Responsibilities

This position supports Berkeley Regional Services with a full understanding of analytical practices and campus policies and procedures by researching, analyzing, and developing solutions for BEARS HRIS and payroll services to BRS teams, managers, and employees represented by various personnel policies and contracts. They will formulate, write, adapt, communicate, and implement new business processes and procedural standards to comply with University policies and improve BEARS transaction team efficiency, accuracy, and effectiveness. Provides training on department and campus policies, risk management, and best practices, and handles difficult or sensitive situations. Runs and analyzes ad hoc HRIM and payroll reports, and solves complex HRIS and payroll related problems. Develop new programs, policies or procedures for possible implementation.

Involves analytical studies on a a variety of policies, projects, programs, and issues in support of a function, program and/or organizational unit, or in research of new or changing systems and programs. Assists in policy and program planning, development, and administration; interprets, monitors, and analyzes information regarding policies and procedures and provides consultative services regarding general management to department administrators.

Provides analysis of policies and business processes as relates to HRIM and payroll systems and personnel, regarding issues such as employee position data, employee job data, employee pay, leave of absence, benefits/accruals, union contracts, FLSA status and other areas. Gathers, analyzes, prepares, and summarizes business and user needs, documenting requirements, troubleshooting existing system logic, providing recommendations, and implementing solutions as necessary.

Provides analysis for work allocation and actively monitors and distributes work to ensure efficient and accurate processing to meet business needs. May assign work via ticketing systems and provide backup support to the team as needed.

Establishing uniform methods and procedures, including work flow, timeframes, and best practices to enable HRIM, payroll, and other HR systems to be used in effective and efficient manners.

Perform on-boarding duties during high recruitment season.

Conducts post-implementation analysis to determine the need for further enhancements, finer distinctions and/or additional process/policy components.

Researches and analyzes processes, procedures, and policies in order to develop and/or implement changes and to provide consultative services regarding HRIM or Payroll system management to department administrators.

Prepares directives, regulations and other instructions for issuance to departments. Coordinates implementation with departments that cross organizational lines as needed.

Research Administration

Departmental Overview

Berkeley Regional Services (BRS) provides reliable, high quality administrative support for UC Berkeley in the areas of Business & Financial Services, Human Resources & Academic Personnel Support, and Research Administration.

This position is responsible for day-to-day UCPath payroll and HRIM dutites for assigned units with minimum supervision. Provide comprehensive overview of payroll and HR data entry functions to career, limited, academic and student employees. The incumbent must use various HR and payroll systems (e.g. UCPath, Cognos, CalAnswers, KRONOS Timekeeping systems, and a variety of other campus timekeeping systems). The position ensures: accurate data entry for in multiple HR systems; coordinates payroll process for large groups of employees and timely submission of information for payroll and adjustments. Analyze, prepare, and distribute reports and statistics based on information compiled from various systems.

Responsibilities

UCPath and other Pay Systems Coordination:

Use various systems and reports to ensure timely, accurate payroll and personnel process for employees, including: time reporting input, adjustments, accruals, researching and resolving errors, interpreting policies and contracts, ensuring compliance with personnel and payroll policies and procedures. Investigate and develop solutions to problems in various HR and payroll systems.

Applies timekeeping and/ or payroll concepts to perform complex analysis regarding pay processing adjustment, including retroactive pay and overpayments for employees in multiple bargaining units and unrepresented.

Performs payroll and leave audits to ensure accurate pay, avoiding overpayment issues and adherence to University policies, Bargaining Unit Agreements and employment laws.

Coordinate and ensure accurate timely processes for mass transactions (i.e. hires, separations, etc.): organize meetings and trainings, develop new documents and procedures as necessary.

Maintain detailed knowledge of University infrastructure, policies and procedures, and collective bargaining agreements.

Create, proofread, edit, update, and ensure timely distribution of: various documents, correspondence, operational calendar, manuals, etc.

Ensure above materials are in proper business formats, accurate, grammatically correct, and handled confidentially, as required.

UCPath and other HR Systems Coordination

Enters employee information into UCPath and other HR systems for new hires, change of status, terminations, etc, ensuring that the data is correct and consistent. Ensures Audits for employee information and appointment information entered into UCPath and other HR systems are done accurately and promptly.

Responsible for individual workload and time management with respect to work completion. This includes making workload decisions as needed and escalating insufficient/excessive work situations.

Reporting :

Prepare, format, and analyze reports and data compiled from various systems.

Utilize information to monitor and identify trends for: employee pay actions, data and pay corrections, etc.

Prepare, maintain, track, process, reconcile and correct errors in a timely manner for recharges to other campus entities, transaction documents, financial reports (as requested), spreadsheets, etc. following appropriate University/departmental guidelines.

Follow up and resolve any problems related to the above.

Runs reports on department staff for department managers and supervisors.

Customer Relations, Peer and Internal Collaboration, and Communications:

Greet, direct, and provide information in a professional manner via phone, in person, and online in BRS ticketing system to employees, managers, campus units, and others regarding: general UCPath information, specific UCPath inquiries from employees, managers or other entities, etc.

Respond to inquiries in a timely manner and confidentially maintains all information.

Consults with Generalists and BRS managers when working on non-routine issues of complex or sensitive nature.

Collaborate with the UCB Central Payroll Office and UCPath to resolve complex department payroll issues and data issues.

Participate in staff meetings and represents unit in departmental planning committees and with campus entities.

Communicate with supervisor and transaction team leads on workload, ability to meet deadlines, system functionality, etc.

Recommend and implement procedural changes for internal BEARS Region operations manual(s).

Administrative Support:

Develop and implement a document (both electronic and hard copy) control system in an effort to keep sensitive business and transaction team records and files "up-to-date" with the most relevant and current information (as required by policy or statute of limitations).

Organize, label/code, update and maintain departmental filing by pulling out-of-date information and redundancies.

Manages sensitive and confidential information regarding both non-represented and bargaining unit issues.

Responsibilities

Team Process Coordination

Organize and coordinate logistics on behalf of team in support of 28,000 campus customers. This will include, but is not limited to: Scheduling and calendaring on-boarding sessions with new employees, including tracking responses and following up. Respond to questions from new hires in regards to on-boarding, UC Berkeley or UC-wide programs, personnel policies, and procedures. Review ticketing system throughout the day, analyzing incoming requests, status of current items and assigning request inquiries to the appropriate FC team member for triage. Departmental Overview

The Department of Intercollegiate Athletics consists of more than 275 staff members and coaches and sponsors 30 varsity sports programs. These 30 programs include more than 850 student-athletes who participate in the various sports programs annually within the National Collegiate Athletics Association (NCAA). We are currently seeking two Coordinators.

The Event Management unit provides game day support for all 30 Varsity programs. This position will assist Event Managers with the planning, preparation and execution of team and game operations, as assigned. The sports supported include: Baseball, M/W Basketball, Beach Volleyball, M/W Crew, Field Hockey, Football, M/W Golf, M/W Gymnastics, W Lacrosse, Rugby, M/W Soccer, Softball, M/W Swimming & Diving, M/W Tennis, M/W Track & Field, Volleyball, M/W Water Polo. The Event Management unit also supports facility rentals and other intercollegiate athletics events as needed.

Reporting to the Digital and Multimedia Communications Lead, the Social Media Manager will act as a key member of UC Berkeley's University Development and Alumni Relations (UDAR) Editorial team by monitoring, populating, and maintaining the various social media channels under UDAR's purview (e.g., LinkedIn, Twitter, Instagram). In addition, the incumbent will administer a site for alumni, parents, and friends to share, curate, and create social content.
