The incumbent will collaborate across several departments at the Society, including Membership and Education among others. The Specialist has experience working across all channels, both traditional and digital marketing strategies, including direct mail, email, web, and social media. The Specialist, Marketing will provide a unique blend of technical, consultative, and interpersonal skills to drive the right marketing solutions to improve member engagement, increase revenue, and grow Society brand awareness.
What you’ll bring to the job:
• Exceptionally organized plus strong copy writing and editing skills
• 1-3 years of experience developing and implementing marketing plans
• Ability to travel internationally required.
• Proficiency in Microsoft Word, Excel, and PowerPoint
• Experience with email marketing systems, knowledge with Higher Logic is a plus
• Ability to prioritize multiple tasks, meet deadlines and work well under pressure
• Exceptional customer service skills and ability to communicate written and verbally inside and outside the organization

What you’ll own:
• Support implementation of marketing plans for ENDO, the Society’s annual meeting, to drive both registration for and engagement during the conference.

• Use data/metrics to monitor and report on program/campaign progress and proactively communicate results to marketing team to optimize future campaigns.
• Develop content for Endocrine eNews, our weekly e-newsletter, as well as promotions served on the endocrine.org website.
• Collaborate with the Marketing team to ensure appropriate timing and placement for a broad range of marking activities with other Society initiatives and strategies and identify cross promotional opportunities.
• Work closely with the Creative Services team to develop print and digital assets that support broader marketing plans, ensuring pieces adhere to brand standards and are appealing to recipients.

Working in a team environment, the Membership Coordinator plays a vital role in building member loyalty and satisfaction. A positive attitude and a genuine desire to assist others is essential for providing superior frontline support to Society members and customers. Through cross-functional collaboration, the Member Services team serves as a resource for other departments by providing insightful business intelligence collected from member and customer interactions.
ESSENTIAL TASKS AND RESPONSIBILITIES
• Customer Service
• Handles customer email, telephone and written inquires in a professional and friendly manner. Provides timely feedback to supervisor regarding any repetitive customer service concerns and any technical or support problems.
• Validates issues and conveys the details to the appropriate staff person in a clear and concise manner.
• Remains well versed on the procedures and business rules of the department and the Society, and extremely knowledgeable about the products and services processed by Member Services.
• Demonstrates expert knowledge of Society products and services so cross-selling recommendations can be effectuated to meet member/customer needs.
• Handles general patient inquiries regarding how to find an Endocrinologist or patient education. Conducts patient education fulfillment for the Patient Education function.
• Maintains knowledge of all current patient education materials and provides appropriate resources in a prompt and professional manner.
• Creates invoices and processes payments for mailing lists
• Provides Technical and Online Support to Society Members and Customers
• Provides real-time support via phone, email or online chat.
• Assists members, as needed in accessing their online journals and logging into the Society’s Member’s Only Web site.
• Assists members in registering for a meeting, submitting an abstract, or purchasing a product
through the Society’s website and 3rd party vendors.
• Demonstrates in-depth knowledge of the Society’s Learning Management System (LMS) and how it interacts with accrediting boards.
• Process credits that were not entered by members in LMS including verifying information before processing credits.
• Transactional Processing
• Processes payments and/or refunds for all Society purchases, including annual membership dues renewals, journal subscriptions, product and book orders, meeting registrations, donations, and any other payments which run through the Society’s Association Management System (AMS)/database.
• Generates single invoices and receipts at the request of Society members and customers, or as defined by established department procedures.
• Assist program coordinators with group invoicing for fellows ESAP books.
• Chargeback research for the accounting department.
• Review batches for accuracy and make sure that web batches are completed for month end.
• Research and contact members for unknown payments received by the Society.
• Database Integrity
• Accurately inputs new or modifies existing address and demographic data into the Society’s
database. Assists with routine cleanup to ensure database accuracy.
• Cleanup Reports – In addition to helping with the general cleanup reports, each Staff Member has their own cleanup reports specific to their focus areas. The coordinator will be responsible for running reports and facilitating appropriate data cleanup, as defined by department procedures.
• Coordinates with the appropriate staff members on product inventory.
• Create accounts for various departments in order for records in Netforum to be accurate and complete.
• Reach out to warehouse contact to correct product shipments.
• Membership Responsibilities
• Assists with the processing of new membership applications and changes to membership statuses.
• Demonstrates proficiency in all aspects of Society membership eligibility and criteria.
• Supports the accuracy of inputting and tracking all member related participation in the Society’s
AMS (netFORUM).
• Processes subscription claims for missing journals per the department’s established procedures.

• Provide secondary support to the Associate Director of Event Education Design (EED) & primary support to the Manager of Event Education Design (ENDO) on all aspects of the Society’s event-based education programs, including in-person and digital, as well as US-domiciled and global.
• Serve as the tertiary staff liaison to the ENDO Annual Meeting Steering Committee (AMSC) and other committees (current/future) that pertain to the Society’s signature educational conferences.
• Support execution of an annual work plan and maintain supporting project plans for assigned committees’ work.
• Review and update standard operating procedures and related communication templates to support assigned committees’ annual work plans and project plans.
• Support delivery of assigned committee orientations to ensure committees follow recommended practices for content development and collaboration with Society staff.
• At the direction of the Associate Director, supports the exploration of global, hybrid, and online opportunities for ENDO and derivative events.
• Serve as the secondary staff liaison communicating with and about ENDO speakers, sessions, and annual conference call for proposals process, including system build-out, reviewer identification and communications, scoring analysis for submissions, pre-conference communications with selected presenters, and onsite management of all speaker-related tasks.
• Assist with the build, open, and close of the call-for-proposals system, aligning with established project plan deadlines.
• Review content within the call for abstracts system and proactively report submission trends, including positive and negative variances, on a weekly basis.
• Help identify, confirm, and assign proposal reviewers; distribute clear and consistent review guidelines and manage documentation to ensure a fair and consistent review process.
• Support the preparation of all scored proposal reports.
• Support Manager, EED (ENDO) in the proposal selection process.
• Support distribution of pre-conference communication to all abstract submitters, including registration follow-up notices.
• Assist with communication of onsite poster and session assignments to abstract submitters and internal/external stakeholders.
• Assist Manager, EED (CEU/EBR) with onsite poster scoring process, including judge selection, scoring protocols, scoring analysis, and award announcements.
• Help ensure poster and abstract session content is delivered to appropriate post-conference distribution platforms (e.g., LMS) if required.
• Assess feedback from educational activities, surveys, and other needs assessments to empower the Manager, EED (ENDO) to make recommendations for future activities.
• Support collaboration with the Marketing team regarding communication initiatives for Education events, internal and external, to ensure accurate and effective promotion and dissemination to all relevant audiences.
• Support collaboration with the Accreditation team to ensure evolving accreditation standards are met.
• Support annual budget management by preparing documentation and recommending allocation of funds to meet financial goals.
• Represent the Society at conferences and public/community interactions that encourage partnership, collaboration, and confidence.
