QUALIFICATIONS SUMMARY

Reporting to the Director of Finance while also providing support to the Director of Admissions, the administrative support role requires strong organizational, technical, and interpersonal skills; a highly trustworthy, ethical, and discreet individual; confidence and poised in interactions with individuals at all levels; detail-oriented and resourceful in completing projects; and ability to multi-task effectively. More specifically, the role requires an individual with the following experiences, values, and abilities:
• Understands and demonstrates a passion for Catholic education and its mission
• Works with databases and Microsoft Office Suite
• Communicates with parents and guardians in a professional and thoughtful manner
• Possesses three or more years of progressive experience in an office environment; experience in finance or admissions preferred but not required
• Earned post-secondary education credentials, preferred but not required
• Prioritizes responsibilities and executes initiatives in a timely and effective manner to meet deadlines
• Maintains timely and accurate confidential records
• Works independently with minimal supervision
• Maintains consistent attendance and flexes hours to meet demands
• Proficiency with Microsoft Office Suite
• Fair, fun, and compassionate individual who embraces collaboration

Finance/ Human Resource Responsibilities
• Maintain accounts payable records, including filing and archiving financial records
• Process weekly payables
• Collect and confirm deposits
• Draft meeting agendas, record, and distribute minutes for the Finance Committee
• Assist in audit preparations
• Assist in the collection of tuition and fees
• Collect, reconcile, and record credit card receipts
• Collect and record athletic fees
• Record credit card transactions
• Assist in the financial aid process; specifically maintaining the financial aid database and notifying families of the awards
• Assist with maintaining scholarship information on the school’s website
• Assist guidance with the tuition contract and course selection mailing
• Record returned tuition contracts and registration fees
• Assist with student raffle
• Maintain employee salary and benefit information for new and current employees
• Prepare and distribute employee contracts for the school year with the assistance of the Director of Finance
• Assist with Human Resources functions, including maintaining employee records
• Provide additional support as needed

State Scholarship & Admission Responsibilities
• Support the Director of Admissions in managing state scholarship processes
• Send state scholarship (EdChoice Traditional, EdChoice Expansion, Autism, and Jon Peterson) renewal notifications to parents/guardians of current recipients
• Enter new and scholarship renewal applications
• Assist low-income EdChoice parents/guardians with income verification submissions
• Maintain state scholarship database
• Assist families with financial aid applications as needed
• Participate in Fall Open House, Spring Open House, Freshman Registration Day, and other Elyria Catholic events as needed
• Prepare and assemble enrollment materials, including handouts, acceptance packages, and scholarship materials

Regina Caeli Academy (www.rcahybrid.org), is a classical homeschool academy in the Catholic tradition. RCA is a national organization that offers instruction in a formal Socratic classroom setting on Mondays and Thursdays. The positions are hourly, and complimentary childcare/nursery is provided. Applicants must be able to sign an Oath of Fidelity to the Catholic Church and have a deep love for the Catholic faith. Curriculum and in-classroom guidelines are provided. Assistants are trained to provide guidance and classroom management according to RCA standards. The assistant will follow the guidance of the teacher in maintaining a joyful and virtuous classroom environment. The ideal applicant will have strong communication skills, good organization, timeliness, a traditional view of the student/teacher relationship, and must be living the Catholic faith day-to-day, including having received all the sacraments appropriate to his or her state in life.
