RESPONSIBILITIES

This position manages all day-to-day financial operations for Educational Pathways and Outreach (EPO) which includes EPO Administration, Stout Online, Continuing Education and Conferences, and Educational Pathways (CE Credit). The Financial Specialist II assists with employment systems, budget development, and other related activities, and serves as the EPO liaison for all financial and budget issues that impact the department (both internal and external) and works closely with the ESI Business Manager. This position requires engagement at a variety of levels within the organization and the capability to perform multiple tasks and projects simultaneously, exercises considerable independent judgment, and is detail oriented.
• 50% - Management of all day-to-day financial operations for Educational Pathways and Outreach (EPO) which includes EPO Administration, Stout Online, Continuing Education and Conferences, and Educational Pathways financial operations.
• 20% - Stout Online

o Facilitating a variety of financial responsibilities within Stout Online.
• 15% - Conferences, Workshops, Non-Credit courses for Continuing Education and Conferences and Credit Outreach

o Facilitating all financial aspects of Conferences, Workshops, Non-Credit courses for Continuing Education and Conferences and Credit Outreach
• 10% - Facilitates EPO budget development process.
• 5% - Performs other duties as directed.

UW-Stout¿s Educational Pathways and Outreach department is comprised of three areas: Continuing Education and Conferences, Educational Pathways, Stout Online, overseen by an executive director.

Continuing Education and Conferences supports the mission of the University of Wisconsin-Stout by providing adult learners with access to university education and resources for the enrichment of their lives, both personally and professionally. Their programs and services include certificate programs and noncredit courses, many offering optional college credit; conferences and workshops covering a variety of topical areas; customized business training and educational programs; and program and event planning services.

Continuing Education is committed to meeting the outreach and lifelong educational needs of learners. Through the development and delivery of courses and programs on campus, online and at designated off-campus locations, they connect the resources of the university with individual needs. Coursework can be applied toward professional development, certificates, certifications, degree completion and graduate degrees.

Stout Online¿s Customized Instruction (CI) degree programs, certificates, and certifications are designed to bring courses to life in an online format using the innovative Canvas learning system. These customized instruction opportunities are provided at undergraduate or graduate level, bachelor to doctorate, and may be completed online, hybrid, or through other arrangements convenient to each student¿s specific lifestyle. Stout Online helps students to finish a degree, make a career change, or update professional skills for career advancement.

20% Administrative Assistant to the Director of the School of Art & Design (hereafter referred to as “School”)
• Provide support to the Director of School
• Produce and coordinate all written and electronic documentation required by Director including all correspondence, letters, memos, forms, reports, course proposals and proposals with both internal and external stakeholders.
• Alert Director to personnel, facilities, and student problems.
• Maintain calendars and appointments for the Director. Provide appropriate supporting materials for the appointments and meetings
• Coordinate logistics, authorizations, and reimbursement for travel, including but not limited to conference registrations, lodging, and transportation.
• Read and review correspondence and incoming mail. Bring high priority items and recommendations on action to attention of Director.

60% Office Manager for the School of Art & Design
• Manage overall office operation for the School.
• Route forms and requests as needed, ensuring proper signatures are obtained and deadlines are observed.
• Maintain official copies of School governance documents
• Update distribution and mailing lists.
• Work with LIT to keep printer/scanner personnel list updated and oversee School printing budgets.
• Maintain Outlook and School Teams distribution lists
• Work with LIT to maintain current list of School Imagenow/Perceptive Content users
• Maintain and remove former School personnel from card access records, Imagenow and email and calendar distribution lists
• Provide school committee list to Dean’s Office. Provide current school by-laws to Faculty Senate.

• Maintain classified brochure and update School personnel directory/phone list

• Coordinate School of Art & Design meetings: schedule meeting dates, prepare agendas, compile, and organize supporting materials, and distribute agendas. Take accurate minutes of meetings and disseminate. Follow up on agenda items that require further action.
• Completes paperwork, office assignments, key request forms, nameplates, furniture and other supplies and materials for all new hires.
• Coordinate all on-campus and US postal mail for School, as well as maintain faculty/staff mailboxes as needed.
• Initiates and answers telephone calls with on-campus departments and outside agencies, supplies information in relation to the school and uses judgement in referring calls
• Coordinate timely handling of requests for room reservations and Furlong Gallery Atrium Events which are overseen by the Director.
• Maintain School office budgets and anticipate office needs, ordering supplies, services, or equipment accordingly.
• Work with School of Art & Design Process Lab to provide locker labels for student signup
• Maintain display case signups for artwork in School of Art & Design
• Assist with annual NASAD Accreditation reports
• Assist with NASAD Accreditation self-studies and site visits when they occur
• Comply with annual key audit and report results and inconsistencies for keyholders
• Provide assistance to faculty and administrators for work requests for building repairs and laboratories.
• Resolve or report custodial and maintenance problems.
• Assist with data gathering for various school reports.
• Surplus equipment that is no longer used.
• Develop and maintain operational files in the School offices for efficient retrieval. Archive files according to campus record retention standards, while always maintaining security and confidentiality.
• Oversee card access requests for 40+ entrances and rooms for over 1,300 students in Applied Arts, Micheels Hall, and Heritage Hall using the card access software system. Notify supervisor and requestor when access has been granted. Process proper forms and route for approval & appropriate signatures.
• Update and maintain all data and records for over 1,200 students, faculty & staff for safety training provided by the Process Lab and Digital Process Lab in the School of Art & Design.
• Assist in recruiting/hiring of new school support staff
• Coordinate and maintain school paperwork and records of the hiring process.
• Attend Affirmative Action training and other informational meetings as required to execute Talent Acquisition Coordinator position for hiring process.
• Upload all supporting documents into TAM online portal for permanent record and public review including, advertising notices, screening tools, screening matrix, letters, memos, interview schedules, financial records, and written approvals for all stages of the hiring process.
• All other duties as assigned by the Director

10% Shared Responsibilities with School Staff
• Provides administrative assistance and makes decisions without direct supervision and with assigned authority, including extensive liaison between school director, chairs, program directors, faculty/staff, students and on/off campus departments and individuals
• Comply with recognized environmental health and safety practices.
• Participate in professional development activities to keep skills up to date.
• Maintains knowledge of various software programs used within the School and learns new software programs as required by University, College, or School policy

ABOUT THE JOB: CUSTODIAN

The mission of the UW Stout Academic Custodial Team is to provide an exceptional experience for students, staff, and visitors through the delivery of cleaning services and upkeep of the campus buildings. Work is to be performed in accordance with best practices, Standard Operating Procedures (SOPs), and Work Instructions (WI). This position reports directly to the Custodial Supervisor and receives direction and feedback from Custodial Leads, and Custodial Supervisor.

Core Job Responsibilities
• Effectively perform and meet cleaning and maintenance expectations in assigned areas as defined by the Stout Cleaning Standards and operational requirements
• Properly use and care for all equipment
• Maintain organization of supply areas and equipment
• Maintain clean/clear walkways to ensure they are free of debris, litter, snow, and ice
• Document inventory and request additional supplies as needed
• Document and report needed repairs, vandalism, and pest control concerns
• Work with campus customers, co-workers, and supervisors as a team
• Have a commitment to safety and quality by ensuring all activities performed on campus are done in accordance with Campus policies, safety practices, including the use of Personal Protective Equipment (PPE), Standard Operating Procedures (SOP)s, and Work Instructions (WI)s

COLLEGE INFORMATION

The College of (CSTEMM) expands the reach of science, technology, engineering and mathematics to include cross-disciplinary partnerships in the areas of leadership and management. The result is a robust college network that includes eight academic departments, three schools - the Robert F. Cervenka School of Engineering, the School of Management and the School of Hospitality Leadership—two centers, and the Army ROTC program. CSTEMM is comprised of several nationally recognized programs, four distinguished professorships, and offers online, hybrid and in-person offerings, at both the undergraduate and graduate level. Offerings also include certificates and specializations available to working adults, and pre-professional offerings in the Health Sciences areas.

CSTEMM includes specialized laboratories across five buildings, and approximately 150 faculty and staff and 4,400 students.

POSITION SUMMARY

As a direct report to the Provost and Vice Chancellor for Academic Affairs, the position is responsible for the general oversight, strategic vision, operational and active leadership of the departments, schools and centers that comprise CSTEMM. UW-Stout has recently embarked on an inaugural five-year comprehensive academic plan and the dean will leverage that work to further ensure the success of CSTEMM. This is a full-time, annual, Limited appointment. Applicants may be considered for a concurrent tenure appointment per UWS Administrative Policy 1250. The projected start date is July 1, 2023.

JOB DETAILS

The Dean is the chief academic and administrative leader for the College of Science, Technology, Engineering, Mathematics, and Management (CSTEMM) and is responsible for fiscal and personnel management, strategic planning, fundraising, partnership-building, and promoting equity, diversity and inclusivity. The Dean works with faculty, staff, campus-wide units and the university community to achieve the university’s mission and vision, to model the university's values, and to build and sustain strong collaborations.

The Dean will facilitate a college vision and strategic direction, leading the college in a unified plan of action and one that promotes positive interactions across university units to support UW-Stout's polytechnic mission and commitment to accessible and applied education. The Dean supports, encourages, and promotes excellence in teaching, research, scholarship and service. The Dean is responsible for program development, year-round strategic enrollment management, faculty and staff recruitment and retention, fiscal management, and for prioritizing student success. The Dean also serves as the College’s building supervisor of academic buildings, including classroom and laboratory spaces.

As a spokesperson for the College, the Dean provides leadership for fundraising and development efforts in collaboration with the Stout University Foundation, industry outreach in collaboration with the Discovery Center, and maintains extensive contacts with accrediting bodies, alumni, regional employers and businesses, educational partnerships (K-20), and the community at-large. The Dean works efficiently and effectively, striving for improvement, innovation and excellence in all aspects of the College, across all campus units, while following university and UW System policies, rules, regulations and guidelines.

RESPONSIBILITIES
• Work with faculty, staff, students and university administration to develop a vision for the College that will lead to increased student retention and enrollment, through the cultivation of existing programs and development of new program offerings
• Support the University’s commitment to addressing issues pertaining to diversity, equity, and inclusion to foster a culture where members of the college community, including faculty, staff, and students are active partners in creating an open, inclusive, and equitable learning environment
• Develop and implement strategies to hire and retain high-quality and diverse faculty and staff
• Foster collaborative, cross-disciplinary partnerships with shared governance and across all campus units
• Develop, promote, and implement year-round strategic enrollment management initiatives in collaboration with the Enrollment and Strategic Initiatives unit
• Manage college budgets responsibly to maximize student learning and faculty/staff professional development
• Evaluate faculty and staff, in coordination with the department chairs, to facilitate continued professional growth and development
• Foster and expand partnerships through outreach and engagement with educational institutions (K-20), business, and the community, in coordination with the University Partnership Council
• Work with the Stout University Foundation and other campus leaders to increase cultivation and stewardship, and raise funds, both public and private, for the College and University
• Support the missions of and advocate for all units in the College
• Implement the University’s mission, vision, values and FOCUS2030 goals in the context of the College

QUALIFICATIONS

Minimum Qualifications
• Earned terminal academic degree in one of the disciplines represented by the College
• Strong record of teaching, research, scholarship, publication and professional experience warranting an appointment as a tenured professor
• Demonstrated commitment to equity, diversity and inclusivity
• Demonstrated commitment to professional development of faculty and staff
• Excellent interpersonal communication and customer service skills
• Minimum of five (5) years of higher education administrative leadership experience
• Demonstrated understanding of the challenges and opportunities of a rapidly changing higher education environment at the local, state, national, and international levels

Preferred Qualifications
• Demonstrated experience with program, discipline-specific accreditations
• Demonstrated experience with establishing and sustaining partnerships between business/industry and educational institutions
• Demonstrated skills in creative and entrepreneurial problem-solving
• Successful experience in fundraising; examples may include grants and philanthropy, public relations, working with advisory committees/community boards, or communications to external stakeholders
• Demonstrated alignment with the FOCUS2030 goals, mission, and values of UW-Stout
