You will be an active member of the Enrollment Services team and will work closely with the Associate Registrar to provide top service levels to students and families through face-to-face, over-the-phone, and email communication. What Will I Do At ESU? (AKA Essential Duties)
• Data entry, general analysis, and retrieval of student records for all enrollment management systems
• Assist students and their families with registration, student account inquiries/billing inquiries, and financial aid general inquiries.
• Update student academic records, process documents/forms/reports for students, and access documents on demand at the student’s request.
• Provide guidance and training to new hires and others in the enrollment services area on how to access student records and documents, and provide service in these areas.
• Resolve complex and involved customer service issues for students and families, such as registration, scheduling, holds, dual enrollment, registration, and other related enrollment services and issues.
• Provide front desk coverage for the student enrollment area as needed.
• Follow all rules/laws/regulations expected of an enrollment services representative, such as FERPA, Privacy Acts, etc.
• Participate in student programs and campus events to educate, inform, and promote a positive relationship between ESU and the public.
• Perform related work as required.
What We're Looking For (AKA Qualifications)
• 2 years of experience in general office, clerical, or administrative work, preferably in a higher education environment.
• 1 year of experience providing customer service to the public, in combination with a high school graduation certificate/diploma.
• Outstanding verbal and written customer service skills.
• Previous enrollment services experience in higher education preferred.
• Ability to explain complex enrollment information in an understandable way to students and families.
• Ability to remain calm under workplace pressure, such as a high number of customers.
• Ability to stay on task when working in a high volume and at times noisy environment.

Position Qualifications
• Bachelor’s degree.

What Will I Do At ESU? (AKA Essential Duties)
• Submit purchase orders and work orders within 2 work days of receipt.
• Contact and secure services from campus constituents to ensure an efficient onboarding of new Athletics employees.
• Process all travel authorizations and expenses, reimbursements, etc. submitted by department administration, coaches, and staff within 2 work days of receipt.
• Process all deposits and budget transfers as directed.
• Place orders for team uniforms and equipment at the request of the coach and as approved by the AD within 2 work days of receipt.
• Serve as the department liaison to the BSN vendor to address any issues with team apparel, uniforms, and equipment purchases.
• Submit payment for membership fees, etc. in adherence to deadlines.
• Coordinate team travel for all 22 sport teams with AD approval including but not limited to securing buses, hotel rooms, per diem expenses, etc.
• Post per diem monetary requests to debit cards at least 72 hours in advance of travel.
• Provide updated monthly budget statements by the first of each month to administration, coaches, and staff specific to their area of oversight. Statement must include accounting of deposits and expenditures.
• Work with the Coordinator of Athletic Events and Facility Operations, Equipment Manager, Athletic Communications, and department staff to identify the number of student workers needed for their specific areas.
• Verify and approve hours worked for undergrad/graduate student workers hired to support the athletic department, athletic communications, equipment room, athletic events and facility operations offices.
• Prepare financial reports at the request of the Athletic Director.
• Work with Food Services to arrange for meals over breaks and during pre-season.
• Generate game contracts, distribute to opponents, and monitor return of said contracts; report to coaches on status of game contracts; provide copies of returned game contracts to coaches.
• Work with Arbiter or other entity to ensure the scheduling of officials.
• Collaborate with Director of Athletics, Athletic Training, Coordinator of Athletic Events, and Facility Operations staff to address schedule changes.
• Assist in scheduling department meetings and communicating with department staff at the request of the Director of Athletics.
• Collaborate with the Director of Athletics regarding the submission of NCAA Championship bids.
• Perform duties in compliance with all NCAA, PSAC, Title IX, and ESU rules/regulations.
• Attend athletic department meetings, take meeting minutes, and present report to AD.
• Perform additional duties as assigned by the Director of Athletics.

As the Coordinator of Athletic Business Operations, you will need to think creatively and be comfortable monitoring budget deposits and expenditures. You will be an active member of the Athletics team and will work closely with the Athletic Director to generate game contracts and coordinate the assignment of officials. What Will I Do At ESU? (AKA Essential Duties)
• Submit purchase orders and work orders within 2 work days of receipt.
• Contact and secure services from campus constituents to ensure an efficient onboarding of new Athletics employees.
• Process all travel authorizations and expenses, reimbursements, etc. submitted by department administration, coaches, and staff within 2 work days of receipt.
• Process all deposits and budget transfers as directed.
• Place orders for team uniforms and equipment at the request of the coach and as approved by the AD within 2 work days of receipt.
• Serve as the department liaison to the BSN vendor to address any issues with team apparel, uniforms, and equipment purchases.
• Submit payment for membership fees, etc. in adherence to deadlines.
• Coordinate team travel for all 22 sport teams with AD approval including but not limited to securing buses, hotel rooms, per diem expenses, etc.
• Post per diem monetary requests to debit cards at least 72 hours in advance of travel.
• Provide updated monthly budget statements by the first of each month to administration, coaches, and staff specific to their area of oversight. Statement must include accounting of deposits and expenditures.
• Work with the Coordinator of Athletic Events and Facility Operations, Equipment Manager, Athletic Communications, and department staff to identify the number of student workers needed for their specific areas.
• Verify and approve hours worked for undergrad/graduate student workers hired to support the athletic department, athletic communications, equipment room, athletic events and facility operations offices.
• Prepare financial reports at the request of the Athletic Director.
• Work with Food Services to arrange for meals over breaks and during pre-season.
• Generate game contracts, distribute to opponents, and monitor return of said contracts; report to coaches on status of game contracts; provide copies of returned game contracts to coaches.
• Work with Arbiter or other entity to ensure the scheduling of officials.
• Collaborate with Director of Athletics, Athletic Training, Coordinator of Athletic Events, and Facility Operations staff to address schedule changes.
• Assist in scheduling department meetings and communicating with department staff at the request of the Director of Athletics.
• Collaborate with the Director of Athletics regarding the submission of NCAA Championship bids.
• Perform duties in compliance with all NCAA, PSAC, Title IX, and ESU rules/regulations.
• Attend athletic department meetings, take meeting minutes, and present report to AD.
• Perform additional duties as assigned by the Director of Athletics.

Reporting to the Director of Donor Relations, he/she supports the donor relations program ensuring that donors are stewarded for their gifts to the ESU Foundation. The Donor Relations & Stewardship Coordinator monitors and coordinates the stewardship reporting program with a goal of increasing private support from alumni, friends, and supporters of the university.
Stewardship Accountabilities
• Manage departmental mailings accurately and in a timely manner. This includes, but is not limited to, the departmental gift stewardship process, department director/faculty stewardship process and event follow up, utilizing personalized letters, cards, e-mail, and phone, as appropriate.
• Develop and maintain knowledge of Raiser’s Edge database as well as a thorough understanding of constituent management, relationship management and development research policies and protocols to track fundraising and stewardship actions and coordinate biographical and other updates.
• Writing of all stewardship letters from leadership to individuals, foundations, and corporations for $1,000+ gifts. Ensure letters are prepared in accordance with departmental protocol. Work closely with gift processing staff and development officers to resolve any questions related to donations qualifying for an acknowledgement letter. Review procedures and recommend improvements to processes.
• Assist with fundraising tracking, reporting, and data analysis. This may include monitoring and reporting on fund usage.
• Provide efficient and accurate customer service to alumni, donors, committee members, and internal constituents.
• Plan and execute bi-annual stewardship e-newsletters.
• Work with photographers and videographers in development of stewardship digital media.
• Provide writing support for print and digital communications, including the Alumni Herald magazine, the Foundation and Alumni Engagement websites, and other marketing pieces relating to fundraising, stewardship, and events.
Social Media / Digital Outreach Accountabilities
• Assist with managing the Foundation office social media sites and publicity efforts. Employ best practices on all forms of Foundation communications.
• In conjunction with Donor Relations and Stewardship and Annual Giving and Special Programs; post, converse, and monitor Alumni Relations/Foundation social media pages including Facebook, Twitter, Instagram, and LinkedIn.
• Communicate notable online conversations and engagement opportunities to appropriate colleagues for any necessary follow up or awareness.
• Collaborate with Donor Relations and Stewardship to support Associate Director of Annual Giving and Special Programs with social media campaigns (ESU Giving Days/Student Athlete Day/Warriors Friends and Family) to spread awareness of alumni participation and philanthropy.
Position Qualifications
• Bachelor’s degree required. Minimum of 3 years of writing experience in an Advancement, Marketing or Public Relations office (nonprofit sector or higher education, preferred)
• This position requires excellent interpersonal skills, diplomacy, and ability to multi-task.
• Ability to work collaboratively with colleagues and peers within university leadership, external partners, and volunteers.
• Superior writing, editing and proofreading skills.

As the Cheer Advisor, you will need to think creatively and be comfortable working with a diverse student population. You will be an active member of the Athletics Department and will work closely with the Director to establish public relations with staff, community and alumni. You will thrive in this role if you like utilizing your coaching experience while administering all aspects of the ESU Cheer program. To be successful in this role, you must be a strong communicator, flexible, and have managed cheer programs previously.
Your hours will vary based on events. This is a part-time position, budgeted at $3,000 per year with up to 500 hours worked annually. This position will require up to 50% travel to games and events during sports seasons. What Will I Do At ESU? (AKA Essential Duties)
• Arrange with athletic administration the use of appropriate facilities for practices, tryouts, and events.This includes keeping appropriate individuals informed of the condition of equipment and facilities, along with communicating any issues to facilities management.
• Provide instruction, training, and practice necessary to create skills, techniques, and physical conditioning sufficient to enable each student to compete safely and competently.
• Ensure all students have the documentation and forms required to participate in the Cheer program.Additional administrative aspects are required, such as reporting, document tracking, and other financials.
• Distribute inventory, maintain, collect, and store equipment and uniforms used within the program.
• Ensure scheduling of events and ensure proper athletic training staff is scheduled to provide proper medical supervision.
• Create and maintain team expectations, rules, schedules, standards, etc. and communicate these requirements to the Athletic Director.
• Recruit qualified students to participate in the Cheer program.This includes maintaining the minimum number of students on the squad to keep the program current.
• Responsible for having cheer team members participate in all home football and an equal number of men’s and women’s home basketball games, Pep Rallies, Midnight Madness, Auction and other Department of Athletics sponsored activities at the request of the Director of Athletics.
• Responsible for fundraising, solicitation, and maintaining the program budget.This includes ordering of uniforms, supplies, etc.
• Responsible for the Cheer program’s community service efforts and participation in events, including cheer camps or clinics.
• Manage the ESU mascot program, including advising, instructing, recruiting, engagement/interaction, overseeing the schedule, and ensuring the mascot is at events and properly conducting the mascot program.
• Perform related work as required.
What We're Looking For (AKA Qualifications)
• Must obtain annual NCAA cheerleading coach certification. Documentation of successful completion must be turned in to Director of Athletics prior to cheerleading tryouts each fall semester.
• An advanced degree, either Associate’s or Bachelor’s, in business, communication, or other related field is preferred.
• 3 years of experience coaching or advising a cheer program, either as an assistant or head.
• Ability to be physically present for all games, practices, and events related to the Cheer program.
• Ability to represent the University’s Cheer program with the utmost sportsmanship and integrity.

• Collaborate with outsourced contractors on bulk mailing printing, pick-up, and deliveries and resolve discrepancies. Follow up on unpaid charges with appropriate departments.
