Job Description:
Wittenberg University is seeking Student Employment & Career Operations Coordinator. The Coordinator supports the day to day processes, operations, and programming for the student employment program and office of career development and professional advising. With a focus on student-centered process and support the coordinator works as part of a team committed to student outcomes and vocation exploration. This is a 12-month, non-exempt-level position.

Student Employment
• Provide administrative and general support for all student employment program and process lifecycle from recruitment strategy to employment end.
• Monitor student employment departmental allocations and ensure usage. Follow up as discrepancies arise.

• Organize plan and implement any associated events.

Wittenberg University is seeking Student Employment & Career Operations Coordinator. The Coordinator supports the day to day processes, operations, and programming for the student employment program and office of career development and professional advising. With a focus on student-centered process and support the coordinator works as part of a team committed to student outcomes and vocation exploration. This is a 12-month, non-exempt-level position.

This role is responsible for managing all financial resources provided to students and ensuring compliance with federal, state, and institutional regulations. The Director provides strategic oversight for institutional financial aid awards and assesses the effectiveness of all financial aid programs. This role is responsible for providing direction, support, and mentoring to the financial aid staff, and assesses the effectiveness of the staff. This is a full-time, exempt-level position reporting to the Vice President for Enrollment Management.
Essential functions include but are not limited to:
Compliance/Risk Management
• Ensure compliance with all federal, state, and institutional financial aid regulations.
• Review regulations from the US Department of Education, Ohio Department of Education, and institutional policies to ensure that all financial aid programs meet regulatory compliance measures.
• Maintain an accurate and updated comprehensive policies and procedures manual.
• Manage A-133 audit process for financial aid.
Administrative controls
• Update the ECAR/PPA using the EAPP system, supporting the completion of the annual FISAP report, and ensuring proper staffing and the staff is adequately trained to uphold all job duties.
• Ensure compliance with university operating budgets for financial aid funding and financial aid operations.
• Maintain NCAA Division III athletics compliance related to financial aid.
• Administer NCAA Division III financial aid reporting.
Systems Automation, Data Management, Surveys, and Strategy Planning
• Coordinate systems automation and process development with Information Technology Services.
• Financial Aid Modeling: ensuring the efficient and accurate implementation and operation of financial aid models from leveraging vendor, determination of proper award levels for each student based on the financial aid model, monitor ongoing award activity to ensure compliance with model. Load weekly data file to leveraging vendor.
• Data Management and Surveys: provide data for multiple surveys and reports including but not limited to FISAP, IPEDS, NCAA, Peterson's, U.S. News.
• Process internal data requests.
Staff Leadership & Assessment
• Lead a team of financial aid professionals who are adequately trained in all aspects of financial aid administration.
• Ensure cross training and professional development occurs for all team members.
• Assess all team members for effectiveness, and work with Human Resources when deficiencies are found.
• Comply with all regulations set forth by the Human Resources Office related to proper supervision of staff, approving time and leave, and always maintain accurate and updated job descriptions for all team members.
Processing & Reconciliation
• Process and reconcile VA Benefits, TEACH Grants, Satisfactory Academic Progress and Appeals, funding requests, endowed scholarships, and other financial aid awards that must be reviewed or processed by the Director of Financial Aid.
• Process tuition exchange program benefits as applications are approved.
• Coordinate awards for international recruitment.
Assist students and parents
• Meet with students and parents regarding all aspects of financial aid.
• Represent Student Financial Services at student orientations.
• Represent Wittenberg University at area high school financial aid night presentations or other external functions.
Perform other relevant duties as assigned such as special projects, programs, developmental activities, etc.

• Manage A-133 audit process for financial aid.
Administrative controls
• Update the ECAR/PPA using the EAPP system, supporting the completion of the annual FISAP report, and ensuring proper staffing and the staff is adequately trained to uphold all job duties.
• Ensure compliance with university operating budgets for financial aid funding and financial aid operations.
• Maintain NCAA Division III athletics compliance related to financial aid.
• Administer NCAA Division III financial aid reporting.
Systems Automation, Data Management, Surveys, and Strategy Planning
• Coordinate systems automation and process development with Information Technology Services.
• Financial Aid Modeling: ensuring the efficient and accurate implementation and operation of financial aid models from leveraging vendor, determination of proper award levels for each student based on the financial aid model, monitor ongoing award activity to ensure compliance with model. Load weekly data file to leveraging vendor.
• Data Management and Surveys: provide data for multiple surveys and reports including but not limited to FISAP, IPEDS, NCAA, Peterson's, U.S. News.
• Process internal data requests.
Staff Leadership & Assessment
• Lead a team of financial aid professionals who are adequately trained in all aspects of financial aid administration.
• Ensure cross training and professional development occurs for all team members.
• Assess all team members for effectiveness, and work with Human Resources when deficiencies are found.
• Comply with all regulations set forth by the Human Resources Office related to proper supervision of staff, approving time and leave, and always maintain accurate and updated job descriptions for all team members.
Processing & Reconciliation
• Process and reconcile VA Benefits, TEACH Grants, Satisfactory Academic Progress and Appeals, funding requests, endowed scholarships, and other financial aid awards that must be reviewed or processed by the Director of Financial Aid.
• Process tuition exchange program benefits as applications are approved.
• Coordinate awards for international recruitment.
Assist students and parents
• Meet with students and parents regarding all aspects of financial aid.
• Represent Student Financial Services at student orientations.
• Represent Wittenberg University at area high school financial aid night presentations or other external functions.
Perform other relevant duties as assigned such as special projects, programs, developmental activities, etc.
Requirements:
Requirements include:
• A master's degree is required.
• Five to seven years of experience demonstrating increasing responsibilities within financial aid and enrollment management is required.
• Experience as a supervisor/manager is required.
• The incumbent must be detail oriented, have excellent computer and communication skills, and the ability to prioritize work tasks.
• Must have familiarity with Microsoft Office applications, Ellucian Colleague (or other student information system), and federal and state student aid portals.
• Ability to work with a variety of constituents, solve problems quickly and professionally, anticipate needs, and communicate proactively.
• Some evening and weekend work is required.
• Frequently transport equipment weighing up to 20 pounds (with assistance) for various event and activity needs.
• Frequently utilizes computer for extended periods (up to 50% of the work day).
