In collaboration with UW Medicine IT Services ('ITS') and under the general guidance of the Applications Team Manager, the primary focus of the Epic Phoenix Applications Analyst position is to closely collaborate with other Applications Team members and internal UW Medicine customers to provide a service oriented, cross-functional, knowledgeable, single point of technical leadership for application tools and workflows.

Currently holds Epic Phoenix certification (or equivalent with other EHR systems) OR has had Epic proficiency (or equivalent) for 2+ years in relevant functional/business area.

2+ years' experience must include the following:
1+ years providing EHR systems application maintenance/support.
Demonstrates a strong customer-oriented mindset, with experience building relationships, setting expectations, and collaborating across groups to ensure customers receive top quality service.

• Close assigned SDM tickets within the standard service level agreement timeframe.
• Create and maintain class information in the Learning Hub.

Computer Training Room Reservations (10%)
• Work closely with ITS and CIS Leadership, Training Development and Delivery Specialists, Nurse Managers, Charge Nurses, Clinic Managers, Department Managers, Nursing Staff Development staff, and physician liaisons to gather required information and secure computer training room reservations for new employee orientation, medical/nursing student/resident rotations, medical staff onboarding, and project training.
• Update, maintain, and coordinate multiple training room calendars/schedules to satisfy multiple (and possibly competing) training facility requests with meticulous attention to detail and accuracy.
• Monitor room reservation email account and follow up on room reservation requests.

EHR Training Logistics Methodology (10%)
• Assist Lead Training Coordinator with developing and maintaining procedures and planning for overall EHR training logistics methodology.
• Assist Lead Training Coordinator to apply logistics-management principals to develop standardized procedures for operations registration, attendance, course completion, etc. in EHR training across disciplines.
• Assist Lead Training Coordinator in updating education logistics procedures based on enterprise changes in related programs (e.g.: SOM, GME, etc.).
• Assist Lead Training Coordinator with creating and maintaining registration documentation as required by auditors.

Administrative Responsibilities (10%)
• Support organizational contacts and administrative contacts within UW Medicine system as appropriate for mission.

This position promotes the implementation of UW Medicine IT Services' strategy, focusing on standard technologies and providing the user community (including remote affiliates) with well-supported services and tools consistent with the standards and guidelines within UW Medicine.

Under the general guidance of the Operations Supervisor, End Device Support, this position is responsible for the coordination of management of desktop end computing devices within UW Medicine. This position will identify needs, perform technical analysis on client systems, adapt and integrate existing software and hardware systems within UW Medicine. This position will participate in the on-call schedule in support of a 24-hour/7-day production environment. The position will work with departmental IT staff to train them and their clients in Medical Center standard systems.

RESPONSIBILITIES

Analyze, install, configure, maintain and troubleshoot end computing devices, system software and drivers in support of UW Medicine-wide systems, departments and individual users.

Assist other team members with research and problem solving. Provide consultation to other support team members, IT Services project teams and the general Medical Center user community.
Participate in large and small scale project related duties.
Support IT Services standards for infrastructure. Ensure that procedures are followed to ensure the security and integrity of data and software.
Work with selected software and hardware vendors to provide user functionality in a manner consistent with UW Medicine standards, policies and practice.
Assist in the development of strategies for hardware and software architectures, and strategies to ensure their applicability to Medical Center needs.
Participate in departmental quality improvement projects when required.
Participate in the 24x7 on-call rotation.

REQUIREMENTS

Three years of experience in programming and/or computer support services of a technical nature OR One year of experience as Computer Support Analyst I OR equivalent education/experience.

As a member of the Health System Philanthropy team, the Associate Director for Health System Philanthropy (Associate Director) focuses on securing gifts $25,000+) and cultivating donors who have the capacity to give at that level. The Associate Director will work with the Director for Philanthropy, Assistant Vice President for Health System Philanthropy, Associate Vice President, Campaign, the Chief Advancement Officer, academic leaders, volunteers, and other Advancement staffs to identify, cultivate, and solicit major gift prospective donors for gifts in support of UW Medicine.

The Associate Director position provides strategic leadership and direction for critical and high-profile programs that support major fundraising programs. It coordinates activities across UW Medicine — Harborview Medical Center, UW Medical Center, Northwest Hospital and Medical Center, Valley Medical Center, UW Neighborhood Clinics and Airlift Northwest — and must work collaboratively with diverse constituencies with diverse goals and expectations.

The Associate Director reports to the Director for Health System Philanthropy. He/she will have assigned responsibility for oversight and coordination of major gift fundraising programs in one or more health system entities, departments and/or programs, and will be expected to work closely with UW Medicine Leadership, department chairs, clinical faculty, and volunteers. The Associate Director may have assigned responsibility for staffing one or more volunteer committees.

DUTIES AND RESPONSIBILITIES

Direct Fundraising Responsibilities (85%):
• Develop strategic plans for each assigned department, division, and program area within the context of the overall UW Medicine Advancement plan. Work with department chairs, hospital leaders, and clinical faculty to develop funding priorities and to implement advancement programs needed to sustain major gift ($25k+) support. Develop a pool of primarily individual, with some joint responsibility for corporate and foundation, major gift prospective donors for each assigned area. Identifying prospective major gift donors is critical to success. Coordinate the participation of department chairs, hospital leaders, and clinical faculty in major gift fundraising activities.
• Manage a portfolio of 100 to 125 major gift prospective donors ($25k+) with a focus on those individuals with potential of $50,000 or more. Work with academic and hospital leadership and volunteers to identify and qualify new major gift prospective donors. Donor prospects include grateful patients, faculty, emeritus faculty and alumni, staff, friends of UW Medicine, trustees, and key business and community leaders. Develop and implement a cultivation and solicitation strategy for each assigned major gift prospective donor. Record and track all activity using the University’s prospect management and tracking system. Prepare written proposals, informational materials, endowment agreements, gift illustrations, and other materials needed to secure major gifts. For each major gift donor managed, develop appropriate stewardship activities within the context of the overall stewardship plan.
• Maintain a “Top 25” pool of prospective major gift donors who will be solicited in the next 12-18 month period.
• Make approximately 8 to 10 strategic cultivation, solicitation, or stewardship contacts each month to major gift prospective donors that move the potential donor toward major gift commitment. Face-to-face visits are preferred, unless the prospective donor indicates otherwise. Seek opportunities to engage prospects, and current and lapsed donors to increase major and principal gift commitments and expand overall donor pipeline.
• Develop and present 12 to 20 major gift proposals each year with a target of securing an average of $500,000+ in new commitments.
• As appropriate, identify, recruit, train, and develop leadership roles for volunteers who assist with major gift fundraising activities. Staff volunteer fundraising partnerships and committees as assigned.

Activities in Support of Direct Fundraising (10%):
• As needed, coordinate major gift fundraising activities with UW and UW Medicine colleagues in Gift Planning, Corporate and Foundation Relations, Principal Gifts, Regional Gifts, etc.
• Work with UW and UW Medicine colleagues to develop special events, marketing materials, and donor relations activities to support major gift fundraising.
• The Associate Director may have assigned responsibility for staffing one or more volunteer committees.
• Train faculty and volunteers on fundraising best practices, ensuring that all state and federal (HIPAA) privacy regulations are followed, as appropriate.
• Seek appropriate training opportunities, including training necessary for proficiency in the use of gift planning techniques.
• Prepare annual operating plan and progress reports as requested.
• Complete annual performance self-assessment as key component of Annual Review.

Other duties as assigned (5%).

MINIMUM REQUIREMENTS
• Bachelor’s degree and a minimum of four years of experience in institutional advancement, including experience in constituency relations and fundraising events.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

UW Medicine’s Information Technology Services (ITS) department is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), UW Medical Center-Montlake (UWMC-Montlake), UW Medical Center-Northwest (UWMC-NW), Valley Medical Center (VMC), UW Neighborhood Clinics (UWNC), UW Physicians (UWP), UW School of Medicine (SOM) and Airlift Northwest (ALNW). In addition, UW Medicine shares in the ownership and governance of Children’s University Medical Group and Seattle Cancer Care Alliance (a partnership between UW Medicine, Fred Hutchinson Cancer Research and Seattle Children’s). • Provide feedback to Manager on team members, customers, and other staff to support the development of training and education.

ITIL Process Coordination - Configuration, Reporting, Change, Problem, SR, & Incident Management (10%)
• Work closely with ITIL process owners and stakeholders to ensure ServiceNow is configured to meet their requirements and facilitate technical meetings as needed for enhancements and incidents.
• Assist with CMDB optimization.
• Assess agreed upon KPI’s using a continual improvement lens.

Other (5%)
• Contribute to professional development of the ITSM team and its environment through the education/training of other team members and process/communication improvement initiatives.
• Work with ITSM Assistant Director to set professional goals for career development.
• Act as back-up for other team members and functions, as needed.

REQUIREMENTS

• Bachelor’s Degree in Computer Science, Engineering, Software Development, Information Technology, or related field or equivalent combination of education/experience.

5+ years’ experience in software development with a demonstrated progression in responsibilities, including:
• 1+ year(s) of formal mentorship for technology professionals.
• 5+ years’ experience with ServiceNow Platform.
• ServiceNow Certifications for System Administrator and Certified Implementation Specialist (or commitment to attain these certifications within six months of hire date).
• Possess ITIL Foundation certification; if not currently certified, this certification must be achieved within six months of start date.
• Advanced understanding of ServiceNow platform and implementation experience with at least 2 of the following ServiceNow application suites: CSM, FSM, ITSM, ITOM, HRSD, GRC/IRM and/or SecOps.
• Advanced understanding of ServiceNow core application UI and workflow configuration, report development, integration components (e.g. LDAP, SSO, etc.) as they pertain to Customer Service implementation requirements.

CONDITIONS OF EMPLOYMENT

This is an Information Technology deadline-driven work environment.
The individual in this position is expected to work normal daytime hours. The majority of work is performed in an office environment during normal business hours; however, significant off-hours and weekends may be needed to resolve problems and respond to emergencies. This individual is expected to be available for emergencies (business continuity/disaster recovery efforts) on a 24x7 basis as needed.
