POSITION SUMMARY: The position is tasked with planning and project-managing the annual Conference, securing agreements with vendors, assisting with event marketing, monitoring time frames and budgets, and delivering on event objectives. In addition, you will act in an advisory role with our strategic partners in interpreting guidelines, policies, and procedures related to the Annual Conference and Expo and other events.
The ideal candidate will demonstrate exceptional leadership abilities, top-notch organizational and time management skills, first-rate attention to detail, and the ability to deliver on event objectives effectively. Also, the ability to connect, understand and build lasting relationships.
Requirements
PRIMARY RESPONSIBILITIES:
• Direct all facets of the Annual Conference and other events as necessary. Developing goals and objectives, envisioning new concepts, managing production timelines, overseeing contracted vendors, and developing process improvements are essential aspects of the project's management.
• Own the build and management of the conference registration process and systems used.
• Collaborate with the Marketing and Communications team to develop marketing campaigns to elevate the Conference, increase engagement, interpret and champion key marketing messages, and bring these elements to life in an event environment.
• Source and evaluate sites, serve as the point of contact, and arrange all event-related services with vendors, including hotel management, food and beverage, AV, production, staffing, and program.
• Negotiate and secure vendor contracts, review and approve invoices, and assist in preparing various reports to monitor the health of events.
• Facilitate post-event debriefs to discuss feedback and brainstorm ideas for improvement, ensuring continuous quality and achievement of key metrics.
• Create new documentation and maintain/improve existing documentation, systems, and processes for event planning to ensure efficiency and continuous improvement.
• Monitor budgets to keep revenue and expenses within established boundaries.
• The above duties do not encompass all the position's responsibilities.
MINIMUM EDUCATION & EXPERIENCE:
A bachelor’s degree and five (5) years of experience in meeting/event planning , hospitality & tourism, or a related field or an equivalent combination of education and experience. CMP, DES, CMM, or similar industry certification, preferred. (Meetings of 2,000+ attendees)
KNOWLEDGE AND SKILLS REQUIRED:

• Direct all facets of the Annual Conference and other events as necessary. Developing goals and objectives, envisioning new concepts, managing production timelines, overseeing contracted vendors, and developing process improvements are essential aspects of the project's management.
• Own the build and management of the conference registration process and systems used.
• Collaborate with the Marketing and Communications team to develop marketing campaigns to elevate the Conference, increase engagement, interpret and champion key marketing messages, and bring these elements to life in an event environment.
• Source and evaluate sites, serve as the point of contact, and arrange all event-related services with vendors, including hotel management, food and beverage, AV, production, staffing, and program.
• Negotiate and secure vendor contracts, review and approve invoices, and assist in preparing various reports to monitor the health of events.
• Facilitate post-event debriefs to discuss feedback and brainstorm ideas for improvement, ensuring continuous quality and achievement of key metrics.
• Create new documentation and maintain/improve existing documentation, systems, and processes for event planning to ensure efficiency and continuous improvement.
• Monitor budgets to keep revenue and expenses within established boundaries.

MINIMUM EDUCATION & EXPERIENCE:
A bachelor’s degree and five (5) years of experience in meeting/event planning , hospitality & tourism, or a related field or an equivalent combination of education and experience. CMP, DES, CMM, or similar industry certification, preferred. (Meetings of 2,000+ attendees)
