The Executive Assistant at Gateway Studios & Production Services is organized and versatile and possesses excellent written and verbal communication skills. The Executive Assistant performs a variety of administrative tasks for the CEO and COO, including but not limited to scheduling meetings, managing calendars, corresponding with clients, arranging travel plans, and offering excellent customer-service support. The Executive Assistant provides personalized support to the executives and assists them in every possible way to make their day-to-day activities simpler and more efficient.

ESSENTIAL FUNCTIONS

Major Responsibilities

1. Administrative support
• Provide senior executives with day-to-day administrative support.
• Answer phone calls and emails and take messages.
• Communicate via phone, email, or text with any and all contacts, including clients, employees, and any other member of the community.
• Plan travel, including flights, accommodation, and ground transportation.
• Organize receipts and prepare expense reports.
• Manage executives’ calendars and set up meetings
• Organize and manage Zoom calls.
• Manage the flow of information in a timely and accurate manner.
• Write emails and take meeting notes.
• Maintain a high level of professionalism and confidentiality at all times.
• Operate independently with minimal day-to-day guidance and multi-task effectively.

2. Personalized Support
• Provide excellent customer-service support to the executives on a daily basis.
• Run personal errands for executives as needed.
• Communicate effectively and in a timely manner.
• Schedule doctor’s, dentist, and haircut appointments.
• Make restaurant reservations.
• Manage vehicle maintenance by scheduling oil changes, tune ups, tire rotations, etc.

3. Attendance
• Attendance is an essential requirement for this position

4. Any Other Duties Assigned by Supervisor
• To be determined by supervisor on a permanent or project basis

PREFERRED QUALIFICATIONS

Education/Certificates
• Associates degree in a liberal arts program preferred

Experience
• 2-3 years in a similar role preferred

Skills/Abilities
• Strong interpersonal skills
• Strong computer skills with Apple products as well as in MS Excel, Word, PowerPoint and have the ability to learn new applications quickly.
• Proficient with Zoom, Teams, iCal, iPhone, etc.
• Excellent written and verbal communication skills.
• Passion for outstanding customer service and employee engagement.
• Must possess a high degree of integrity, reliability and trustworthiness.

PHYSICAL REQUIREMENTS

Physical Demands
• Ability to work at a consistent pace throughout the shift
• Adequate physical strength to perform duties of job

Strength
• Occasional manual lifting, up to 25 lbs., depending on equipment available (20-30% of shift).
• Occasional manual lifting up to 50 lbs. (5-10% of shift).

Manual Dexterity
• Sufficient manual dexterity to perform activities required under essential functions.
• Frequent light grasping and fine motor tasks (50 - 75% of shift).

Coordination
• Ability to perform gross body coordination and hand-eye coordination tasks without instability.

Mobility
• Ability to sit, stand, bend, squat, lift, crawl, twist and move frequently during working hours.

Frequent standing (50-75%)
• Occasional stair climbing and descending (10% of shift).

Visual
• Must be able to see or use prosthetics that will enable the senses to function adequately to assure that the essential functions of this position can be fully met.

Hearing
• Must be able to hear or use prosthetics that will enable the senses to function adequately to assure that the essential functions of this position can be fully met.

Speech
• Must be able to speak and write the English language in an understandable manner.

Pay: $50,000.00 - $60,000.00 per year
