The Hope Line Operator must support the mission and objectives of HHCI.

Job Duties

· Participate in online team meetings when requested

· Provide service referrals for every caller

· Assist in a “warm handoff” for callers in crisis or in need of referrals

· Provide phone and/or chat support to caller; Utilize telephone, SMS texting, and/or web chat to interact with callers

· Ensure that all Hope Line policies are followed

· Maintain professional boundaries with callers, implementing support policies when needed

· Help with collecting and documenting caller information

· Work with a diverse population of callers

· Effectively communicate with Hope Line Supervisor

· Availability and willingness to work evening hours and weekend hours

· Other duties as assigned by the support line supervisor

Required Skills

· Courteous, empathic, and professional manner

· Comfortable serving as phone support of a person with serious mental illness

· Active listening skills to establish working alliance with callers

· Ability to maintain professional demeanor when handling difficult contacts

· Strong work ethic, particularly in team setting

Responsibilities:
1. Assisting with grant and financial reporting, including reconciling, compiling, and uploading supporting documentation for state and federal grant reports.

2. Assist in outreach and marketing endeavors by designing flyers and other printed materials, and aiding in social media outreach efforts.

3. Maintaining the necessary inventory of office supplies, assisting with ordering/purchasing as needed.

4. Completing agency-related errands as needed (may require occasional travel to satellite offices).

5. Assisting with correspondence, filing, faxing, copying, etc.

6. Organizing agency records, files, correspondence and other related materials (to include digitizing paper files as needed).

7. Providing primary relief for the agency's Receptionist, insuring that the front desk is staffed, and all phone calls appropriately answered during business hours. Will cover the front desk during Receptionist’s lunch hour. As a crisis organization, Receptionist duties require someone who is calm under pressure, empathetic to those in crisis, and strict confidentiality considerations.

8. Other duties as assigned by Finance Manager, Administrative Assistant, and/or Executive Director in accordance with the ever-changing needs of the agency.

Qualifications
- 1. Degree in Business Administration or related field preferred

2. Experience in providing administrative support in an office setting required

3. Experience in grants reporting or financial duties strongly preferred.

4. Previous job experience in non-profit setting preferred.

5. Experience in graphic design and social media marketing strongly preferred.

6. Strong computer skills, including a firm knowledge of Microsoft Excel is required

7. Excellent interpersonal communication skills

8. Strong problem-solving skills and excellent attention to detail

9. Access to reliable transportation; satisfactory driving record

10. Ability to adhere to Hopeline’s policy and procedures including strict confidentiality policies.

Please note that this is not an exhaustive list of duties and responsibilities. The Office Assistant may be required to perform additional tasks as needed.

Hours are Monday-Friday 9am-2pm.

Job Description Position:
Crisis Line Advocate (CLA) Reports to:
Program Coordinator Salary:

Overnights and weekends - rotating Scope:
All CLAs are responsible for HopeLine Crisis Line and Text Line coverage during shift times that are traditionally difficult to cover with volunteers; flexibility is key in this role.
Some full-time CLAs will have set shifts, while part-time CLAs will fill more gaps in coverage.
This position is also responsible for assisting the Program Coordinator as needed in new volunteer training, orientation/mentorship, and helping to facilitate supportive relationships with volunteers.
A high level of communication and teamwork with other staff is imperative to a successful CLA.
Official schedule will be set after an applicant is chosen and will be subject to change to reflect the needs of HopeLine.
CLAs are managed directly by the Program Coordinator.
Key Duties &
Responsibilities:
Examples of key responsibilities are interpreted as being descriptive and not restrictive in nature.
1.
Use HopeLine training to respond to incoming crisis calls and texts.
2.
Complete Reassurance Calls during appropriate hours.
3.
Complete call reports, call exceptions, and other reporting needs.
4.
Embody the HopeLine mission and Active Listening philosophy.
5.
Manage designated mentees with direction from the PC.
6.
Participate in new volunteer training classes, internships, and orientation processes.
7.
Participate in volunteer recognition/ retention events.
8.
Attend monthly all-staff meetings and weekly one-on-ones with the PC.
9.
Sign up for shifts within iCarol and report hours worked within Zenefits.
10.
Abide by all HopeLine policies and procedures.
Specific Requirements:
Candidate must possess the ability to be communicative, reliable, trustworthy, computer literate, comfortable with technology and the use of standard HopeLine programs and networks.
Applicant must be trained and show proficient skill in HopeLine specific Active Listening.
If candidate chosen is not HopeLine Active Listening trained, there will be compensation to complete training.
Candidate will possess excellent communication skills and be very comfortable with challenging/ recurring callers and texters.
Applicant should be extremely organized, self-motivated, be able to multi-task.
Applicant will directly work in partnership with the Program Coordinator and Executive Director to achieve HopeLine's mission.
