Chief Objective of Position

Reporting to the Director of Study Abroad, the Coordinator for Study Abroad Financial Operations and Advising is responsible for all financial operations within the office of Study Abroad. Responsibilities include processing payments made from students for their program, budgets for faculty, and purchasing; and oversight of scholarships, program costs, invoices, and travel and hotel expenses.

Work Tasks

Faculty Led Programming:

• Assists faculty with program travel logistics and payments to include prior travel approval, on-site expenses, reimbursement, cash advances, and reconciliation of expenses

• Meet with faculty prior to departure to discuss on-site payments and remaining budget

• Coordinate each program budget with faculty leaders throughout the academic year to ensure program fees are prepared, managed, and within budget.

• Coordinate with the business office for invoices paid for recording payments made via credit card, wire transfer, or check

• Assist with the Faculty Travel Grant proposals, awards, and reconciliations

• Maintain a shared document with faculty for updating the program budget

Student Payments, Financial Aid & Scholarships:

• Coordinate with financial aid to award scholarships and assist students utilizing scholarships and/or financial aid on managing associated costs and requirements with study abroad

• Communicate with financial aid weekly for students applying and approved for study abroad

• Serve on the scholarship selection committee and maintain a list of scholarship awardees and applicants

• Serve as the primary contact for national study abroad scholarships such as Gilman, Fund for Education Abroad, etc.

• Coordinate with student accounts for payments of program fees to student’s records including collection, recording, reconciling, and depositing payments

• Tracks and monitors student payments and notifies students of late payments

• Advise students and parents about the cancellation and refund policy to include students who have cancelled participation for medical withdrawal and are requesting a refund

• Collect payment records from seniors for international graduation sashes

Study Abroad Office & Advising:

• Maintain a list of affordable programs for students with financial concerns

• Manage a budget for 4-6 part-time student workers to include monitoring hours and associated student worker expenses

• Manage purchases made with state funds such as office supplies

• Maintain the ability to use the state and local credit cards for the office and faculty program purchases

• Serve as a supervisor for local account credit cards for faculty leading study abroad programs

• Collect registration and payments for the spring and fall study abroad fairs

• Represent the study abroad office at fairs and recruitment events for students with financial questions for study abroad
