The Facilities and Commercial Activities Service (FCAS) operates the Headquarters complex, striving to provide effective and efficient planning, management, maintenance and operation for all existing physical facilities and assets at the United Nations (UN) Headquarters, New York. FCAS also supports office and conference facilities, property management, travel and transportation services, archives and records management, mail and pouch operations, catering, giftshop and the United Nations Postal Administration (UNPA).
The Archives and Records Management Section (ARMS) manages and preserves UN historical archives. Provide access to UN Archives to Member States, Staff and the public at large, both online through the archives portal https://archives.un.org and ARMS research room.
The incumbent reports directly to the Information Management Officer in the Records Management Unit.
Responsibilities - Facilitates the accession of non-current records by delivering boxes and forms to transferring offices; instructing offices in the completion of forms and packing procedures; picking up boxed materials and storing them in temporary areas at Headquarters (HQ) and monitoring United Nations drivers and movers during the transfer of records between HQ and ARMS.
- Facilitates intellectual control over transferred records by checking boxed files against transfer lists to assure correct arrangement and completeness, noting anomalies where necessary; sorting boxes in series order and assuring their correct arrangement on shelves; shifting boxes within storage area for archival processing or retrieval purposes; and making locational changes in the Archives and Records Management Section (ARMS) database.
- Facilitates records disposal by separating scheduled from non-scheduled records according to instructions of the archives assistant; prepares disposable records for the carting facility; and witness records destruction.
- Under guidelines established by United Nations or contractual archivist(s), removes defined ephemeral materials; review file titles and folder arrangement to assure conformity with the ARMS Description Manual or ad-hoc standards; refolders records and stamps new folders with location and other established identifiers; and enters folder, box, and series descriptors into the ARMS database.
- Responds to internal requests by searching traditional findings aids and/or the ARMS database to locate records, retrieving files and generating microfilm, preparing loans for delivery to Secretariat offices.
- Responds to external requests by assisting researchers in the completion of data and records request forms and delivering items requested, also requests from UN Staff, Member States, and the public.
- Safeguards records by delivering security-classified records to the ARMS
access/declassification officer for screening, verifying that internal requestors are authorized to receive loans, coordinating changes in the Authorized Users List with Human Resources Services Division (HRSD) and issuing clearances for separating staff with no outstanding loans.
- Maintains accurate location records by registering charge-outs, loans and returns in the ARMS database and returning files to their original shelf locations. Using a barcode scanner and ARMS records management system, scans box label to control their physical movement.
- Prepares reproduction orders and invoices, drafts transmittal letters for review of the archives assistant and signature of the Chief, ARMS, and hand-delivers remittances to the Cashier's Office.
- Undertakes administrative functions relating to the daily operations of the unit, including maintenance of ARMS Central File at ARMS, IT and applications operations connected with requisitioning and contracts, maintenance of supply stores, arranging for the servicing of telephones and other technical equipment, and mail delivery and documents distribution; assumes other duties as assigned. Monitors the environmental controls and physical security of repositories.

Knowledge Hub Launch

Knowledge Hub Operation and Maintenance
- Develop, in coordination with SSR-KH members, a 12-month ‘priority topics of discussion’ plan.

Responsibilities Under the overall guidance of the Shop Foreperson and the supervision of the General Foreperson of the Unit, the incumbent is responsible for the following duties:
\- Maintains and constructs metal and sheetrock (dry wall) partitions for offices and other space, floor tiles, including all masonry works and assembles furniture and shelving units throughout the United Nations complex and off-site leased premises.
\- Performs as a lead person by distributing work assignments on the job site and supervises staff under him during shift operations, including the evening and weekends.
\- On occasion, assembles and dismantles stages for UN special events or scaffolding for maintenance of projects and transports materials to job sites.
\- Assists in general upkeep and maintenance of the Secretary General's Residence, including demolition and renovation work.
\- Follows safe work practices and observes safety precautions. In the absence of the Foreperson, the Lead person, assumes the responsibility of the Foreperson of the Shop.
\- Performs other duties as assigned by the supervisors.

Responsibilities
The SAP technology specialist supports the ongoing implementations of the ERP SAP implementation of the Umoja solution specifically the Enterprise Central Component (ECC), Workflow and Interfaces with both SAP and non-SAP systems and applications, as well as in respect of back-end integration points across systems and workstreams of the Umoja solution [particularly Finance and SCM] and integration with Cloud solutions.
Under direct supervision of ERP Officers, the post will specifically support work in the following areas of the ERP implementation by alignment with best practices:
1. Ongoing Technical DEVELOPMENT and PROGRAMMING: under the direction of the technical lead.
– Supports the definition, design, coding, testing and deployment workflows, reports, integrations, customizations, enhancements and forms primarily using ABAP and other SAP specific technologies such as IDocs, BAPIs, RFCs, PI/PO, BADI, Fiori, Web Dynpro.
– Supports existing FRICEW objects, analyzing any defects/issues raised, applying OSS notes, supporting any issues with FRICEW, identify gaps and provide solution(s), translate it to technical efforts and estimate the work for the same.
– Provides support to existing SAP implementation and develop incremental enhancements to functionality and/or new functionality as needed.
– Assists the SAP Architect in diagnosing issues, creating prototypes (as necessary) and liaising with Functional Teams ensuring the solution meets the needs of the business.
– Effectively analyzes root causes to provide solutions for production and development or assure optimization of performance objects and systems utilizing best practices.
– Develops and maintains appropriate documentation in respect of all of the above [covering the initial analysis of requirements, architecture design options, and the deployment cycle from build, testing to releasing activities].
– Build, develop and grow business relationships with users, IT teams and partners.
– Provide regular communication to management on work assignment issues and status.
2. INTEGRATION: under the guidance of the Integration Architect.
– Supports the building and maintenance of complex objects which involves integration to external systems.
– Develops and maintains integration of many interrelated systems, program elements and applications; ensuring appropriate data security and access controls considering both local and wide-area issues.
3. Application Life Management [ALM] and ChaRM
– Assists in Development methodologies.
– Utilizes tools like ChaRM for ensuring developments within the SAP area are transported correctly throughout the landscape and assisting other teams for any transport failures related to development objects.
– Recommends SAP best practices across the project for ensuring proper implementations of Releases and Upgrades.

Responsibilities
The SAP technology specialist supports the ongoing implementations of the ERP SAP implementation of the Umoja solution specifically the Enterprise Central Component (ECC), Workflow and Interfaces with both SAP and non-SAP systems and applications, as well as in respect of back-end integration points across systems and workstreams of the Umoja solution [particularly Finance and SCM] and integration with Cloud solutions.
Under direct supervision of ERP Officers, the post will specifically support work in the following areas of the ERP implementation by alignment with best practices:
1. Ongoing Technical DEVELOPMENT and PROGRAMMING: under the direction of the technical lead.
– Supports the definition, design, coding, testing and deployment workflows, reports, integrations, customizations, enhancements and forms primarily using ABAP and other SAP specific technologies such as IDocs, BAPIs, RFCs, PI/PO, BADI, Fiori, Web Dynpro.
– Supports existing FRICEW objects, analyzing any defects/issues raised, applying OSS notes, supporting any issues with FRICEW, identify gaps and provide solution(s), translate it to technical efforts and estimate the work for the same.
– Provides support to existing SAP implementation and develop incremental enhancements to functionality and/or new functionality as needed.
– Assists the SAP Architect in diagnosing issues, creating prototypes (as necessary) and liaising with Functional Teams ensuring the solution meets the needs of the business.
– Effectively analyzes root causes to provide solutions for production and development or assure optimization of performance objects and systems utilizing best practices.
– Develops and maintains appropriate documentation in respect of all of the above [covering the initial analysis of requirements, architecture design options, and the deployment cycle from build, testing to releasing activities].
– Build, develop and grow business relationships with users, IT teams and partners.
– Provide regular communication to management on work assignment issues and status.
2. INTEGRATION: under the guidance of the Integration Architect.
– Supports the building and maintenance of complex objects which involves integration to external systems.

3. Application Life Management [ALM] and ChaRM
– Assists in Development methodologies.
– Utilizes tools like ChaRM for ensuring developments within the SAP area are transported correctly throughout the landscape and assisting other teams for any transport failures related to development objects.
– Recommends SAP best practices across the project for ensuring proper implementations of Releases and Upgrades.
4. Others as required.

SAP Certifications are desirable.
Work Experience
A minimum of five years of progressively responsible experience in planning, design, development, implementation and maintenance of an ERP information systems within an SAP environment is required.
Experience with development in SAP and with the related SAP tools for implementation, which includes: ABAP, Webdynpro, is required.
Experience with SAP Public Sector modules such as Finance Integration, Funds and Grants Management (FM/GM) and Supply Chain Modules [SCM] as well as with interfaces and data transfers from/to SAP and non-SAP systems is desirable.
Languages
