Our firm, which is consistently ranked by Crain’s as one of New York’s “Best Places to Work,” is seeking an assistant to support our attorneys with their day-to-day needs. The ideal candidate will have substantial previous experience working in the legal field and a demonstrated proficiency using our firm’s applications. This position will report to the assigned attorneys and Human Resources.

PRIMARY JOB FUNCTIONS

· Provide high-level administrative support to assigned attorneys and deliver superior service to the firm’s client.

· Enter, proofread and finalize time entries into Aderant Expert Time and send invoices to clients.

· Maintain the assigned attorneys’ Outlook calendars with meetings (virtual and in-person), conferences, travel and other events.

· Organize conferences and meetings including preparation of agendas, organization of documents, presentations, and all set up logistics.

· Prepare and proofread letters and documents; handle all scanning.

· Responsible for entering all expenses and supporting documents into Chrome River.

· Receive, screen and transfer telephone calls; relay telephone messages according to method preferred by assignments (e.g., written messages, email, or voicemail).

· Open new clients matters and handle all necessary communication.

· Organize and maintain the assigned attorneys’ files; ensure materials are added to iManage.

· Make travel arrangements.

· Prepare and arrange mailings, messenger service, mass copying jobs and other tasks with Office Services.

· Support visiting attorneys/clients when required.

· Perform other related duties as assigned.

SPECIFIC SKILLS, KNOWLEDGE AND ABILITIES REQUIRED

· Ability to communicate and interact with attorneys, clients, all levels of staff and management at the firm.

· Excellent verbal/written communication skills.

· Strong organizational and time management

· Superb attention to detail and ability to multi-task.

· Ability to plan and manage work under time constraints and high-pressure situations.

· Able to work independently and anticipate needs of assignments.

· Exercise confidentiality and discretion.

EDUCATION AND EXPERIENCE

· Bachelor’s degree is required.

· Minimum of 5 years of experience working in the legal field is preferred.

· Must be proficient with MS Word, Excel and Outlook. Aderant Expert Time (billing) and Chrome River (expenses) and iManage (document management system) are a plus.
