The mission for the Maine Center for Disease Control and Prevention (Maine CDC), within which this position is located, is to develop and deliver services to preserve, protect, and promote the health and well-being of the citizens of Maine.

Job Description:

The Maine CDC, Division of Environmental & Community Health is seeking a dynamic new team member. In this position, you will serve as the Office Manager and provide primary operational support for the Division. Responsibilities include the monitoring, reviewing, and development of forms, records, and files to determine and assure completeness and accuracy. You will establish and modify work methods, procedures, office records, and systems to assure office management objectives and standards are established and maintained. You will also establish and maintain systems for operational and financial tracking, format materials and documents to ensure information is presented in an organized and effective manner and assist in the preparation of documents and reports for federal grants and other projects. This position is expected to be trained and be an active member of the leadership team for the Division of Environmental & Community Health and to assist with CDC-wide tasks as called upon.

Core Responsibilities:

As a key member of the Division of Environmental & Community Health, you will:
• Manage onboarding new hire employees with essential paperwork, including meeting with new staff to go through the new hire paperwork, ensuring new staff member has all necessary equipment available, and working with the Office of Information & Technology (OIT) for appropriate system access.
• Monitor, requisition, purchase, and maintain inventory of supplies and equipment, including creating Delivery Orders and Purchase Orders in Advantage.
• Serve as the Primary Office Approver for Maine Pays travel application and reviewer for paper travel vouchers.
• Work collaboratively and effectively with Maine CDC and DHHS financial systems staff to provide ongoing support to the process of completing federal grant applications and progress reports.
• Perform other administrative tasks including arranging and organizing meetings and forums, conference room scheduling, preparing meeting and display materials, recording meeting notes, arranging remote access (e.g., Adobe Connect, conference calls), making travel arrangements as requested, entering building work orders, coordinating workstation moves, ordering workstation evaluations and equipment, making orders for repair and maintenance for printers and copiers, submitting personnel action reports, and other critical tasks to the successful operation of the Division.
• Maintain a shared electronic filing system.

MINIMUM REQUIREMENTS:

Competency in applying a proficient knowledge of office operational processes to perform advanced work in coordinating and performing multiple distinct office support functions for a large satellite office or operational unit, or multiple small units. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I, Office Associate II, and Office Specialist I.

Preferred candidates will also have:
• Excellent oral and written communication skills
• Ability to adapt and respond effectively to unplanned work demands and schedules
• A strong work ethic, with a high degree of reliability
• Knowledge of State policies and standard operating procedures
• Knowledge of accounting principles and practices, basic computer hardware operations, effective workspace , and ergonomics
• Ability to oversee routine basic human resource/personnel information, fiscal, purchasing and procurement, building maintenance, and information/communication systems.
• Ability to establish and maintain effective working relationships with a diverse group of internal and external partners
• Computer skills, including knowledge of scheduling, word processing, and spreadsheet-based software.
• Ability to work with managers and staff to identify various office needs and research information for meeting those needs
