Who are we looking for?

360training.com is seeking an outgoing and customer-service oriented Office Supervisor to join our growing team in Austin, TX. This Supervisor will be responsible for overseeing the day-to-day operations of our Austin office and our fulfillment center, ensuring that all orders are processed and shipped in a timely manner, monitor performance to make sure employees are working efficiently, resolve any issues that may arise during the fulfillment process and manage the day to day of the office. The Supervisor will also work closely to coordinate activities across various departments.

Key Job Functions and Responsibilities:
• Review customer orders and update inventory levels based on customer demand
• Track performance metrics such as order cycle times, error rates, and customer satisfaction rates to identify areas for improvement
• Provide customer service support to other departments within the company such as marketing or human resources
• Supervise a team of staff members who are responsible for processing orders and answering customer questions about products or services
• Monitor inventory levels to ensure that there is enough product available to meet demand without having excess inventory
• Coordinate and negotiate with vendors to place orders for products or materials needed by the company
• Ensure that all customer orders are shipped on time according to company policies and procedures
• Ensure that customer orders are accurately fulfilled by processing orders through computer systems
• Prepare necessary SOPs for fulfillment and office processes
• Answer incoming calls, direct to necessary department, or take notes and forward to correct staff
• Supervise and coordinate the daily activities and operations of the office or department
• Initiate and maintain orderly records in compliance with company regulations
• Supervise the efficient use of office supplies and maintenance of office equipment
• Plan and organize the purchase of office supplies in accordance with purchasing policies and budgets
• Maintain a pleasant and secure working environment
• Act as liaison with other departments and divisions
• Schedule and prioritize office activities to meet operating requirements
• Determine, plan and direct workflow
• Develop and monitor internal controls
• Analyze workflow issues and implement workable solutions
• Ensure adherence to quality standards
• Perform administrative support functions such as data management, creating reports, drafting correspondence, and preparing basic financial accounts
• Provide necessary training, guidance, and motivation to staff
• Approve and monitor staff vacations and sick leave
• Act as liaison with other departments and divisions
• Open and close the office daily
• Manage communication with the office building staff (closures or delays or maintenance as needed)

Required Knowledge, Skills and Abilities:
• 3+ years in a fulfillment operations leadership position
• Prior experience in an administrative role
• Proven history of effective Supervisory skills

360training.com is seeking an outgoing and customer-service oriented Fulfillment Coordinator to join our growing team in Austin, TX. This will be the go-to person to respond to JIRA tickets, prepare certifications and other fulfillment orders and to escalate issues to the proper person as needed.

Key Job Functions and Responsibilities:
• Review and disperse mail to appropriate department leads
• Process outbound mail requests
• Scan and file all returned mail
• Respond to Customer Support inquiries
• Provide clear communication in all interactions

• Validate and prepare Regulatory Uploads and Printing
