MAIN RESPONSIBILITIES:

Studio Operations - 100%
• Sets up, troubleshoots, maintains and repairs Ceramic and 2D instructional studio equipment and ensures a well-maintained and safe environment.
• Ensures that figure model supplies such as clean linen, props, lights, heaters and platforms are available in designated studios; manages model laundry.
• Provides technical assistance and training to CCA staff, student workers and faculty in managing, maintaining, operating and repairing studio equipment and furnishings.

Technical Knowledge
• Familiarity with a broad range of physical materials and proficiency in multiple approaches to making will be expected. Knowledge of safety, health issues as they apply to artistic materials and regulations for safety will be needed.

• Familiarity using a variety of software applications including, Word and Excel. G Suite and Mac/Apple proficiency.

Student Services Administration Support - 40%

• Schedule and arrange detailed and complex meetings and events for the Department; prepare routine correspondence; attend meetings and record meeting minutes.

• Develops and manages special projects or events as assigned.

Admissions Events and Tour Administrative Support - 25%
• Coordinates administrative functions for Graduate & Undergraduate Admissions events (invitations, room and equipment reservations, catering services, facility requirements, preparing and shipping of materials for off-site events, etc.)
• Liaison for Admissions with various CCA offices that services during planning and execution of events and tours, including Catering, Business Office, Room Reservation, and others.
• Project manages Admission Tours, including being present onsite during tours, calendaring and working with event systems (including Teamwork Desk and VisitDays) to process tours.
• Prepares all Admissions in-house collateral material and maintains inventory of all Admission material.

Financial Aid Support - 25%
• Receives specialized training in Financial Aid practices and policies to provide baseline support to prospective, admitted and current students for Financial Aid questions.
• Manages private scholarship in Wagtail/Portal and manages advertisement of information to current and prospective students.
• Supports for document tracking and quality assurance of incoming documentation for completion and accuracy.
• Acts as a bridge between students and the Financial Aid Office to problem solve issues and address student concerns.

Office Management - 10%
• Orders office supplies as requested and manages invoices and purchase orders in a timely manner. Works with the CCA Business Office to process invoices and payments.
• During Admissions recruitment cycle, coordinates with FedEx to pack and ship materials for offside visits and events.
• Keeps the Admissions/Student Services office in clean, working condition.
• Additional duties as assigned.

MINIMUM QUALIFICATIONS:
• Bachelor's degree preferred
• Prior experience (6 months) working in an administrator role
• Prior knowledge of higher education structure
• Willingness to learn and interest in growing within higher education is a plus!
• Computer proficiency required.
• Must demonstrate attention to detail, working with a high degree of accuracy, strong organizational skills, strong record keeping skills, and the ability to articulate and disseminate complex information to multiple audiences.

The Communications Associate is a key member of CCA's Marketing and Communications team, an in-house creative and strategic group that partners with colleagues across the college to inform and inspire audiences by sharing compelling stories about CCA's vibrant community of students both internal and prospective, faculty, and alumni. Reporting to the Director of Integrated Communications, the Communications Associate is responsible for supporting the cultivation and relationship building with members of the media to garner favorable coverage for the college, and for supporting internal and external communications plans that keep our community informed and engaged. This may take the shape of targeted media-relations campaigns and pitches; communication tactics to engage in-person or remote faculty, staff, and students; or broad external communications campaigns that ensure our mission, vision, and values are consistently and compellingly delivered.

The Communications Associate is responsible for cultivating story ideas; developing and maintaining press materials and media lists; managing media relations and research; developing and cultivating relationships with the media; and monitoring and reporting on media presence and performance. In addition, the Communications Associate will contribute to the CCA.edu newsroom, contributing creative ideas and writing stories in alignment with the college's strategic vision and goals. The Communications Associate will also support the creation of various internal and external communications in collaboration with the Director of Integrated Communications and other key stakeholders.

The Communications Associate is an active participant in the department's and the college's efforts to identify and dismantle structural inequities and promote anti-racism, equity, inclusion, and belonging at CCA and in our society. MAIN RESPONSIBILITIES:

Public Relations and Earned Media - 60%
• Work with the Director of Integrated Communications to develop and implement public relations plans and support communications plans in support of institutional goals.
• Spearhead media outreach, cultivate relationships with key journalists and digital influencers, maintain and expand the college's media contact list.
• Plan and coordinate an annual media calendar, develop press releases, pitch and follow up with media.
• Generate materials to support public relations needs including press releases, institutional backgrounders, leadership bios, project and initiative descriptions, and other editorial collateral.

Content Development - 25%
• Collaborate with partners across the campus to cultivate and build an earned and owned story inventory that supports the college's mission, goals, and brand.
• Write short and long-form stories for the CCA.edu newsroom in collaboration with the Writer/Editor and MarCom team.
• Support the Director of Integrated Communications in developing internal and external communications, including newsletters and announcements.
• Cultivate and promote CCA faculty and leadership as subject matter experts in their respected fields.

• Maintain email lists, google groups (faculty, students, alumni, donors etc.) for respective programs.
• Draft communications and produce marketing and promotional e-newsletters and e-blasts for programs.
• Assist with program recruiting efforts and marketing strategies via web, print, and social media.
• Lead with designers for program-based marketing and communications collateral.
• Research competitive programming and recommend program enhancements to the Senior Director.

Budget Management - 10% of time
• Manage program and project budgets as assigned.
• Assist with revenue projections and profit / loss accounting for programs, including program budget summaries.
• Gather and prepare analytical information for the annual budget proposal process, in concert with the senior director.

Supervision - 10% of time
• Recruit, hire, train, and supervise work study students.
• Provide administrative support and facilitate student and instructor on-boarding, approve timesheets, problem solve as needed with Financial Aid and Human Resources.

MINIMUM REQUIREMENTS :
• Two years of administrative experience at an education or nonprofit organization, or other similar environment.
• Bachelor's degree.
• Excellent written and verbal / interpersonal skills.
• Excellent organizational and time management skills; competent with multi-tasking, prioritizing, and sustaining focus amidst frequent interruptions.

• Review and analyze complex financial documents to verify and assess applicant's resources and provide recommendations that impact the students funding eligibility.
• Compiles factual and interpretive information on families income, household size and marital status. Identifies unusual and complex circumstances to meet Federal and Institutional policy; to ensure and maintain compliance in awarding.
• Performs award packaging using federal and institutional need analysis. Reviews financial aid files performing verification of data; resolves discrepancies and items needing clarification. Submits data for reprocessing and performs any necessary documentation and follow-up.
• Updates and manages financial aid portal pages and annual forms.

Front Lines - 10%
• Handles routine financial aid inquiries, status inquiries and follow ups in person, phone, or email.
• Frontline receptionist support for the Student Services Office providing drop-in financial aid counseling sessions and providing general information or forms pertaining to Student Records, Student Accounts, Housing/Dining, and Academic Advising.

MINIMUM QUALIFICATIONS:
• Bachelor's degree or equivalent required.
• Computer proficiency a must, i.e. PC Windows applications: MS Excel, Word. Must demonstrate attention to detail, working with a high degree of accuracy, strong organizational skills, strong record keeping skills, and the ability to articulate and disseminate complex information to multiple audiences.
• Strong customer service and interpersonal skills are a must.
• Excellent oral and written communication skills required.
• The ability to multi-task with a high level of efficiency and adjust to varying assignments and workloads is a plus.
• Demonstrate ability to work independently and self-initiate general responsibilities, but also work in a team environment.
• At least 1 year of experience in a financial aid office or a higher education setting; knowledge of Federal Title IV and state financial aid requirements; familiarity with needs analysis methodology, application, and verification process; knowledge of financial aid software and tools, including CSAC Web Grants, NSLDS; experience with integrated student information systems (Workday). Strong preference for Bilingual speakers.

Budget Implementation

The Financial Analyst assists the Director and campus leadership in developing the annual budget for presentation to the CCA Board of Trustees.

Budget Management and Variance Reporting

The Financial Analyst works with stakeholders in other units and with other members of the Business Office to understand needs and make recommendations to improve workflow and service capability of the Business Office (notably as they relate to budget management). The Financial Analyst assists in fostering financial competence across the college by providing analytical tools for business insight, educating cost center managers, and implementing financial controls. This role supports the Director in producing quarterly college-wide variance reports and preparing board materials.

Ad Hoc College-Wide Financial Analysis

In coordination with the Director, the individual in this role collaborates with the VP of Finance, Accounting and Business Services and the CFO and senior leadership on as needed financial analysis and assists in long range budget and cash flow planning and analysis. The Financial Analyst assists the Director in reviewing, validating and collaborating with divisions and departments on analysis of the financial impact of their activities. The outcome of this work has campus-wide implications.

MAIN RESPONSIBILITIES:

Financial Planning & Analysis - 70% of time
• Supports the Director in compiling, reviewing and implementing the annual consolidated budget, capital budgets and multi-year operating budgets and prepare them for presentation to the Board of Trustees
• Assists in the college budget process in collaboration with the Director, Financial Planning & Analysis
• Assists in creating and managing all necessary models for the development of the annual consolidated budgets
• Support the Budget Office in the development of policies related to budget
• Analyze budget variances and prepare ad hoc reports and forecasts as a basis for recommendations to the Director and management
• Provide complex financial analyses, creating financial models of "what if" scenarios
• Assists in the development and evaluation of multi-year financial plans and policies; monitor actual results of financial data against plans, forecasts, and budgets
• Supports the Director in providing sound financial analysis to support development of the college's overall business strategy, developing insightful information from the college's internal accounting and financial reports, delivering executive level presentations, and synthesizing and articulating key findings for senior leadership

• Assist Director with data validation throughout implementation of Financial Planning and Analysis system

Customer Service - 15% of time
• Be the backup to the Director as a point of contact for finance stakeholders across the college; resolving inquiries, understanding their needs and objectives and offering solutions to enhance their experience

MAIN RESPONSIBILITIES:

General Office and Event Support - 50%
• Serves as individual giving team's point of contact for the CCA community and general public
