Essential Job Duties
Media Outreach and Engagement Strategy:
Reporting to the Director of Research Communications and Media Relations, the Senior Media Relations Manager will interact daily with news media and in collaboration with Caltech faculty, administration, staff, and students, to promote the Institute and its work; particular emphasis will be placed on key strategic priorities identified by OSC and the Institute's leadership, and on amplifying the Institute's position as a world-renowned leader in higher education, academia, and research.
The Senior Media Relations Manager will work proactively to identify, develop, and nurture relationships with targeted media outlets and representatives, locally, nationally, and internationally, to tell Caltech's story of innovation and societal impact, and will foster connections between the Institute's leadership and faculty experts and these media outlets. Tactics may include coordinating and staffing editorial boards, exploring media partnerships, and outreach to new channels and operations, among other methods.
Proactive Communications, Media Training, And Metrics
The Senior Media Relations Manager is expected to maintain a keen awareness of world events and potential connections with Caltech and to seek and propose story ideas that will support Caltech’s communication strategies and goals. The individual will work closely with colleagues in OSC, including the strategy, digital communications, institute communications, and event productions teams to ensure that content is strategic, engaging, and coordinated across platforms/channels and appropriate for Caltech’s target audiences.
They will develop and implement robust processes for media training Institute experts and provide training and/or training resources to faculty, staff, and students as needed, and will assist with the development and maintenance of systems and resources to provide experts and materials that are relevant to key topics of interest in the media, and to breaking news events. Tactics may include the development of messaging points, press releases, Q&As and targeted pitches and positioning statements.
In collaboration with the Director of Research Communications and Media Relations, they will evaluate and strive to improve existing media relations assessment processes, including media monitoring reports, metrics, and key performance indicators.
Emergency And Crisis Communications
The Senior Media Relations Manager will play an integral role in proactive and reactive communications related to non-research topics, including events and incidents that have the potential to impact the Institute’s reputation. In this capacity/role, the Senior Media Relations Manager will work closely with the Chief Communications Officer, Director of Research Communications and Media Relations, and other senior leadership.
In regards to OSC’s emergency planning and training and its support of the Institute in such events, the Senior Media Relations Manager will serve as the primary liaison between OSC and other groups on campus with respect to emergency communications and build and maintain relationships with outside agencies (including but not limited to the Pasadena Fire Department and Pasadena Police Department) and individuals who collaborate with the Institute during emergencies; and will consult on and facilitate emergency-related communications to the media and the public via social media.
During emergency situations, the Senior Media Relations Manager will staff the Emergency Operations Center, assist in the development of a comprehensive communications strategy for each incident, and fill the role of Public Information Officer (PIO) and may serve as the Institute spokesperson.
The successful candidate will participate in the Institute's Crisis Management Council, attending regular meetings and representing OSC in emergency and planning drills and exercises, and will be responsible for maintaining OSC's emergency communications plan. They will play a leading role in handling emergencies during work and off hours.
The Senior Media Relations Manager may collaborate frequently with colleagues in the Office of General Council and participate in conversation and meetings regarding emerging issues.
Other Essential Job Duties
• Search out student and faculty research efforts, findings, and discoveries in alignment with key priority areas, and for development into communications strategies, media pitches, and stories.
• Develop and grow network of internal and external contacts to identify and address communications needs and channels of distribution; maintain positive relationships with faculty, staff, and students.
• Ensure sound editorial judgment, professional principles, and ethics are reflected in all work products.
• Stay abreast of science policy, journalism, and best practices in science communication, and of emergencies at and the communications responses of peer institutions.
Basic Qualifications
• Bachelor's degree in journalism, communications, public relations and/or a combination of a science degree and a minimum of 7-9 years news media or public relations experience required.
• A minimum of 7-9 years of writing experience is required.
• Demonstrated interest in science and related fields and a familiarity with scientific/technical terms and the ability to comprehend research and academic writing and “translate” it for different audiences, including the media and the general public, depending on the distribution channel, is required.
• Demonstrated understanding of the media landscape is required.
• A minimum of 3 years of experience with emergency communications practices and protocols, including training on the Federal Emergency Management Agency’s Incident Command System, is required.
• The ability to multitask, to work as a member of a creative team, and to work well under deadline pressure with high energy and a positive attitude is required. He/she must bring a commitment to continual improvement and a commitment to diversity and inclusion of varying views, including the ability to interface with people at all levels within the organization, and must have excellent interpersonal skills.
• Some evening and weekend work will be required. This position requires 24-hour availability in event of an emergency. May need to travel by car or airplane for assignments. Must have valid California Driver's License.
Other Required Qualifications
• Excellent writing, interviewing, and organizational skills; with a particular focus on research communications and media relations.
• Computer experience and experience working with MailChimp or similar email marketing platforms, Wagtail or similar content management systems, and Trello or similar project management systems.
• More than 10 years of experience working in a media relations/communications role with extensive knowledge of the news media– their deadlines, needs, and organization.
• Solid understanding of media tracking and metrics.
• Familiarity with social media platforms including Twitter, Facebook, and Instagram.
• Demonstrated initiative to both seek and propose solutions to problems.
Preferred Qualifications
• More than 5 years of experience in a higher education setting.
• Experience working as a PIO at a higher education institute.

Caltech Student Wellness Services supports graduate and undergraduate students who are scientifically minded, culturally diverse, and highly engaged in a rigorous academic environment. Our tight-knit campus allows for the development of strong relationships with campus partners and for the provision of high-quality support to meet the unique needs of each student. Counseling Services operates under the collaborative care model of Student Wellness Services, which also includes primary care, occupational therapy, and alcohol and drug education.
The referral coordinator will support the Student Wellness Services staff, primarily the Counseling Services staff, by helping student patients establish connections with local healthcare providers after being referred by their counselor. Caltech Student Wellness Services supports graduate and undergraduate students who are scientifically minded, culturally diverse, and highly engaged in a rigorous academic environment. Our tight-knit campus allows for the development of strong relationships with campus partners and for the provision of high-quality support to meet the unique needs of each student. Counseling Services operates under the collaborative care model of Student Wellness Services, which also includes primary care, occupational therapy, and alcohol and drug education.
The referral coordinator will support the Student Wellness Services staff, primarily the Counseling Services staff, by helping student patients establish connections with local healthcare providers after being referred by their counselor. Representative tasks include contacting healthcare providers to determine their availability; to ensure that local healthcare providers accept a student patient's insurance; and to follow up with student patients to ensure that they have connected with their referrals.
This is an hourly position that will likely require significant remote work, particularly in the initial months after hire.
Student Wellness staff members work collaboratively with colleagues to support the mission of the Institute. Additionally, the referral coordinator will demonstrate an appreciation and understanding of the culture and priorities of a science and technology-focused research institution.
This is an Organizational Critical position. In the event of an emergency on campus, an employee designated as organizational critical is expected to report to Campus as soon as possible to assist in division/department response and recovery efforts.

• Preparing service center reports.
• Private Use Analyses: Performs private use analyses in support of the Controller Office annual IRS reporting requirements to identify and quantify private use activities performed in tax-exempt bond funded space. The analyses may include but not limited to the following:
• Corporate Sponsored Research Private Use.
• Central Plant analysis supporting private use space.
• Service Center private use activities.
• Other Responsibilities:
• Support government and other audits as needed.
• Support and assist other Cost Studies projects and work activities as needed.
Budget Office (Approximately 50%):
• Provides financial analysis related to the preparation of budgets, monitoring of expenses and long-range forecasting and budget planning.
• Plans and designs the collection, analysis and interpretation of historical and comparative academic and financial data to provide senior administration with report and analyses for decision support.
• General Budget reporting and analyses for Support Departments and Academic Divisions:
• Prepares annual general budget targets and templates and coordinates collection of data from Department and Division contacts. Uploads annual budgets into Oracle and reviews and reconciles data to ensure accuracy and completeness.
• Prepares monthly reports and analyses of General Budgets, which include running OBI various detailed queries of YTD actuals and projecting forecast for the full year, utilizing best practices forecasting methods.
• Provides budget to forecast variance analyses; researches and explains variances and resolves as appropriate.
• Provides regularly scheduled reports and ad hoc analyses, reports and data on Institute issues as needed for strategic planning, performance indicator reporting and forecasting.
• Uses knowledge of data sources as well as content of data to produce accurate and timely information for the Institute and other internal and external constituencies.
• Prepares spreadsheets and graphs to facilitate interpretation of data and prepares narratives and reports as needed; clearly communicates findings to various audiences.
Basic Qualifications
• Bachelor's degree in Accounting, Finance, Math, Economics, or related field or combination of education and experience in cost accounting related activities.
• 2 or more years related work experience in an academic institution with demonstrated experience in complex financial analysis requiring the accumulation of source data, data manipulation, data treatment, and interpret of results.
• Position requires an advanced understanding of financial, business, accounting, and management principles gained either through formal education in the functional areas, or relevant work experience.
• Ability to synthesize complex and diverse information.
• Demonstrated ability to work independently and to set priorities among competing demands with minimal supervisions under tight deadlines.
• Demonstrated understanding of budget preparation, monitoring and reporting.
• Be knowledgeable, efficient, accurate and thorough in data collection and analyses of data.
• Ability to develop strong business relationships with internal and external contacts.
• Effective business writing and speaking skills.
• Advanced proficiency using Microsoft Office Products (Excel and Word), Labor Distribution Systems, and Data Warehouses such as Cognos, OBI, or equivalent database tools to extract data from the ORACLE Financial System.
Preferred Qualifications
• Graduate level education in business, accounting, or a related field is desirable.
• Demonstrated experience in financial analysis, planning, budgeting and reporting in a complex setting.
• Experience in preparing analytical and statistical summaries and presentations.
• Knowledge of Caltech's Charts of Account structure, and understanding of how accounts, journal entries, and adjustments relates to actual costs incurred by Caltech and the annual financial statements.
• Knowledge of Caltech's Internal Policies and Procedures.
• Proficiency with ORACLE Financial system.
• Knowledgeable of critical current costing issues impacting organizations associated with Higher Education.
• Have experience or knowledge related to F&A Rate preparation, space functionalization studies, and/or other research administration activities.
• Knowledgeable of the Uniform Guidance (2 CFR 200) and Cost Accounting Standards (CAS) 501, 502, and 503.

Job Summary
This is a Financial Analyst position in the Financial Services Department and reports directly to the Budget Director in the Budget Office and the Director of Cost Studies in the Cost Studies Office (CSO). The Financial Analysis is responsible for completing complex analyses requiring the acquisition of appropriate financial data, data treatment, and maintenance of specific Budgetary and Cost Studies related subject areas as described below.
Essential Job Duties
Cost Studies Office (approximately 50%):
• Service Centers: Performs reviews and analyses of Service Centers to verify compliance with federal regulations and Caltech's Service Center Policy:
• Service Centers billing rates are reasonable and do not result in overcharges to research sponsored awards.
• Service Center billing rates do not result in one user or user group subsidizing the cost of services provided to another user or user group.
• Completing Break-even Rate analyses.
• Service Center operations complies with Caltech's Service Center Policy and Federal regulations.
