Overview:
The Coordinator, Scheduling position is responsible for scheduling and coordinating off-site specialist appointments for urgent, routine and follow-up appointments in accordance with the approved authorizations, scheduling and turnaround time objectives. This position works closely with members of the IDT team to coordinate services and advocate for participants specialty needs. The Scheduling Coordinator advocates for participant’s specialty needs, and is an integral part of the care team.

Responsibilities:
1. Review approved authorization requests for accuracy. Communicate and coordinate with the Utilization Management department to modify authorizations, extend expiration dates, and modify CPT codes as
2. Process ready-to-schedule authorizations per established guidelines and ensure that all urgent and routine appointments are scheduled within the CA Department of Managed Health Care Timely Access to Care guidelines.
3. Collaborate with Primary Care Providers and nurses to ensure proper coordination of care regarding all specialty appointments. 4. Document all interactions with specialty providers and participants in Epic.
5. Document in Epic all barriers to timely scheduling of appointments. Communicate with participant’s PCP of any delays in scheduling or barriers to care.
6. Collaborate with Transportation Coordinator or center designee to schedule participant transportation for offsite medical specialty

Qualifications:
1. High School Diploma required.
2. Medical Assistant Certificate required
3. Minimum of 3 years of experience working in medical or clinical field required.
4. Experience working with referrals/authorizations and with an Electronic Health System is preferred.

Skills and Abilities:
1. Excellent internal and external customer service skills. Professional, courteous, responsive, and hospitable to participants, industry partners, peers and co-workers.
2. Detail-oriented, thorough, productive, and can work independently in a team environment.

DUTIES AND RESPONSIBILITIES:
• Provide excellent customer service to clients, staff, vendors, and guests at all locations.
• Assist with monitoring and managing parking logistics.
• Work with Manager and DFO to ensure that all sites receive passing scores or higher for internal/external audits as it relates to Facility Operations.
• Respond to facility tickets within set parameters and expectations. Ensure all tickets that are assigned are completed.
• Process purchase orders and ensure vendors are paid in a timely manner
• Properly track all facility related credit card purchases.
• Understand policies and procedures applicable to facility duties
Maintenance:
• Identify and work with appropriate vendors for repairs or other facility related issues.
• Assist with monitoring and scheduling of building maintenance
• Perform site checks for all locations and company vehicles for deficiencies and safety issues.
• Perform basic building maintenance duties (i.e. changing light bulbs, etc.)
• Ensure all utilities are working properly without interruptions
• Monitor copier usage and maintenance supplies
• Ensure facility/office supplies are well stocked and organized.
• Track inventory log for all facility related furniture and equipment
• Maintain breakroom/kitchens with adequate coffee supplies
• Carry out mail operations for all site locations according to policies and procedures.
• Deliver bulk mail to Post Office
• Input incoming checks in excel and submit monthly to the Fiscal Department.
• Ensure lab coats and exam room curtains are rotated out to be professionally laundered by designated laundry vendor. Report any damages or lost items with the laundry services.
• PERFORMANCE EXPECTATIONS:
1. Sort and delivery mail/packages with 95% of the mail sorted and delivered correctly
2. Passing scores of Facility Audits internally or externally that is associated with assigned duties.
3. Process at least 20 POs per month
4. Incoming check ledger turned in monthly to the Fiscal Department per policies and procedures.
5. Facility Tickets Assigned and responded to within the set parameters
6. Customer service feedback.

REQUIRED QUALIFICATIONS:

1. Must use technology such as the business cell phone, email, internet, computers to send communications as required and order supplies.
2. High School Diploma or 1 year minimum experience as a receptionist
3. Proficiency in Microsoft Office applications
4. Exceptional customer service towards patients and staff
5. Handles multiple task efficiently and accurately
6. Professional demeanor at all times.
7. Must be able to materially perform the task normally associated with the position including but not limited to: ability to lift up to 50-75 lbs.

PREFERRED:

1. Ability to use technology such as texting.
2. Certification or courses in Facility Management.
