HERFF JONES, SEASONAL CUSTOMER SERVICE SUPPORT - ORDER ENTRY

Your Opportunity:
The Herff Jones Cap and Gown team, based in Champaign IL, is looking for a Customer Service Support to join our team. This position is responsible for creating paperwork needed to fulfill sales orders submitted for manufacturing apparel products and other job duties as assigned. This includes verifying, updating, and correcting custom apparel orders, product items, and manufacturing paperwork to ensure accuracy.

Here’s How You’ll Make an Impact:
Reporting to the Customer Service Supervisor, you will enter, review, and process orders in a timely manner. Attention to detail is necessary as we want all orders to be complete and correct before sending up to be manufactured.
• Reviews, enters, and processes orders received from individual customer, sales professionals, and bookstores in accordance with policies and guidelines for product, price and commission sales.
• Inputs sales order details into the business system, verifying it’s accuracy by comparing the business system against the order paperwork submitted utilizing various check lists, tracking sheets, and price computation forms.
• Sends orders to customer service representatives, inside sales professionals, and various company personnel to resolve questions and retrieve missing information.
• Assists with sales order deposits, including credit card transactions and tax-exempt certificates.
• Assists with business system projects, stock and sample inventories, and building collateral marketing stocks.
• Collects paperwork, filing, and handles customer and/or sales professional mailings, and other duties assigned.
• Overtime, learn aspects of team members job duties to give a helping hand when they are away

HERE'S HOW YOU'LL MAKE AN IMPACT:

The Production Control Clerk acts as a liaison between customer service and manufacturing management by communicating as needed, with the customer service teams and our internal customers regarding order specifications.

What You’ll Do On a Daily Basis
• Schedule orders and monitor scheduled dates to assure work is completed by scheduled deadlines. This includes manufacturing completion dates and acknowledged ship dates.
• Adjusting schedules for open work orders and manipulating them on the production floor.
• Maintain regular production statistics and communication for such statistics. This would include maintenance of electronic bulletin boards and hard copy distribution of reports.
• Continually educate yourself on new or improved Herff Jones business systems. Seek out alternative processes and improvements to all job functions.
• Create and maintain spreadsheets as needed for data collection and perform routine transactions utilizing the manufacturing business system. This includes inventory adjustments, process movements, job creation, job completions, and job tracking.
• Report scheduling conflicts to Production Scheduling Supervisor or Production Control Manager when conflicts cannot be resolved.
• Participate in cross-training in other departments as needed.
• Perform routine maintenance and troubleshooting of computer equipment utilized in tracking manufacturing. This includes continuous training and assistance to press operators as needed for movements, etc.

Here's How You’ll Make an Impact:

The Account Coordinator is an important part of the team that supports high schools, colleges, and other educational institutions (customers). This role supports the Diploma Account Specialist who work with and support our customers and the Herff Jones sales representatives.

The Account Coordinator serves as a liaison between the Diploma Customer Service Representatives and Account Specialists to ensure that any order inquiries are addresses within expected service levels. The Account Coordinator role provides overall customer support focusing on administrative duties such as researching order details, providing information on billing inquiries and other support to the Account Specialist. Primary communication methods in each of these areas will include phone support and email response. In peak times, the Account Coordinator will also enter diploma orders and other needs for the diploma support team.

What We Want You to Accomplish:

First 30 Days:
• Be in complete learning mode gaining knowledge from job aids and SOP (standard operating procedures).
• Trained by an experienced Account Specialist working side-by-side to teach the role.
• Understand the high-level flow of products and processes in the fine paper customer service department.

First 90 days:
• Build initial relationships with account specialists, account managers, and sales partners in the designated assigned territory.
• Become proficient in performing basic operations in our ERP system (Oracle) independently or with little oversight.

First 120 Days:

The Yearbook Production Artist will be responsible for tasks needed to create covers, endsheets and page art according to the customer specifications to support the Herff Jones Yearbook division in Kansas City, KS. Strong communication, organizational, design and drawing skills are necessary. A strong focus on quality, detail and an ability to balance priorities is key to operating successfully in the role. Your Opportunity:

The Herff Jones Fine Paper Production Team is looking for a Machine Operator to join our team in Indianapolis, IN.

This is a Regular Fulltime position with benefit eligibility including, medical, dental, vision, life, 401(k), paid time off, and additional voluntary benefits.

Shift: Standard shift is 6:00am - 4:45pm Monday through Thursday depending on the department. Occasional overtime will occur on Fridays based on customer demand and production goals.

Hours fluctuate to ten- and twelve-hour days if needed during peak season including Saturdays and Sundays if necessary due to customer demand. Seasons vary between January through end of May.

First 30 Days:

First 60 days:
• Initiate trial runs to verify accuracy of machine setup.
First 90 Days:
• Observe and monitor machine operations to detect malfunctions and to determine whether adjustments are needed.
What You’ll Be Doing On A Daily Basis:
• Follow standard operating procedures, maintain a neat and organized work area.
• Perform routine adjustments safely during the press run and maintain quality throughout the run.
• Perform all assigned work effectively and on schedule.
• Follow and maintain safe manufacturing practices when working with all machinery.
• Maintain records of daily production, using paper and electronic forms (Microsoft Excel).
• Perform routine maintenance and troubleshooting.
