• Event servicing – using the event planning process to better engage clients with the destination and the resources of Visit Raleigh.
• Visitor servicing – managing the Visitor Information Center to enhance the visitor experience.

Duties include but are not limited to:
• Provide a variety of in-office support to the team for servicing meetings, conventions, and events. This includes all stages of the servicing process, turnovers, planning support including planning visit logistics, pre-con meeting prep, production of welcome materials and assistance with welcome banners, posters and related items, prep of VIP gifts, post event surveys and related tracking, deliveries and errands related to group arrivals and department functions and more.
• Provide support to the Visitor Information Center manager including relief staffing if needed in absence of VIC manager or part time staff.
• Assist planners looking for meeting space without overnight rooms, or planners who book directly with venues with event supplier service needs.
• Develop optimum proficiency in the use of the Simpleview CRM (Customer Relationship Management) database focusing on Destination Services team functions. Serve as the department “champion” for CRM training and application for the team.
• Using client profiles created by GRCVB sales team, supports team in tailoring services to the unique preferences and needs of incoming groups in consultation with our group marketing manager.
• Assist in coordination of Destination Services programs and tours, department/interdepartmental meetings, Lunch and Learns, Quarterly Destination Services Meetings (CSM) as well partner meetings and visits.
• Maintain room nights pick-up reporting after meetings are over; contact host hotels, enter reporting in CRM, oversee API to coordinate pick up/ historical data flow into MINT+ system.
• Work with the Visitor Information Center manager to support the Ambassador program as needed.
• Support the Visitor Information Assistant as needed to coordinate visitor information guide delivery service.
• Reporting functions to include destination department input on monthly reporting; also assessing year end post event survey responses and summarizing for Visit Raleigh’s annual report.
• Oversee department’s inventory of promotional items, VGs, maps, welcome bags, banners, and signage. This includes monitoring the inventory of items in the CRM, as well as being the liaison to the warehouse for transferring materials stored there to be delivered to our offices.
• As needed, work with the department to assist in managing the student interns to assure that internship goals are met for the student and for the Greater Raleigh Convention and Visitors Bureau
• Complete assignments efficiently and diligently follow-up on tasks assigned by the Destination Services Director and/or relevant team members
• Continually expand industry and local product knowledge. Maintain knowledge of the event and tourism industry by attending continuing education webinars and workshops, reading industry publications and networking. Continually learn and experience the destination and its assets including hotels, venues, attractions and event services suppliers.
• Serve on internal committees as time allows (example: DEI, teambuilding, etc)

Position is required to be in office.

Job related training and experience:
• General working knowledge of CVB and meeting, convention and/or event planning
• Education or experience in the tourism industry preferred
• Existing or developing knowledge of the GRCVB website (visitRaleigh.com) especially the Visitor Information and Destination Services sections of the site, and GRCVB collateral materials
• Advanced computer/typing skills, basic HTML skills and advanced proficiency required with Microsoft Word, Outlook, Excel and PowerPoint, virtual meeting resources such as Microsoft TEAMS, GoToMeeting or Zoom, and the ability to learn and use GRCVB’s database system are all required
• Ability to work and thrive in a fast-paced environment
• Must be able to work collaboratively with all colleagues
• Contribute as an enthusiastic team player while also demonstrating the capacity to work independently
• Great listening skills and maintain comprehensive notes
• Strong time, staff and client management skills.

Responsibilities also include utilizing GRCVB’s technologies, software... and hardware to externally implement, post and/or publish (and internally keep organized) the assets and new marketing communications produced.

EXPECTATIONS:
• Demonstrate effective project management on all assignments from initiation through delivery.
• Ensure each project or assignment is completed on time and with superior quality, while staying within budget, working effectively and professionally with outside vendors (if applicable), handling and organizing all paperwork and documentation and keeping the Vice President/Associate Director/Assistant Director of Marketing and Communications and appropriate staff updated with a smooth flow of information in verbal and/or written reports.

RESPONSIBILITIES:

Graphic Design, Visual Identity Contributions and Vendor Management
• Provide creative direction, creative services and/or updated artwork/graphic design for all Marketing and Communications Department projects and Bureau assignments, contributing to their successful completion. Projects and assignments annually include business cards, charts/graphs, environmental graphics/signs, flyers/handouts, HTML emails/webpages, infographics, invitations, manuals, maps, online reports, presentation files/slides and social media templates. Build workflows for, document, name/organize/store or archive project materials appropriately year-round.
• Manage the Bureau’s print-buying process to ensure a balance of efficient use of staff time, fair pricing and high-quality production.
• Specifically, manage the design of Bureau print(able) publications including Official Visitors Guide and Meeting Planners Guide, direct selling and servicing promotional materials; provide graphic support for the effective execution of Bureau email campaigns, websites and microsites as well as Bureau-hosted events.
• Help to manage specialty advertising (promotional item) vendor production for premiums, along with the Marketing Manager, reviewing new physical items from a design perspective and guiding selections of staff’s branded apparel as provided by GRCVB.
• Participate in management of GRCVB’s advertising and marketing communications agency of record relationship, to brainstorm and align internal/external creative directions or design look-and-feel on shared projects.
• Based on business plans/measurements/needs, professionally project-manage and produce new collateral or website/digital enhancements including occasional video productions.
• Ensure that the Bureau communicates key visual/verbal messages, reinforcing the destination brand and supporting GRCVB’s overall sales and marketing goals.
• Complete other special projects as assigned by the Vice President of Marketing and Communications.

Photo/Video
• Fully manage the Bureau’s photo library, ensuring an appropriate selection of high-quality images are on-hand internally for general tourism, sports, meeting and convention marketing uses, while maintaining a public selection of high-quality images as well within a rich media portal online. Retouch photography as needed for GRCVB uses.
• Regularly contract with outside photographers, occasionally take photos on location and/or solicit area attractions/hospitality business partners to obtain image files/usage rights for points of interest in a timely manner and within budget; ensure GRCVB’s strict adherence to copyright, trademark and licensing agreements.
• Contribute to improved management of the department’s collection of video resources as requested; perform simple video editing for social media or website postings as needed.

REPORTS TO: Vice President of Marketing and Communications

SALARY: Mid to High $50Ks, commensurate with experience

JOB-RELATED TRAINING AND EXPERIENCE:
• Advanced proficiency with and integrated knowledge of the most current versions of Adobe Creative Suite including Illustrator, InDesign, Acrobat and Photoshop (Windows PC)
• Editorial/promotional eye for photography required
• Excellent attention to detail, communication skills and proofreading ability
• Professional portfolio demonstrating at least three years of graphic design experience, both digital and print
• Three years of professional work experience in conceptual graphic design, at a professional marketing office or advertising/interactive agency preferred
• Beyond intermediate proficiency and proven experience with a content management system, digital asset management system and project management system
• Excellent computer/typing skills
• Advanced proficiency with Microsoft Word, Outlook and PowerPoint
• Associate’s degree in graphic design, digital media/multimedia and/or advertising, marketing or communications required; bachelor’s degree preferred
• Knowledge of Raleigh/Wake County and/or CVB industry preferred
