This position will be responsible for day-to-day quality Customer Care within Government Customer Service Team. The Analyst for Government Customer care provides a foundation of problem solving, knowledge and expertise in front line interaction meeting customer needs as well as interaction with other locations and processes within APL. This position addresses problems requiring management level interaction; logistical analysis and empowerment. Segments managed in this role can be one or more of the following: Military and Embassy Household Goods, Guam, Humanitarian Aid and US Flag Project Cargo.

Job Duties
• Provide problem resolution in several area of interaction by following processes and ensuring follow up; Including but not limited to: special cargo, terminals/APL and non-APL, truckers/vendors, rail operations, shipment monitoring, and documentation.
• Provides bookings consultation for vessel approvals with special cargo/fleet control, equipment approvals with equipment control, consulting customer, blocking bracing, terminal procedures and coordination with operations US/overseas.
• Maintain positive relationships with internal partners and external contacts under difficult conditions and negotiates the best solutions for APL and its customers by following processes and follow up to resolution.
• Takes initiative and acts as lead on projects. Sets tasks and priorities, delegates, as needed, and coordinates all aspects of multiple projects and makes recommendations on findings.
• Provides rates consultation in the areas of rate construction, rate negotiation and rate filling when required.
• Provides advanced knowledge of routine and alternative routes including use of multiple modes of transportation and a thorough knowledge of terminals.
• Makes decisions concerning cargo movements to achieve best alternative and most cost-effective solution with guidance of Trade.

DESCRIPTION

On a contract basis for transpacific cargo moving under a CMA CGM bill of lading, this position serves as the customer interface for issues involving the tactical movement of export refrigerated cargo. This includes processing bookings, providing status updates, and other customer service inquiries. The primary interface with internal and external customers is via email; however, phone communication is required, necessitating the need for both verbal and written communication skills. This role works in a team environment, handling issues for customers in the United States.

ACCOUNTABILITIES

1. Provide rate information to customers accurately and timely. This involves contract lookup while customer is on the phone and requesting bookings from customer or communicating to appropriate internal functions.

2. Identify and promptly communicate problems to management for resolution.

3. Courteously and accurately respond to customer questions about service contracts and/or tariffs. Includes ability to navigate through various tariff rules and footnotes and apply the information to commodity look-ups.

4. When customer calls to make a booking, follow process to meet customer’s booking needs. This includes confirming space and equipment capacity, applicable rate as well as a summation of the order in the format of the customer’s choice.

5. Assist customers in changing the status of their bookings/shipments, including canceling, rolling, advancing, splitting, consolidating, diverting or returning.

6. Answer customer and trucker booking and equipment availability inquiries.

7. Provide accurate information to customers by reviewing and interpreting systems generated data as well as taking into account other sources of information that may be relevant to the customer inquiry.

8. Process diversions as directed or authorized based on external request or internal need

9. Adjust invoicing as required to reflect value added service (VAS) additionals and other assessorials.

10. Courteously and accurately respond to customer questions about freight charges, as well as payment status.

11. Courteously and accurately respond to customer questions about container free time and associated charges.

12. Recognize customer dissatisfaction and take authorized action to address and resolve it.

13. Recognize and promptly report all data, service or customer information integrity issues.

14. Other duties as directed.

QUALIFICATIONS

1. High school degree or equivalent required.

2. 2+ years of previous customer service experience required.

Summary Description

The Government Trade Analyst position will provide structure and cohesion to APL’s global pricing guidelines on USG Bills of Lading and oversee overall Tariff & Contract Administration for APL. The Trade Analyst will respond to incoming Project rate requests or Multi-Lane bids that do not readily meet posted Govt Trade pricing guidelines (due either to complexity or size) and ensure absolute adherence to Pricing Guidelines maintained on a quarterly basis, or as market demands. The Analyst will work to ensure both compliance to FMC and EU pricing requirements, and observance of CMA Group pricing directives.

Key Results

Global Pricing turn-time of 99%; ensure PAC filings to be >99% accuracy vs intentions and customer expectation; actively work with management to ensure all KPIs are met. Ensure that Customer forecasts are communicated within CMA-CGM Group, and that the commitments are met by both sides.

Daily communication with respective internal customers (Trade/CS/Ops) in order to maintain and grow the business while achieving the weekly budget numbers as set forth by APL Govt Trade for key market segments; Prepare ad-hoc projects/reports/research as needed and requested by management as directed

Occassional phone/email communication coupled with in-person meetings with high level executives to discuss market conditions and rate actions taken.

Loading & Unloading

• Unload, move, stack and stage customer products and materials both by hand and using forklift or other power equipment, keeping appropriate records and reports.

Pulling Orders
• Accurately locate and load, both by hand and using appropriate motorized equipment (i.e. forklift truck), customer product onto/from pallets, trays, racks and shelves according to established procedures and safety regulations. Is able to operate special equipment as necessary, such as a turret clamp and slip sheet equipment and RF unit (if applicable).
• Count, weigh and record number of units of materials handled on daily production sheet.
• Complete specialized order processing for loading by stenciling, slip-sheeting, shrink wrapping, labeling and consolidating as required on order.

Operating & Maintenance - Equipment and Grounds
• Assign / verify trailers to appropriate dock and/or yard location, trailers locked to dock-lock and/ or chocking the wheels (if applicable), following all safety rules and Company policy.
• Daily inspect and repair or make adjustments before operating tow-motor vehicles, following safety and maintenance instructions, completing the tow-motor inspection sheet at the beginning of each shift and/or assigned to another piece of equipment; report immediately any defective equipment to supervisor.
• Prepare trailers prior to loading product by inspecting and cleaning as needed to ensure product preservation.
• Assists in building and grounds maintenance to ensure that the facility is maintained in a clean, neat safe and orderly manner.

Reports
• Complete activity and statistical reports as assigned by supervisor.
• Assist in physical inventories ensuring facility and contents are secure.

Miscellaneous

Job Description

Candidate will play a key role in managing and driving the organization in the development of new business for the Government Trade. He/she will uncover, monitor, and maintain bid opportunities within the government sector and will assist in future business development. Candidate will also be responsible for managing key Government contracts and any bidding related to these contracts including analysis, overview, and strategic input. Trade Manager will maintain close business relationships with other trade groups and have direct pricing responsibility to help grow the trade. Candidate will need to ensure people development and demonstrated effective integrity by consistently acting courteously with customers, co-workers and vendors.

Responsibilities
• Ensure all ships are operated in compliance with regulatory requirements.
• Monitor vessel certification status : Port State Control, class, flag and regulatory. Liaise with the Captain and the Technical Superintendent. Arrange surveys and inspections as required.
• Assist the Captain with CG-2692 and any required notifications to Fag and class
• In collaboration with the Technical Superintendent, prepare port calls activities: deck, crewing, safety, and operational aspects (bunkering, stores, etc…)
• Main point of contact for Radio-navigation equipment, arrange service when required, liaise with the Technical Superintendent
• Contribute to build Dry Dock specification for deck, safety, Radionav equipment, and regulatory items, liaise with the Technical Superintendent
• Perform vessel inspection
• Perform evaluations of Captain
• Support management in cost effective methods of meeting new regulatory requirements, including recommendations for changes in operational / engineering procedures and applicable Integrated Management System (IMS) procedures and documentation.
• Review Integrated Management system specific vessel cards for approval and implementation
• Implementation of regulatory and company requirements
• Assist with Integrated Management System maintenance and managing safety and loss control processes.
• Manage ERS (class) enrollment
• Assist in Incident Response drills and exercise design and completion.
• Member of the Incident Response Team
• Supports resolution of marine incidents, accidents or near miss investigations.
• Works with Technical Superintendent and vessel to address Corrective Action Reports identifying the root cause and taking both corrective and preventative actions
• Contribute to define training programs for licensed and unlicensed sea farers
• Assist onboard staff in administration and management of crew training.
• Completes other task and projects as directed by the Fleet Director

Qualifications

Acceptable vessel operations and business management experience which may include:
• Advanced Marine licensed, marine transportation or related course of study or equivalent experience.
• Minimum of 5 years shipboard and/or technical ship management experience.
• Comprehensive knowledge of Marine Operations from shore-side and shipboard perspectives.
• Understanding of Regulatory (U.S. Coast Guard/flag state, foreign port state and the International Maritime Organization) and Classification Society rules.
• Experienced in the International Safety Management (ISM) Code.
• Company Security Officer Training
• Be fully conversant with the IMS.
• Conversant with IT system and Microsoft suite.

DESCRIPTION

This position will be responsible for performing Finance. Finance duties include, but are not limited to, processing invoices, setting up new vendors, researching/reconciling discrepancies, preparing journal entries, reviewing and resolving open PO’s. Position will also ensure invoices are processed and posted accurately and timely and will work closely with the Finance manager and the Corporate Finance team to ensure all Finance deadlines are met.

ACCOUNTABILITIES

Process, research invoices and perform voucher requests in SAP system.

Reconcile detailed monthly invoices.

Assist in submitting Vendor request forms.

Complete period close accruals (GL Enquiry Access).

Ensure invoices are processed and posted accurately in the SAP system.

Create PO’s and reconcile open PO report.

Tonnage Report, Invoicing and creating PO

Work with vendors on invoice discrepancies.

Review AP check release and perform necessary audit before mailing.

Process wire, ach and payments received.

Heavy telephone customer contact answering questions and solving problems.

Download Citibank Wire remit report and reconcile in Excel.

Download Payment Lot report into excel and reconcile payments.

Make sure all payments are posted in FICA before period end.

Follow up on any dispute for APL Checks being mailed to Vendors.

Must be able to work all period close deadlines. Successful candidate must commit that all time of plans will be made around period close deadlines.

Assist with Other Finance Cashier and AP work.

Other duties as directed.

QUALIFICATIONS

High school degree or equivalent required.

2-year college degree, including courses in Business, Finance and Accounting, or equivalent job experience.

Minimum 2 years’ experience performing office clerical duties.

One year of Accounts Payable processing experience required, including strong bookkeeping background.

MS Office Applications proficiency must be demonstrated (Word, Excel).

Ability to define priorities in pressure situations, while meeting deadlines effectively and efficiency.

High degree of accuracy with strong attention to detail.

Strong organizational skills required.

Ability to communicate clearly and effectively with internal and external contacts, including the Corporate Finance team, vendors, etc.

Must possess dependability including an excellent attendance record during the past 12 months.

Must possess a proven high level of performance as demonstrated by a “meets/exceeds commitments” performance rating in the most recent performance appraisal.

Must have flexibility to work any shift from 6 a.m. to 6 p.m.
