Job Responsibilities: The responsibilities of the Office Manager & Executive Assistant position will provide day-to-day administrative, logistical, and process management support in addition to oversight of both internal and external projects. This role will play a critical role in enhancing the effectiveness of the ILRC and amplifying the impact of our work. This position requires an individual who is well-organized, meticulous, resourceful, takes initiative, anticipates needs, and demonstrates excellent follow-through. Strong interpersonal skills and the ability to build and maintain positive working relationships with staff at all levels of the organization are essential for success in this position. The individual must demonstrate the ability to work with confidential information and exhibit a high degree of discretion, trustworthiness, critical thinking, and judgment in handling sensitive and confidential information. The candidate must have excellent written and verbal communication skills; successfully manage complex deliverables; be skilled at multi-tasking and prioritization; and exhibit exceptional attention to detail and timeliness. A high-level of independence and organizational skills are expected.
Additionally, this role will lead a team of two staff members and the candidate is to accomplish the following objectives:
Office Management:
• Manage our office operations in San Francisco, including space planning general maintenance, and collaborating on facilities-related matters.
• Provide administrative support to other offices, such as maintenance of leases and space planning.
• Oversee miscellaneous projects such as sustainability and working with vendors who align with our mission, and other projects as needed.
• Consistently provide a welcoming office environment to all existing and new staff for all office locations.
• Invest in building long-lasting relationships both externally and internally.
• Plan and execute logistics for all office-related events with the support of the administrative team as needed.
• Develop and oversee office-related policies and procedures, including software implementation for visitor management systems, reporting platforms, etc.
Executive Support:
• Provide executive and administrative support to the Executive Director and Deputy Director.
• Complete a broad variety of executive and administrative tasks that facilitate the Executive and Deputy Director’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
• Staff the Board on behalf of the Executive Director including handling all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
• Conduct research and writing on topics as assigned.
• Draft correspondence, prepare meeting agendas, and facilitate meetings.
• Draft reports, speeches, and presentations on various topics.
• Proof and edit PowerPoint presentations as needed.
• Schedule and coordinate meetings, calls, and webinars for meetings involving the Board, Executive Director, and Deputy Director.
• Prepare Independent Contractor and vendor agreements, liaise with point of contacts for these agreements, and collaborate with the finance team and Executive Director for contract execution.
Program Management:
• Act as the relationship manager and owner for the Attorney of the Day program, including initiating contracts, fielding inquiries, and providing customer support.
• Coordinate the Ready California program on behalf of the Deputy Director including providing logistical support for meetings, managing the central calendar and listservs.
Supervision - manage the Administrative team of two responsible for:
• Providing project support to our programmatic staff of attorneys, New Americans Campaign, and policy and outreach staff, e.g. research, program planning, letters of support, doodle polls, data entry, copy editing, copying, etc.
• Providing logistics for convenings and conferences, and maintaining listservs and contact lists.
• Administering and managing the Salesforce database.
• Planning staff events: e.g. All-Staff Meetings, summer outings, holiday appreciation luncheon.

• Exceptional interpersonal skills, and the ability to establish and maintain effective and appropriate working relationships with staff, board members, the general public, and outside organizations.
• Facilities experience preferred, but not required.

An initiative of the ILRC, the NAC is a diverse, nonpartisan national network of respected immigration organizations, legal services providers, faith-based organizations, immigrant rights groups, foundations, and community leaders. The NAC transforms the way aspiring citizens navigate the path to becoming new Americans by demystifying and simplifying the application process. The NAC connects lawful permanent residents (LPRs) to local trusted legal assistance and support, thereby helping LPRs to attain the many and diverse benefits of American citizenship. The NAC is currently 100% grant-funded from private foundations.
About the Position
The NAC Associate Director will work with the NAC Director to lead on fundraising strategy and execution, manage the sub-granting process to NAC member organizations, and assist with the NAC’s signature activities, such as convenings of the NAC network. The Associate Director’s chief charge is mission-aligned fund development and ensuring that the NAC is both sourcing new and stewarding current relationships with private foundations. In addition to supporting relationship-building with funders, relationship-building with NAC partners is key to this role, as the Associate Director will be responsible for managing the sub-granting process through which the NAC financially supports its national and local partners. Across all duties, this position is strategic and tactical; ideas and action matter equally to the Associate Director. The ideal candidate will have outstanding writing and interpersonal skills, project management skills, experience working with philanthropic foundations, and leadership and organizational skills with high attention to detail.
The NAC Associate Director can expect his/her/their work to include:
Fundraising Leadership and Thought Partnership (Approximately 40%):
• Implement the NAC’s current annual development plan to help the NAC sustain and grow its budget in the interest of mission fulfillment.
• Brainstorm and research new fundraising ideas for the NAC and conduct an annual update of the development plan with new goals, strategies, and tactics with the aim of growing the NAC’s funder base.
• Collaborate with the NAC Director and ILRC Executive Director as a key contact to NAC Funders to ensure regular and customized communication between the NAC Funders and NAC/ILRC leadership.
• Maintain current understanding of NAC goals and initiatives, focus areas, successes, and overall results to communicate with NAC Funders effectively.
• Maintain current understanding of the strategies and priorities of the NAC Funders and tailor engagement and materials to respond to these priorities.
• Prospect research for potential new mission-aligned funders.
• Allot available resources, establish and implement work plans for projects, engage and supervise consultants as needed, and ensure all projects are on schedule and within budget.
• In partnership with the ILRC Communications team, contribute to NAC’s communications strategy goals, focus areas, efforts, and overall results to help increase the NAC’s overall public exposure.
Fund Management and Support (Approximately 40%)
• Draft and ensure the timely submission of NAC grant proposals and grant reports (for approximately 10-15 foundations each year).
• Draft responses to special information requests from NAC Funders, such as year-end surveys, coordinate content with other members of the NAC team, conduct research and analysis as needed, and finalize all content for submission.
• Work with NAC finance consultant to develop proposal budgets and prepare grant budget reports.
• Collaborate with the NAC Director on preparing and delivering presentations and reports pertaining to NAC funder-driven projects. Seek feedback and incorporate into real-time strategy adjustments.
NAC Sub-Granting (Approximately 10%):
• Support the sub-granting of funding to NAC’s national partners, including review and execute grant-making documents from drafting through execution, including contracts, scope of work, budget, and reporting forms.
• Manage sub-granting of funding to NAC local partners and affiliates in California and a number of additional locations (“ILRC Local Sub-Grantees”) and ensure all sub-granting is executed on schedule and within budget. Make annual budget recommendations for ILRC Local Sub-Grantees.
• Work collaboratively with ILRC Local Sub-Grantees to develop sub-grantee contract deliverables and budgets, problem-solve, and determine appropriate solutions. Maintain positive, respectful, and genuinely collaborative relationships with NAC partners.
• Maintain responsibility for grant-making documents from drafting through execution, including contracts, scope of work, budget, and reporting forms.
• Engage proactively with ILRC Local Sub-Grantees on an ongoing basis to ensure accountability and timely completion of grant deliverables and program goals as well as timely reporting. Monitor progress on a regular basis and facilitate timely provision of necessary technical assistance to support sub-grantees in meeting their goals.
Project Management (Approximately 10%):
• Plan, direct, coordinate, and lead other short-term and long-term projects, as assigned by the NAC Director. Ensure that goals and objectives are met and that all elements of projects are accomplished. Translate vision into action for highest impact, allot available resources, establish and implement work plan for projects, engage and supervise consultants as needed, convene appropriate stakeholders, and ensure all projects are on schedule and within budget.
• Collaborate and assist in the planning of the convenings and conferences of the NAC, including logistics, communications, and other needs as identified by the NAC Director.
• Contribute to NAC program strategy and leadership and perform related duties to meet the needs of the NAC.

Overnight, periodic travel is required (6-8 times per year) to steward relationships across the NAC Network.

The Immigrant Legal Resource Center (ILRC) is seeking a full-time New Americans Campaign (NAC) Associate Director.
About the Immigrant Legal Resources Center and the New Americans Campaign
The ILRC is a national non-profit legal support center with offices located in San Francisco and the Central Valley, CA; Austin, Houston, and San Antonio TX; and Washington, DC. Founded in 1979, the ILRC is regarded as one of the foremost experts on engaging immigrants and developing their leadership in the democratic process; providing expertise on complex issues of immigration law, procedure and policy; and engaging in advocacy and educational initiatives on policies that affect immigrants. An initiative of the ILRC, the NAC is a diverse, nonpartisan national network of respected immigration organizations, legal services providers, faith-based organizations, immigrant rights groups, foundations, and community leaders. The NAC connects lawful permanent residents (LPRs) to local trusted legal assistance and support, thereby helping LPRs to attain the many and diverse benefits of American citizenship. The NAC is currently 100% grant-funded from private foundations.
About the Position
The NAC Associate Director will work with the NAC Director to lead on fundraising strategy and execution, manage the sub-granting process to NAC member organizations, and assist with the NAC’s signature activities, such as convenings of the NAC network. The Associate Director’s chief charge is mission-aligned fund development and ensuring that the NAC is both sourcing new and stewarding current relationships with private foundations. In addition to supporting relationship-building with funders, relationship-building with NAC partners is key to this role, as the Associate Director will be responsible for managing the sub-granting process through which the NAC financially supports its national and local partners. Across all duties, this position is strategic and tactical; ideas and action matter equally to the Associate Director. The ideal candidate will have outstanding writing and interpersonal skills, project management skills, experience working with philanthropic foundations, and leadership and organizational skills with high attention to detail.
The NAC Associate Director can expect his/her/their work to include:
Fundraising Leadership and Thought Partnership (Approximately 40%):
• Implement the NAC’s current annual development plan to help the NAC sustain and grow its budget in the interest of mission fulfillment.
• Brainstorm and research new fundraising ideas for the NAC and conduct an annual update of the development plan with new goals, strategies, and tactics with the aim of growing the NAC’s funder base.
• Collaborate with the NAC Director and ILRC Executive Director as a key contact to NAC Funders to ensure regular and customized communication between the NAC Funders and NAC/ILRC leadership.
• Maintain current understanding of NAC goals and initiatives, focus areas, successes, and overall results to communicate with NAC Funders effectively.
• Maintain current understanding of the strategies and priorities of the NAC Funders and tailor engagement and materials to respond to these priorities.
• Prospect research for potential new mission-aligned funders.
• Allot available resources, establish and implement work plans for projects, engage and supervise consultants as needed, and ensure all projects are on schedule and within budget.
• In partnership with the ILRC Communications team, contribute to NAC’s communications strategy goals, focus areas, efforts, and overall results to help increase the NAC’s overall public exposure.
Fund Management and Support (Approximately 40%)
• Draft and ensure the timely submission of NAC grant proposals and grant reports (for approximately 10-15 foundations each year).
• Draft responses to special information requests from NAC Funders, such as year-end surveys, coordinate content with other members of the NAC team, conduct research and analysis as needed, and finalize all content for submission.
• Work with NAC finance consultant to develop proposal budgets and prepare grant budget reports.
• Collaborate with the NAC Director on preparing and delivering presentations and reports pertaining to NAC funder-driven projects. Seek feedback and incorporate into real-time strategy adjustments.
NAC Sub-Granting (Approximately 10%):
• Support the sub-granting of funding to NAC’s national partners, including review and execute grant-making documents from drafting through execution, including contracts, scope of work, budget, and reporting forms.
• Manage sub-granting of funding to NAC local partners and affiliates in California and a number of additional locations (“ILRC Local Sub-Grantees”) and ensure all sub-granting is executed on schedule and within budget. Make annual budget recommendations for ILRC Local Sub-Grantees.
• Work collaboratively with ILRC Local Sub-Grantees to develop sub-grantee contract deliverables and budgets, problem-solve, and determine appropriate solutions. Maintain positive, respectful, and genuinely collaborative relationships with NAC partners.
• Maintain responsibility for grant-making documents from drafting through execution, including contracts, scope of work, budget, and reporting forms.
• Engage proactively with ILRC Local Sub-Grantees on an ongoing basis to ensure accountability and timely completion of grant deliverables and program goals as well as timely reporting. Monitor progress on a regular basis and facilitate timely provision of necessary technical assistance to support sub-grantees in meeting their goals.
Project Management (Approximately 10%):
• Plan, direct, coordinate, and lead other short-term and long-term projects, as assigned by the NAC Director. Ensure that goals and objectives are met and that all elements of projects are accomplished. Translate vision into action for highest impact, allot available resources, establish and implement work plan for projects, engage and supervise consultants as needed, convene appropriate stakeholders, and ensure all projects are on schedule and within budget.
• Collaborate and assist in the planning of the convenings and conferences of the NAC, including logistics, communications, and other needs as identified by the NAC Director.
• Contribute to NAC program strategy and leadership and perform related duties to meet the needs of the NAC.
• Administrative responsibilities as needed to meet the needs of the projects.
Overnight, periodic travel is required (6-8 times per year) to steward relationships across the NAC Network.

About Compensation and Benefits

As a Business Analyst, you will work with staff to understand business needs and build-help requirements. In this role, you may be exposed to other CRMs and business applications but will not need the knowledge to execute technical tasks.
Job Responsibilities: This position will analyze the needs of teams and departments and organize and implement new and/or modified systems to handle those needs. Duties may include:

• Maintain ILRC and NAC Salesforce instance
• Examples of this include but are not limited to: creating and customizing objects, workflows, record types, page layouts, fields (including advanced formulas and lookups), apps, tabs, profiles, security, users, and approval processes.

This is a full-time, exempt position that reports to the Senior Manager of Technology. The Salesforce Administrator and Business Analyst will help modify and maintain Salesforce for the ILRC.
As a Business Analyst, you will work with staff to understand business needs and build-help requirements. In this role, you may be exposed to other CRMs and business applications but will not need the knowledge to execute technical tasks.
Job Responsibilities: This position will analyze the needs of teams and departments and organize and implement new and/or modified systems to handle those needs. Duties may include:
Salesforce
• Maintain ILRC and NAC Salesforce instance
• Examples of this include but are not limited to: creating and customizing objects, workflows, record types, page layouts, fields (including advanced formulas and lookups), apps, tabs, profiles, security, users, and approval processes.
• Remain up to date with Salesforce best practices;
• Salesforce QA;
• Update release notes, process flows, and meeting notes; and
• Perform complex reporting needs.
Business Analyst
• Routinely produce documentation for supporting business processes;
• Guide cross-functional teams through various processes without formal authority;
• Remain up to date with platforms' new tools, capabilities, and updates;
• Update release notes, process flows, and meeting notes;
• Work directly with staff and the ILRC IT team to ensure changes made reflect the staff's specifications; and
• Develop clear, concise technical documentation for a varied audience.
Qualifications: Successful applicants possess the following skills:
• Bachelor's degree or equivalent combination of education and experience;
• Salesforce Advanced Admin/and or Platform App Builder Certifications
• Experience leading and driving key customer engagement discussions;
• A quick learner who thinks outside of the box, and brings new ideas to the discussion;
• Experience with business process definition, process mapping, and reengineering;
• Can accomplish all tasks with minimal supervision;
• Ability to prioritize workload and shift attention among changing priorities;
• Excellent organizational skills;
• Be willing and able to consistently perform professionally with all levels of ILRC management, staff, volunteers, outside vendors, and other contacts; and
• Possess strong written and verbal communication skills.
It is a plus if the applicant has additional experience including:
• Experience with Apex coding
• 1+ years' experience as a Salesforce Developer

Salary/Benefits:
Pay is commensurate with experience, with an expected range between $95,000 - $105,000 annually. • Support the sub-granting of funding to NAC's national partners, including review and execute grant-making documents from drafting through execution, including contracts, scope of work, budget, and reporting forms.
• Manage sub-granting of funding to NAC local partners and affiliates in California and a number of additional locations ("ILRC Local Sub-Grantees") and ensure all sub-granting is executed on schedule and within budget. Make annual budget recommendations for ILRC Local Sub-Grantees.
• Work collaboratively with ILRC Local Sub-Grantees to develop sub-grantee contract deliverables and budgets, problem-solve, and determine appropriate solutions. Maintain positive, respectful, and genuinely collaborative relationships with NAC partners.
• Maintain responsibility for grant-making documents from drafting through execution, including contracts, scope of work, budget, and reporting forms.
• Engage proactively with ILRC Local Sub-Grantees on an ongoing basis to ensure accountability and timely completion of grant deliverables and program goals as well as timely reporting. Monitor progress on a regular basis and facilitate timely provision of necessary technical assistance to support sub-grantees in meeting their goals.
