An employee’s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, travel requirements, revenue-based metrics, any contractual agreements, and business or organizational needs. About the role...
The Administrative Assistant works closely with and supports the needs of key senior personnel and others around the network as needed. Responsibilities include, but are not limited to:

• Create a welcoming environment by greeting guests, answering phone calls, directing visitors
• Maintain multiple calendars for appointments, calls, and meetings
• Prepare daily mail/correspondence; review packages
• Coordinate extensive travel arrangements, travel itinerary, and portfolio
• Coordinate and oversee document production and projects, as requested
• Coordinate both in-house meetings and off-site meetings, including conference room set-up, beverages, food, and travel for visitors
• Maintain client files, contacts database, and record keeping needs of group
• Forge relationships with members across Edelman Chicago and the Chicago Health network
• Coordinate bi-weekly staff meetings
• Complete special projects as assigned
• Assist with operations assignments where needed
• Compute personal and managers’ timesheets and expense reports in a timely manner

Basic Qualifications:

• At least 2 years of relevant administrative experience
• A bachelor’s degree or equivalent work experience

Preferred Qualifications:

• The Administrative Assistant must possess strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint. You should also:

• Possess strong judgment and proven history of excellent customer service, including advanced organizational skills, excellent written, oral, and interpersonal communication skills, as well as the ability to discreetly handle confidential information
• Ability to work autonomously, efficiently, be solutions-oriented, flexible, proactive, and anticipate needs is required to take ownership of work and excel in a team environment
• Strong time-management skills, with attention to detail, following through on projects and handling multiple tasks
• Strong ability to support individual executives, as well as client/practice teams with the essential ability to work collaboratively with others, at all levels
• Proven ability to take direction from multiple sources
• Interest in operations culture
• Have experience working in a public relations or communications agency (preferred)
