minimum of a Bachelor’s degree in a relevant field.
• At least five years’ experience in arts administration, preferably in the context of a college arts center.
• Management experience, especially working with students
• Fluency with ticketing software, preferably AudienceView/University Tickets.
• Proficiency with Microsoft Office, especially Excel and Word.
• Proficiency with Adobe InDesign and Photoshop.

The Library Safety Supervisor is responsible for the safety and security of the library facility and ensures the safety of customers and staff in compliance with the library’s policies, while also supporting the provision of library services through direct customer service.

Duties include patrolling the library building and grounds, building rapport with patrons and employees. Patrols with the mind set of friendly, positive customer service and de-escalating potential conflict to keep the library a safe and secure place to visit and work. The hiring range for this position is $21.98 - $25.62 depending on qualifications.

Pay Incentives Related to this Position for the Summer 0f 2023 (May-July):
• $3/hr for every hour worked (35 hours a week X 9 weeks of camp = $945 Bonus paid at the end of Summer)
• $200 referral bonus for anyone you refer, and they are hired for camp.
• $100 bonus after completing all the required pre camp training.
• Staff lunch provided every Thursday during the summer.

The following duties are illustrative only and are not intended to be all inclusive:
• Provides ratio support daily in licensed childcare programs.
• Provides a creative, developmentally age appropriate, and safe learning environment to program participants.
• Prepares and implements developmentally age-appropriate curriculum that highlights diverse curriculum concepts such as STEM, arts and humanities, and active play.
• Creates and distributes a monthly newsletter and activity calendar for BASE and creates week curriculum for summer day camp.
• Assists with maintaining of children’s files and complies with State Licensing childcare regulations.
• Maintains cleanliness of facility and organization of materials and equipment in accordance with the Bob L. Burger Recreation Department policies and Colorado Human Services guidelines.
• Provides supervisory support and management of six to twenty part time youth programming staff assigned to BASE, school day out camps, summer day camps, and enrichment classes.
• Communicates verbally and in writing with parents in a warm and respectful manner.
• Immediately reports all incidents, injuries, and/or unsafe conditions to Supervisor.
• Communicates with Supervisor to promote quality programs.
• May be required to set-up and break-down materials used in classrooms.
• Attends regular staff meetings.
• Creates staff schedules for BASE, school day out, and summer day camp programs.
• Attends trainings in accordance and compliance with state licensing regulations and professional development.
• Complies with purchasing policies and procedures and adheres to department/program area budget.
• Drives 15 passenger vehicles to provide transportation to program participants.
• Purchases necessary supplies for programs.
KNOWLEDGE: Working knowledge of first aid techniques. Basic knowledge of the principles and practices of instructional and recreational program/curriculum development. Basic knowledge of group and individual recreation activities and of their rules and conducts. Working knowledge of varied recreational equipment and its usefulness and limitations concerning diversified recreational programs.

SKILL: Skill in understanding and responding to customer needs. Skill in the operation of program equipment. Skill in the operation of copier and fax machine, telephone, mobile or two-way radio, and various sports equipment used in recreation programs. Skill in administering First Aid and CPR.

ABILITY: Swim and participate with children in swimming related activities; maintain confidentiality in all aspects of the job; manage multiple tasks with frequent interruptions; manage multiple priorities; diffuse and manage volatile and stressful situations; promote and follow City and Department policies and procedures; communicate, interact and work effectively and cooperatively with all people including those from diverse ethnic and educational backgrounds; recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate staff.

Evidence of Qualifications
The licensed childcare director must have verifiable education or training in work with school-age children in such areas as recreation, education, scouting or 4-H; and the program director must have completed at least one of the following qualifications:
• A four (4) year college degree with a major such as recreation, outdoor education, education with a specialty in art, elementary or early childhood education, or a subject in the human service field;
• Two years of college training and six (6) months (910 hours) of satisfactory and verifiable full-time or equivalent part-time, paid or volunteer, experience, since attaining the age of eighteen (18), in the care and supervision of four (4) or more children; or
• Three years (5460 hours) of satisfactory and verifiable full-time or equivalent part-time, paid or volunteer, experience and one of the following qualifications:
• Complete six semester hours, or nine quarter hours in course work from a regionally accredited college or university; or 40 clock hours of training in course work applicable to school-age children and the department-approved courses in injury prevention, and playground safety for School-Aged Child Care Centers within the first nine months of employment.
• Satisfactory experience includes experience in the care and supervision of four or more children from the ages of four (4)-eighteen (18) years old, unrelated to the individual, since attaining the age of eighteen (18).

Driving Positions - Must be 21 years of age with a valid Colorado driver’s license and a good driving record.

Must complete current state required annual continuing education (presently 15 hours minimum) related to one or more of the following: child growth and development, health and safe environment, developmentally appropriate practices, guidance, family relationships, cultural and individual diversity, and professionalism.
