Position Summary

The Archivist oversees the ongoing operations of the Asbury Seminary Archives and develops special collections to provide additional significant historical materials in support of the research needs of the Seminary community.

Essential Functions
• Maintains and develops the Asbury Seminary Archival collections
• In accordance with the Seminary’s Collection Development Plan, identifies potential materials for inclusion in the Seminary Archives and Special Collections.
• Works to acquire materials thus identified.
• Arrange included materials within the Archives storage spaces for best preservation and access.
• Effectively describes included materials for later display and access.
• Oversees Preservation
• Ensures the accurate appraisal of collected materials.
• Maintains the appropriate storage conditions for material longevity as resources will allow.
• Oversees the digitization of collected media and manuscript material as appropriate.
• Facilitates the work of relevant researchers in person and online
• Provides primary point of contact to researchers working with archived material and special collections.
• Prepares finding aids for use by researchers to assist in identifying and accessing collected material.
• Provides reference services to researchers concerning archived material.
• Furthers awareness of Special Collections and Archived material
• Coordinates promotional and informative displays of special collections and archived ephemera.
• Uploads digitized materials to online repositories as appropriate.

SECONDARY RESPONSIBILITIES:
• Provides direct supervision of Special Collections student workers and volunteers.

FINANCIAL RESPONSIBILITY/AUTHORITY:
• Manages funding/funds from archival collections that are on deposit at the Seminary Archives.

Other Responsibilities
• Cooperates with colleagues in other organizations for the advancement of scholarship and effective utilization of resources.

EDUCATION, SKILLS AND ABILITIES, EXPERIENCE:

Faculty - Theology or Historical Theology

Asbury Theological Seminary announces a search for a faculty position in Theology (with significant knowledge of Church History) or Historical Theology. This position requires residence in or within 85 miles of Wilmore, Kentucky.

Preferred candidates will demonstrate expertise in related theological disciplines and will be well acquainted with Wesleyan theology. The position is tenure track and the rank is open. If one is hired as a junior faculty member, a probationary period of three (3) years is required; these years will accrue towards tenure. Candidates with significant theological publications are encouraged to apply. Secondary expertise in a closely related area such as spiritual formation, cultural analysis, analytic theology, moral theology, or theological movements of the Global South over the past 500 years would be a positive asset. Fluency in Spanish, though not required, would also be beneficial. Applicants are expected to have attained a Ph.D. or Th.D.

The normal teaching load for full-time faculty is six courses (eighteen hours) per year, as determined by the Dean and Provost. Candidates must offer demonstrable pedagogical/andragogical competencies and effectiveness in teaching in face-to-face, online, hybrid, and intensive course instruction. Teaching delivery systems and hybrid residency locations are established by the needs of the School of Theology and Formation and Asbury Global, which manages instructional sites located in Tampa, Orlando, Tulsa, Memphis, and Colorado Springs.

Position Summary:

This position performs all functions necessary to cultivate relationships with students with the goal of moving them from inquiry, to matriculation into the Seminary, and all the way through to graduation. This is a results-oriented position requiring the delicate balance between goal achievement and ministering to students as they further their theological leadership training. The person selected for this position will identify, recruit, and help retain Doctor of Ministry (DMin) students as their primary focus, and participate as part of the overall enrollment advising team to serve the mission of the seminary.

Essential Functions:

Networking/Recruiting
• Works collaboratively with the Doctor of Ministry Office in all networking and recruiting efforts.
• Responsible for networking with a variety of contacts, organizations, and denominations, including alumni, pastors, educators, and ministry leaders of para-church ministries to promote the DMin degree and generate personal leads. Upon making contacts, follows up appropriately to encourage action.
• Travels 35% of the time (14-18 weeks) building new relationships and exploring new territory while creating a solid funnel of prospects for the Admissions Office at Asbury Theological Seminary.
• Works independently on a daily basis, creating a solid plan of recruitment; works interdependently with a team, assisting students in the admissions process.
• Effectively strengthens relationships with alumni and other key constituents.
• Takes initiative within a responsible budget-management philosophy to expand the current territory of Asbury Theological Seminary.
• Exhibits intuitiveness and the ability to adapt to change. Due to the nature of this position, the ability to acclimate quickly to a variety of situations and audiences and the ability to think on one’s feet are a must.
• Maintains a high level of productivity to meet and exceed established enrollment goals. Must be able to multi-task efficiently.
• Operates within the highest ethical standards and integrity in all aspects of the position; maintains ethical practices and keeps all information about candidates confidential; assists all interested parties regardless of race, gender, denomination, etc.

Applicant Counseling
• Works collaboratively with the Associate VP of Enrollment Services in overseeing the DMin admissions process in coordination with DMin leadership.
• Works with students and facilitates communication as they discern next steps in their calling, selecting a cohort topic, and choosing a location for residency.
• Maintains appropriate print, electronic and verbal communication with inquired, applied, admitted and confirmed individuals.
• Determines admissibility of applicants acting in coordination with the DMin Office as defined by admissions policies.
• Creates, reviews, and communicates the status of applicants’ files.
• Reviews applicants’ files for completion.
• Works with prospective students in order to lead them through the application process.
• Provides students with enrollment information.
• Assists the Manager of International Services with visa processes for international students and provides student information for F-1 Visa purposes.
• Creates and maintains an admissions funnel that is shared with the Admissions and DMin Office.
• Collaborates with the AVP of Enrollment Services and Director of Financial Aid in managing the scholarship awarding processes to leverage funding and fill established cohorts.

Academic Advising
• Works in conjunction with the DMin Office to track students’ academic standing, registration, and progress in the program.
• Maintains appropriate print, electronic and verbal communication with enrolled students.
• Maintains student files, orients the students to the DMin program, and assists them in developing an educational plan consistent with the student’s needs and ministry goals, including course planning and the scheduling and registering of classes.
• Provides accurate information to students about institutional policies, procedures, resources, and programs and advises students concerning academic exceptions, academic probation, and individual academic planning needs.
• Creates and maintains degree plans for enrolled students.
• Initiates contact with students at key times throughout the Academic Year including, but not limited to: registration, orientation, when holds appear (business, academic, etc.), key changes in course schedules/degree requirements, graduation application, etc.
• Develops and maintains reportable means of retention communications for students’ enrollment and registrations.
• Maintains student records on DMin advisees including bi-annual manual update of degree process tracking and reasons for non-registration by term.
• Maintains data and communications systems for monitoring student enrollment and registrations for successful program initiation and completion, and for enrollment management reporting.
• Meets with prospective students, conducts campus visits, participates in collaborative meetings and training sessions, and works on special projects and other duties as assigned.
• Maintains reportable means of tracking all student contacts.
• Attends DMin team meetings to ensure collaboration and support.
• Collaborates with DMin team to assist with retention by being available to students during cohort residencies.

Primary Goals:
• Cultivates relationships with prospective and current students, and Seminary constituents.
• Manages current and prospective DMin students.
• Facilitates site visits for prospectiveDMin students.
• Generates qualified DMin applications for the Seminary through direct interaction with the Christian community-at-large.
• Increases the number of prospective DMin students, current students, and graduates.
• Provides clear and concise information to students.
• Plans and implements phone activities that support the enrollment efforts.
• Guide students through the full enrollment process by utilizing a Moves Management philosophy and practice. This approach looks to work with and continually move students through all stages of the funnel, through to graduation.
• Other duties assigned by the Associate VP of Enrollment Services.

Other Responsibilities:
• Able to work evenings and weekends during peak seasons
• Able to lift up to 50 pounds on a regular basis
• Turns in all travel receipts in a timely and efficient manner
• Licensed driver with a clean driving record and background check

Qualifications

Education/Experience/Skills:
• Postgraduate degree and/or Master’s degree preferred; Bachelor’s degree required
• Three or more years’ professional-level experience with enrollment management and public relations as well as a comprehensive knowledge of marketing for higher education is preferred
• Demonstrates professional skill in written and oral communication
• Highly organized and detail-oriented
