Mathematica's Communications and Production team is seeking an experienced document editor to join them as the MS Office/Word Template Administrator...

The MS Office/Word Template Administratorsupports our document production team by evaluating and implementing automated solutions for the formatting of large-scale, multi-author documents and presentations within Microsoft Office. This role develops Word and PowerPoint document templates that support complex page layout and design, inclusive of accessibility requirements. As the primary technical liaison for the document production team, the Template Administrator builds relationships and aligns efforts with internal stakeholders, including Communications colleagues, business development teams, business units, and offers leadership for the company’s document formatting enterprise. Candidate must be able to prioritize in a fast-paced, deadline-driven environment.

Responsibilities:
• Collaborates in the improvement of publishing tools and process.
• Develops and supports standard and custom macro-enabled templates in Microsoft Word and customized PowerPoint templates.
• Optimizes templates so that PDFs require less remediation to maximize accessibility, including compliance with Section 508 standards.
• Advises staff on advanced CommonLook (PDF accessibility software) methods.
• Provides technical assistance to Communications team members in their assigned job duties, analyzing production, software, and accessibility issues suggesting enhancements to improve quality and efficiency.
• Consults with business unit staff on new deliverables, custom templates, project-specific requirements and technical challenges, attending pre-production consult meetings.
• Handles multiple projects simultaneously, prioritizing workload to meet deadlines, address client concerns, and ensure efficient workflow via regular communication with team members and leadership.
• Maintains all Mathematica standard and client-custom templates and documents all specifications for MS Office application customizations and macros.
• Trains project and Production staff in use of client/custom templates.

Position Requirements:
• A BA/BS degree or college-level course work in information services, mathematics, statistics, or computer programming related field (A combination of equivalent education and work experience may be substituted for the requirements)
• At least 3 years of experience in publishing operations support, content management, or document management
• Must be knowledgeable in electronic publishing technologies. Advanced knowledge of page layout and formatting, document production, and product deliverables
• Advanced knowledge of the role of computer systems in standard design, production, and accessibility workflows for print and web.
• Core software requirements: intermediate skills in Adobe Acrobat DC, Microsoft Office Suite, Adobe Creative Cloud.
• Three years of work experience in one or more of the following computer operating environments: Windows 10, Windows 11, Windows Server.
• Three years of work experience with programming and markup languages: Visual Basic for Applications, JavaScript (ExtendScript), CSS, HTML.
• Experience with SharePoint, CommonLook.
• Excellent communication and interpersonal skills. Strong internal customer service and consultation.
• Ability to work flexible hours.
• Ability to work independently for long periods of time.
• Willingness to travel to other locations as necessary.

This position offers an anticipated annual base salary range of $50,000 - $60,000

This position is eligible for remote work. Candidates also can work hybrid from one of our locations listed below.

Available locations: Princeton, NJ; Washington, DC; Chicago, IL; Oakland, CA; Remote

Various federal agencies with whom we contract require that staff successfully undergo a background investigation or security clearance as a condition of working on certain projects. If you are assigned to such a project, you will be required to obtain the requisite security clearance.
