What do we need?

Project Assistants are responsible for assisting with document preparation and electronic filing with the USPTO, reporting various notices and deadlines to clients, and handling various client-specific projects, including, but not limited to, report creation and maintenance, document management, monitoring and reporting the status of client matters. A successful Project Assistant proactively takes responsibility and ownership for work and projects assigned to them.Our office is still primarily working remotely. This position can be a hybrid from the D.C. area or full-time remote from U.S. locations outside the D.C. area.

How will you make an impact?
• Acquiring and maintaining knowledge of USPTO rules and filing systems, firm procedures and policies, and established client guidelines to determine necessary action to be taken in patent applications in response to docketed deadlines and incoming correspondence.
• Assisting assigned team with tasks supporting the process of filing patent applications at the U.S. Patent and Trademark Office (USPTO), including requesting and tracking formal documents. Assisting other teams and with special projects upon request.
• Drafting correspondence including letters to clients, foreign associates, and vendors relating to patent searches, prosecution, and maintenance.
• Ensuring the accuracy and timeliness of updating electronic files by profiling incoming and outgoing correspondence to client matter files in the document management system.
• Handling special client reporting and docket maintenance in accordance with standard firm and current client procedures
• Demonstrating ownership of assigned work.
• Completing various prosecution-related and client-service related tasks assigned by supervisor and teammates, working ahead of deadlines and in accordance with firm and/or client Service Level Agreements.
• Exercising excellent attention to detail, professional judgment and initiative in following firm second-eye policies when communicating with client (as needed) and preparing responsive documents to assure timeliness and that work product consistently meets the highest levels of quality.
• Handling firm and client confidential information and personal documents in a discreet manner, not disclosing any firm or client confidential information to any third party.
• Proofreading legal documents for errors.
• Some appointment and meeting scheduling, if needed.

What will you bring to the role?
• Bachelor's degree preferred, though not required.
• Prior administrative or office experience a plus.
• Ability to manage your own work tasks, set your own deadlines, keep yourself on track.
• Ability to receive and process constructive feedback.
• Ability to follow and effectively execute instructions.
• Ability to work effectively under pressure.
• Good judgment skills to handle a variety of legal and administrative tasks.
