Position Summary:

The Administrative Coordinator provides proactive administrative support and coordination for their team. This individual will work across the team, navigating within a fast-paced and changing environment. They will also need to set priorities and handle multiple tasks simultaneously.

Hybrid Position with 3 days of in-person support each week.

Role Functions:
• Provide administrative support for office and assigned Sr. Director; including scheduling, documenting, task management, drafting correspondence, creating agendas, note taking, material preparation, etc.
• Act as first point of contact for inquiries, requests and concerns for assigned Sr. Director
• Oversee planning and coordination of schedules
• Serve as liaison for assigned team; informing team of upcoming commitments and priorities
• Track contract activity for processing and renewals
• Facilitate proactive communication and relationship building with organizational partners.
• Coordinate travel logistics as needed
• Monitor assigned budget, facilitate invoice processing, and reconciliation of expenses
• Partner with Administration Staff to ensure effective office operations.
• Work with Office Manager to ensure efficient office operations including reception, communication, budget, facilities, maintenance & safety.
• Manage assigned projects with goals, timelines and deliverables through to completion.
• Provide In-Person office coverage for reception services and space requests as needed.

Requirements

Required
• 2+ years' experience in an administrative role requiring a high level of detail and confidentiality.
• Experience serving as administrator for multiple team members.
• Experience supporting multiple priorities across multiple teams and audiences.
• Demonstrated ability to effectively manage multiple projects and with various deadlines.
• Excellent written and oral communication skills.
• Excellent time management skills with proven ability to meet deadlines.
• Excellent attention to detail and accuracy.
• Excellent problem solving and skills with the ability to manage upward.
• Excellent customer service skills, handling inquiries and issues with diplomacy and discretion.

This position pays $24.28 per hour, non-exempt. Treehouse also offers a generous paid time off plan, free medical, dental, vision, and 403(b) plan.

Summary:

Through financial resources, Treehouse creates opportunities for children, youth and young adults experiencing foster care to explore their interests, engage in their communities and remove any barriers to their success. This role will serve as an adaptive member of Treehouse's Financial Resources team by processing funding requests and administering funding for participants across the state. The incumbent will negotiate with vendors, prepare internal and external trainings and communicate regularly with youth, caregivers and social workers. If you are detail oriented, well organized and passionate about empowering youth experiencing educational and systemic injustice, this is the role for you.

Essential Functions:

Serve as an adaptive member of the Financial Resources team, by executing services for the Just-in-Time Funding and Drivers Assistance programs in a consistent manner.

Demonstrate motivation towards client and customer support, particularly around phone and email communications, process development and improvement and creative problem solving. Show initiative around process and service improvements, and in sharing and incorporating client feedback.

Participate in annual evaluation of scholarship policies and make recommendations for changes based on client need and overall organizational direction.

In the absence of community resources, administer Treehouse funding to remove barriers to education, basic needs, employment and transportation for eligible participants through online, phone and check payments.

Partner with Treehouse Accounting department to provide mailed checks to all vendors or participants not able to accept credit card payments. This includes working from the main treehouse office on a regular schedule.

Build and maintain collaborative relationships with internal and external stakeholders, funding liaisons, service providers, businesses and educational institutions to increase participant's access to resources and achieve independence.

Serve as subject matter expert on community financial and material resources in key domains such as safe and stable housing, post-high school education, employment, health and well-being, and life skills.

Responsible for responding to voicemails, emails and incoming phone calls with excellent customer service.

Maintain accurate and complete records, participant support needs, contact information, eligibility and approved services. Process and maintain financial reports, scheduled payments and supporting documentation per established guidelines and processing timeline for proper accounting of program funding budget.

Responsible for maintaining internal resource guide and develop training opportunities for regional Education Services staff.

Partner with manager to research, evaluate and monitor vendors and community service partners for quality and effective service.

Provide administrative support to Just-in-Time Funding team through timely and accurate research, data entry, and special projects.

Process monthly check renewals.

Other duties as assigned.

Requirements

Knowledge and experience with trauma-informed customer service.

Ability to provide customer service and document translation in Spanish.

Functional knowledge of resources and support systems for youth in foster care in Washington State.
