• Serve as a peer reviewer of electrical engineering scope in

Program ( UBP ) seeks to hire an Administrative

Key Duties and Responsibilities Include:

Position Summary
The Senior Lead of Admissions Operations will provide leadership and innovation to manage the successful operations and administrative processes for the Graduate School of Education ( GSE ) Office of Graduate Admission, and will report to the Director of Enrollment Operations and Student Services. The Senior Lead utilizes Customer Relationship Management ( CRM ) and other integrated systems to ensure the efficiency of all aspects of admissions operations including application completion, faculty admission decision-making and related processes. The Senior Lead audits data to ensure efficiency, timeliness, and accuracy of all processes related to graduate admissions operations, recruitment, and communication through our CRM . Through close collaboration with the Assistant Dean, Director, admission staff, departments across GSE , and the centralized Graduate Enrollment Services unit, the Senior Lead will ensure effective and efficient processes and systems are in place to carry out the day-to-day operations of the office.
Some of the key responsibilities include:
• Monitors daily office activities to ensure exceptional customer service to all relevant stakeholders.
• In close collaboration with the Director of Enrollment Operations and Student Services, establishing and implementing operational workflow improvements, and in the documentation of processes and workflows for the Admissions Operations Team.
• Develop baseline knowledge about GSE and its academic programs; develop understanding of types of questions that should be answered directly and which should be referred to a higher level.
• Maintain awareness of system upgrades and enhancements; act as designated Slate Lead for Graduate School of Education. Active participant in the Slate community of users to identify best practices, trends, and new opportunities for workflow and system enhancements to streamline processes and increase effectiveness of the tool.
• Prepares the online application for each new enrollment cycle. Proactively test, audit and troubleshoot the online application, queries, forms, and GSE -specific workflows to ensure problems are identified proactively and resolved quickly.
• Keep informed of changing admission policies; attend training sessions and staff meetings.
• Perform regular and ad hoc audits of the various systems, workflows, and applications to ensure data integrity is upheld and to make recommendations for improvements based on current needs and best practices.
• Assist with training new staff on the operational protocol and procedures within the Office of Graduate Admissions.
• In close collaboration with the Assistant Directors, responsible for the oversight and management of the Office of Graduate Admissions email accounts to ensure all inquiries are answered quickly or routed forward as appropriate; responding to basic questions and referring higher-level questions to appropriate staff.
• Participate in phone calling campaigns, on-campus, online, and/or off-campus recruitment events, which may require work outside of regular business hours. Some travel may be required.
• Serve as the formal supervisor to the operations staff and work-study students, providing continuous mentorship, training, and clear work direction and priority-setting.
• Work closely with admissions staff, communications staff, and GSE faculty to ensure admissions and admissions-related information is accurate and transparent across all communication platforms.
• Coordination of mail processing and coverage of office telephone lines.
• Serve as a general member of the admission staff in providing support for application processing, review, and participation in recruitment initiatives and events.
• Assist with other operational/administrative tasks as needed.

Position Summary
The Senior Lead of Admissions Operations will provide leadership and innovation to manage the successful operations and administrative processes for the Graduate School of Education ( GSE ) Office of Graduate Admission, and will report to the Director of Enrollment Operations and Student Services. The Senior Lead utilizes Customer Relationship Management ( CRM ) and other integrated systems to ensure the efficiency of all aspects of admissions operations including application completion, faculty admission decision-making and related processes. The Senior Lead audits data to ensure efficiency, timeliness, and accuracy of all processes related to graduate admissions operations, recruitment, and communication through our CRM . Through close collaboration with the Assistant Dean, Director, admission staff, departments across GSE , and the centralized Graduate Enrollment Services unit, the Senior Lead will ensure effective and efficient processes and systems are in place to carry out the day-to-day operations of the office.
Some of the key responsibilities include:
• Monitors daily office activities to ensure exceptional customer service to all relevant stakeholders.
• In close collaboration with the Director of Enrollment Operations and Student Services, establishing and implementing operational workflow improvements, and in the documentation of processes and workflows for the Admissions Operations Team.
• Develop baseline knowledge about GSE and its academic programs; develop understanding of types of questions that should be answered directly and which should be referred to a higher level.
• Maintain awareness of system upgrades and enhancements; act as designated Slate Lead for Graduate School of Education. Active participant in the Slate community of users to identify best practices, trends, and new opportunities for workflow and system enhancements to streamline processes and increase effectiveness of the tool.
• Prepares the online application for each new enrollment cycle. Proactively test, audit and troubleshoot the online application, queries, forms, and GSE -specific workflows to ensure problems are identified proactively and resolved quickly.
• Keep informed of changing admission policies; attend training sessions and staff meetings.
• Perform regular and ad hoc audits of the various systems, workflows, and applications to ensure data integrity is upheld and to make recommendations for improvements based on current needs and best practices.
• Assist with training new staff on the operational protocol and procedures within the Office of Graduate Admissions.
• In close collaboration with the Assistant Directors, responsible for the oversight and management of the Office of Graduate Admissions email accounts to ensure all inquiries are answered quickly or routed forward as appropriate; responding to basic questions and referring higher-level questions to appropriate staff.
• Participate in phone calling campaigns, on-campus, online, and/or off-campus recruitment events, which may require work outside of regular business hours. Some travel may be required.
• Serve as the formal supervisor to the operations staff and work-study students, providing continuous mentorship, training, and clear work direction and priority-setting.
• Work closely with admissions staff, communications staff, and GSE faculty to ensure admissions and admissions-related information is accurate and transparent across all communication platforms.
• Coordination of mail processing and coverage of office telephone lines.
• Serve as a general member of the admission staff in providing support for application processing, review, and participation in recruitment initiatives and events.
• Assist with other operational/administrative tasks as needed.

• Work with Central Purchasing to secure all necessary and
appropriate documentation to allow for event approval. Work with
The State University of New York Counsel to draft equipment loan
agreements and assist with industry contract compliance.
• Take responsibility for budget creation, fee schedules, funds
flow and balance sheet reconciliation. This includes generation of
invoices, purchase orders, and management of accounts payable and
accounts receivable.
• Preparation of financial forecasts, analysis of expenditure
variance reports and all other financial reports as requested.
• Help grow activity and enhance the business model of UB RISE by
interfacing with all UB Departments, industry partners, and other
regional institutions
• Work with Investigators and key partners including the Anatomic
Gifts Program on various matters regarding clinical trials and GLP
regulations. This will include contract development, management and
compliance oversite.
To be successful in this role, you will need to be well versed in
business operations and familiar of auditing, account
reconciliation, compliance. In this position you will work
independently on a day-to-day basis and will report directly to the
Director of Finance.
Salary: $55,000 – $65,000

• Provide workshops / programs to help UB faculty better

• Work with key faculty, center directors, research and

• Serve as a key liaison on behalf of the UB community with

Position Summary
This position will manage the day to day operations for the 3rd and

Minimum Qualifications
• Bachelor’s degreeorAssociate degree with 2 years of
experience. A combination of education and experience will be
considered.
• Effective interpersonal, oral, and written communication
skills.
• Excellent computer skills: must be proficient in Word, Excel
and Outlook in a Microsoft Windows environment.
Preferred Qualifications
• Bachelor’s degree and related work experience.
• Good interpersonal skills and verbal communication skills with
the ability to interact with discrete and professional
decorum.
• Ability to adapt to new organizational and technical
changes.

Position Summary
The Department
of Microbiology and Immunology in the Jacobs School of
Medicine and Biomedical Sciences, University at Buffalo, is seeking
to fill the essential role of Grants Manager . In this role,
you will be responsible for your portfolio of grant-funded faculty
by:
Financial Support
• Maintaining detailed account reconciliations for Research
Foundation funds
• Processing spending orders/receivers, including investigating
any discrepancies between anticipated costs vs invoiced
amounts
• Developing financial reports and forecasts including personnel
allocation and carryover determination in coordination with SPS and
sponsor guidelines
• Calculating salary recovery
• Monitoring end dates for grants including extension and at-risk
end dates
• Creating purchase orders and service contracts
• Reviewing and approving spending for Concur Expense
Reports
• Monitoring and maintaining account of spending on startup
accounts
HR Support
• Managing lab personnel including posting jobs, submitting
hiring proposals, and onboarding new employees
• Processing appointments and reappointments of lab staff
• Completing cost transfer forms
• Submitting visa applications
• Serving as liaison between lab staff and HR, as well as between
faculty and UB business offices
This unique position will also support the Witebsky Center for
Microbial Pathogenesis and Immunology (
WCMPI ) by:
• Maintaining detailed financial records for all WCMPI accounts
(State Operating, IFR, UB Foundation, and Research Foundation
funds)
• Preparing purchase orders and service contracts
• Planning two annual meetings sponsored by the WCMPI :
• Selecting location and catering for each meeting, working with
appropriate regional hotels/conference centers
• Identifying and contacting additional internal and external
sponsors
• Arranging travel and honoraria for guest lecturers
• Managing publicity such as printing of posters, invitations,
programs, and bulk mailings
• Collecting attendee fees
• Maintaining center website in collaboration with appropriate
Jacobs School of Medicine and Biomedical Sciences Communication
offices
• Preparing annual WCMPI report
