The Functional Coordinator for the Office of Financial Aid is directly responsible for student information system setup (SIS), processes, and procedures in Oracle PeopleSoft 9.2 Campus Solutions for the Office of Financial Aid (OFA). This position contributes to the mission of the University by maintaining a system that effectively facilitates the receipt of applications for financial aid, merging internal and external data which culminates in the awarding and disbursement of institutional, state, and federal financial aid funds. Pre and post disbursement, the Functional Coordinator is responsible the integrity and accuracy of data and application processing through efforts to protect the confidentiality of applications, producing accurate and timely monitoring reports, developing and running queries to validate processing status and to facilitate and meet internal and external reporting requirements. The Functional Coordinator serves as the primary resource for configuration, maintenance and support of financial aid functions in the student information system, including importing application data from external sources and exporting relevant financial aid data and results to external organizations which include the US Department of Education, the Maryland Higher Education Commission, state and federal audit organizations, and national higher education survey organizations (US News and World Report). The Functional Coordinator is responsible for working with UBalt Office of Technology Services (OTS) partners to apply annual updates required by federal and/or state regulations. This includes setup, acceptance testing for software updates/upgrades, and the development of queries to insure data integrity. Additionally, this position serves as the technical resource in OFA for all matters pertaining to Oracle PeopleSoft, including troubleshooting setup and data in areas peripheral to OFA such as admissions, student accounts and course registration. Finally, the Coordinator supports additional OFA-related software systems by managing appropriate workflows in the document imaging system, the UBalt CRM (Salesforce), and other secondary systems within the UBalt environment.

Key Functions/Responsibilities/Tasks:

• Coordinates both internal and external file sharing of financial aid related data

Data Documentation and Requests: Oversees the development and maintenance of data documentation in support of consistent and accurate responses to information requests.

Software Testing and Acceptance: Oversees testing by office staff of OFA-related technology systems in support of successful error free financial aid processing.
• Develops and maintains test plans for all existing and new software systems
• Develops and implements test plans for new system modifications or process implementations
• Manage system testing of OFA processes during routine upgrade cycles
• Coordinates testing of Oracle PeopleSoft records bundle
• Responsible for verifying accuracy and reliability of Oracle PeopleSoft delivered bundle updates
Survey/Data Collection and Reporting: Supports and validates internal and external data collection resulting in accurate internal and external reporting.
• Develops and maintains processes for collection and validation of data

Key Functions/Responsibilities/Tasks:
Develop, execute, and evaluate a comprehensive annual giving program. The program will include direct mail appeals, two semesters of the phone program, e-solicitation and social media efforts and the development of a university giving day. Partner with the Donor Relations team to ensure there is a stewardship component for each appeal. Share annual plan with Advancement colleagues so they are aware of planned campaigns, key dates, milestones, and opportunities for collaboration.
Manage administrative projects in a timely manner such as, but not limited to, pledge reminders for the phone program, recurring gift management and renewals, payroll deduction renewals, creation of dedicated online giving links, handling phone and email communications with donors, database documentation.
Partner with colleagues such as the Advancement Communications Manager, Creative Services and Marketing, the Donor Relations team, etc. to develop fundraising appeals. Coordinate and manage vendor relationships to produce and execute direct mail appeals, the phone program, and other annual giving efforts. Connect with Major Gifts Officers to ensure efforts support donor pipeline development.
Partner with the Assistant Vice President to set overall annual giving goals, as well as targets for individual annual giving efforts. Routinely and proactively monitor and evaluate annual giving plan, milestones, and year to date progress. Be flexible and make adjustments to the program plan when necessary in an effort to reach/exceed the overall goal.
Required Education: Bachelor’s degree
Required Experience: Three years' experience in a fundraising position with a proven track record of success.

With supervision and guidance from the Assistant Vice President for Alumni and Donor Services, the Annual Giving Officer is responsible for the creation, implementation, execution, and evaluation of a comprehensive annual giving plan designed to cultivate and retain current donors and acquire new supporters for the University of Baltimore. Key Functions/Responsibilities/Tasks:
Develop, execute, and evaluate a comprehensive annual giving program. The program will include direct mail appeals, two semesters of the phone program, e-solicitation and social media efforts and the development of a university giving day. Partner with the Donor Relations team to ensure there is a stewardship component for each appeal. Share annual plan with Advancement colleagues so they are aware of planned campaigns, key dates, milestones, and opportunities for collaboration.
Manage administrative projects in a timely manner such as, but not limited to, pledge reminders for the phone program, recurring gift management and renewals, payroll deduction renewals, creation of dedicated online giving links, handling phone and email communications with donors, database documentation.
Partner with colleagues such as the Advancement Communications Manager, Creative Services and Marketing, the Donor Relations team, etc. to develop fundraising appeals. Coordinate and manage vendor relationships to produce and execute direct mail appeals, the phone program, and other annual giving efforts. Connect with Major Gifts Officers to ensure efforts support donor pipeline development.
Partner with the Assistant Vice President to set overall annual giving goals, as well as targets for individual annual giving efforts. Routinely and proactively monitor and evaluate annual giving plan, milestones, and year to date progress. Be flexible and make adjustments to the program plan when necessary in an effort to reach/exceed the overall goal.
Required Education: Bachelor’s degree
Required Experience: Three years' experience in a fundraising position with a proven track record of success.
Preferred Experience: Fundraising experience in a higher education setting.

Key Responsibilities:
1. Log, route and prioritize help desk requests in the Help Desk Tracking system related to the W/B HIDTA systems. This position shall accept support tickets via phone, email, or in-person communication. This position shall utilize our “ServiceDesk” software to create and manage support tickets. This position shall analyze, to the best of their ability the problem experienced by the support ticket and either fix or route it to the appropriate staff member for resolution. The position shall also be responsible for the final communication of the resolution of the ticket to the requestor.
2. Provide users with support for the computer hardware and software on the HIDTA Network. This position shall analyze hardware and software problems experienced directly on the HIDTA network. This includes replacing hardware, troubleshooting network connectivity, troubleshooting problems with the Microsoft Windows Operating System and other software that may be installed. This position shall also perform security, virus and malware scans where necessary to troubleshoot problems and clean computers.
3. Assist in troubleshooting system upgrades. The W/B HIDTA network is ever expanding. Occasional infrastructure upgrades such as new computer hardware, phone systems, cellular devices etc. are added. This position shall be responsible for assisting our staff in the implementation. This may involve configuration and dissemination of new hardware, support in training on new devices or additional help desk support related to a system upgrade.
4. Support the development of FAQ’s. This position shall utilize the information learned from frequent support tickets to help the W/B HIDTA develop Frequently Asked Questions regarding our applications. This material will assist other help desk members to quickly resolve problems. This documentation will also be displayed to our users through newsletters, forums and website dissemination.
Education: High School diploma is required; Bachelor's in Information Technology is preferred.
Experience: Minimum 3 years' experience working in help desk or other customer service-oriented field. Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience. Four (4) years’ experience working on a help desk supporting software applications is preferred.
Required Knowledge, Skills and Abilities: The individual in this position must be customer service oriented and have the ability to troubleshoot common computer problems, especially those related to working in a web based/cloud environment. The skillset required for this position includes:
1. Ability to speak and communicate clearly and effectively

The School of Law Administrative Event Coordinator works with various teams in the law school to coordinate and implement a wide variety of signature and other law school events. Duties include, but are not limited to: implementing initial event scheduling and room reservations, coordinating with internal and external constituencies regarding event scheduling and other needs, making sure key event planning milestones are handled and on track, assisting with appropriate event planning communications, and ensuring smooth operation and implementation of event logistics. This position is the main point-of-contact for room reservations for events and other law school activities and managing any furniture moves related to these reservations. This position works extensively with University partners and within the room reservation system. The Coordinator will also assist the Assistant to the Dean in managing the law school building and other work-order requests, and assist with purchases and travel needs of faculty and staff.

Key Functions/Responsibilities/Tasks:
• Coordinate, plan, and implement signature law school events and assist in the planning of a variety of other law school events. Duties include, but are not limited to: meeting with constituencies to discuss and arrange details of pre-event, event, and post-event logistics; implementing space reservations and catering orders; arranging for facilities assistance, equipment, technology support, staffing needs, and set-up and tear-down assistance; assisting to plan the overall décor and feel of the event; ensuring key event-planning milestones are handled and on track; and assisting with appropriate event planning communications. • Serve as the main law school point-of-contact to manage room reservation system and room reservations for all law school events, activities and other bookings, both internal and external. Manage necessary moves and space reconfigurations related to room reservations, working extensively with University partners and within the reservation system. Manage walk-throughs with University partners. Manage work orders and POI requests for law school building. Manage office moves for retiring and new faculty, general faculty and staff moves, furniture move requests, and repurposing of space requests. Assist in onboarding of new employees.
• Assist faculty and staff with purchases and travel.
• Serve as a resource to students, faculty, and staff regarding event policy, protocols and guidelines. Train other staff on how to manage events and lead them in event support. Create and maintain event manual for faculty and staff in the School of Law, setting forth event policies, guidelines and protocols.
• Other administrative duties as assigned.
Required Education: High School Diploma or GED.
Required Experience: 3 years of related professional experience in providing administrative support, excellent customer service, event planning, marketing and/or management.

The School of Law Administrative Event Coordinator works with various teams in the law school to coordinate and implement a wide variety of signature and other law school events. Duties include, but are not limited to: implementing initial event scheduling and room reservations, coordinating with internal and external constituencies regarding event scheduling and other needs, making sure key event planning milestones are handled and on track, assisting with appropriate event planning communications, and ensuring smooth operation and implementation of event logistics. Key Functions/Responsibilities/Tasks:

Key Functions/Responsibilities/Tasks:
Meet aggressive enrollment growth goals by actively pursuing community partnerships to create pipelines of prospects and applicants. Responsible for the evaluation and admission of students who are applying via UBalt’s pipelines. Manage outreach and provide assistance to applicants, admissions staff, and program using TargetX, ImageNow, and PeopleSoft, review, verify, and update application status daily. Ensure complete admissions files for applicants by scanning documents, linking documents from ImageNow to PeopleSoft records, and updating checklist status, education screens, and other data in CRM and PeopleSoft as needed. Expertly use enrollment technology (CRM, Peoplesoft) by using relevant fields, dashboards and reporting to check application status, directors, and advisers. Identify any problems with technology and work with enrollment technology team to develop solutions.
Establish and maintain relationships with key partners within and outside of the University of Baltimore. Maintain relationships with various on-campus staff to facilitate enrollment. Participate in professional organization activities. Network with other admission professionals to ascertain best practices in the field. Maintains agreement databases and annually updates agreements as needed. Advise prospective students via nurturing campaigns and at least bi-weekly contact as they make decisions about furthering their education by providing information about the University, its programs, partners, procedures, and campus life.
Works with the undergraduate team, the assistant director for EM recruitment communication and the Office of Marketing to develop messaging and communication to attract and enroll new students via established pipelines to include the web site, CRM communication, and collateral materials. Creates and maintains a partnership website highlighting UBalt’s partners and opportunities.
Responsible for the evaluation and admission of students who are applying via UBalt’s pipelines. Manage outreach and provide assistance to applicants, admissions staff, and program using TargetX, ImageNow, and PeopleSoft, review, verify, and update application status daily. Ensure complete admissions files for applicants by scanning documents, linking documents from ImageNow to PeopleSoft records, and updating checklist status, education screens, and other data in CRM and PeopleSoft as needed. Expertly use enrollment technology (CRM, Peoplesoft) by using relevant fields, dashboards and reporting to check application status, directors, and advisers. Identify any problems with technology and work with enrollment technology team to develop solutions.
Establish and maintain relationships with key partners within and outside of the University of Baltimore. Maintain relationships with various on-campus staff to facilitate enrollment. Participate in professional organization activities. Network with other admission professionals to ascertain best practices in the field. Understand competitive activity (new recruitment practices, scholarship activity etc.,) within the region and critically evaluate and recommend any adjustments needed to undergraduate transfer recruitment initiatives. Works with academic affairs to support recruitment efforts, develop articulation agreements, and align community college/four-year curriculum to ensure ease of transfer credits and academic preparedness; focus on expanding opportunities for credit for prior learning. Supports Shady Grove enrollment initiatives by developing, implementing and assessing a recruitment plan for programs offered at the Universities at Shady Grove campus.
