GENERAL SUMMARY

Responsible for coordinating administrative functions for the AAAAI Annual Meeting including registration & exhibits, as well as various logistics. Provide consistent, quality customer service while responding to inquiries to meeting attendees by phone or email.

POSITION RESPONSIBILITIES (Minimum 37.5 hr/wk)
• Annual Meeting:
• Assist attendees with Annual Meeting registration/housing questions via telephone and email. Respond to all inquiries in a timely and professional manner. Coordinate development of invitation letters for international attendees.
• Serve as primary contact for exhibitors regarding applications, payments, completion/collection of required forms, booth assignment notifications, final program listings, exhibitor appointed contractors and mobile app enhancements; provide customer service to exhibitors; coordinate exhibit documentation including online and printed materials.
• Process function space approvals for affiliate functions.
• Create the staff operations manual; oversee staff shipping of meeting materials and registration deliverables
• Other:
• Serve as staff liaison to assigned committee(s)
• Other duties as assigned

AMOUNT OF TRAVEL REQUIRED: Approximately 1 week per year; some evening and weekend work may be required.

EDUCATION/EXPERIENCE REQUIRED: Computer proficiency including Word and Excel, strong customer service, problem-solving, interpersonal, organizational, writing, and communication skills, high accuracy and attention-to-detail required.

PHYSICAL REQUIREMENTS: Unrestricted mobility: must be able to walk great distances, move quickly from place to place, occasional lifting of up to 25 lbs. required at times.
• This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office are a requirement of the role.

GENERAL SUMMARY
Provide administrative support to the AAAAI Executive Director, Senior Administrative Manager and the AAAAI Leadership. Ideal candidate will have impeccable communication skills, a high attention to detail, is organized and adaptable to changing needs.

POSITION RESPONSIBILITIES: (Minimum of 37.5 hrs/wk)
• Support the Executive Director, Senior Administrative Manager and volunteer leadership through assisting with the coordination of, but not limited to, the creation of reports, agendas, minutes, timelines, action plans, correspondence and other presentation materials for the Board of Directors and Executive Committee meetings;
• Coordinate and host (if needed) the scheduling of conference calls and Zoom meetings;
• Maintain accurate email, electronic and paper files, including in-office inventory of supplies;
• Coordinate receipt and approval process for endorsed and supported meeting requests;
• Schedule appointments and travel arrangements for the Board of Directors;
• Communicate with related organizations, vendors, and various committee and members of the Board of Directors as needed;

• Other related responsibilities as assigned.
AMOUNT OF TRAVEL REQUIRED:
Up to 2 weeks per year. Some early morning/evening and weekend work may be required.

EDUCATION/EXPERIENCE REQUIRED:
Bachelor’s degree preferred. Proficient in Windows, MS Word and MS Excel. Experience with MS PowerPoint, and iMIS and/or MS Access a plus. Oral, written, organizational and proofreading skills essential.

PHYSICAL REQUIREMENTS: (example - lifting, packaging, etc.) Occasional lifting of up to 50 pounds may be required.

POSITION RESPONSIBILITIES (minimum 37.5 hours per week)
• Provide customer support to members and other learners regarding activity registration and claiming of continuing education credits.
• Manage the provision of education through the AAAAI journals, working in partnership with journal editorial staff to document compliance with accreditation requirements.
• Serve as liaison to assigned member committees, coordinating activities and supporting their projects including Annual Meeting programming and online offerings.
• Manage the tabulation of activity evaluation and outcomes data and the distribution of these data for analysis and review.
• Track monthly Continuing Medical Education (CME) activity finances, maintaining documentation in the learning management system and providing necessary reports.
• Partner with the CME manager to monitor and maintain accurate activity participation records and compliance with required accreditation criteria.
• Assist with the maintenance of the AAAAI’s learning management system.
• Interface in a professional manner with physicians, vendors, outside staff and others as needed.
• Other duties as assigned.

AMOUNT OF TRAVEL REQUIRED: Possibly 1-2 weeks per year; some weekend and evening work may be required.

EDUCATION/EXPERIENCE REQUIRED: Bachelor’s degree preferred and 1-3 years of relevant experience.
