GENERAL DESCRIPTION The coordinator's principal responsibility is the formation and preparation of liturgical ministers and liturgical committees, specifically, as the coordinator of the work of the Diocesan Worship Commission; serves as a resource to Diocesan parishes and institutions as well as Diocesan staff and offices; serves as consultant to the Bishop; maintains contacts with the Bishops' Committee on Divine Worship of the USCCB; acts as the primary liaison to the Federation of Diocesan Liturgical Commissions.
II.
DUTIES AND RESPONSIBILITIES Identifies and prioritizes goals and objectives for the Office of Liturgy that are in alignment with diocesan goals and objectives Responsible for the programming of the Office, including but not limited to:
short and long-range planning concerning Liturgy and the Rites of the Church; educational programming concerning liturgical books, sacred music, and the Rites of the Church.
Plans and implements all diocesan episcopal liturgical celebrations (e.
g.
Rite of Election/Call to Continuing Conversion, Chrism Mass, Ordinations, Rite of Candidacy, etc.
) Supervises liturgical building and renovation projects for parishes and diocesan institutions Provides liturgical music guidance to parishes and diocesan institutions Oversees the preparation of Diocesan liturgies Prepares and administers the Office of Liturgy budget Serves as the Bishop's delegate for the canonical process for liturgical formation and certification of all Extraordinary Ministers of Holy Communion EMHC and supervises the process of all record-keeping and maintenance of all necessary information for a diocesan data base of all certified EMHC Maintains contact with all priests, deacons and directors of parish life via liturgical advisories regarding any updates, changes and/or implementation of all liturgical matters throughout the Diocese Maintains contact with the chairpersons of parish worship commissions, music ministers, parish liturgists, pastors/pastoral administrators to be of assistance to them and their parish commissions Designs and manages liturgical workshops, retreats, seminars for ongoing liturgical education of clergy and laity Serves as resource for funeral arrangements for all priests and deacons (in collaboration with the Vicar for Priests and the Director of Deacons), the dedication and blessing of new churches, shrines and facilities, commissioning rites, anniversaries, etc.

The Music and Liturgy Office Assistant assists in the liturgical and formational work of the Music Ministry and Liturgy Office. Summary:

This position coordinates and implements the various liturgical ministries.

Position Responsibilities:

Essential Duties

· Meets regularly with Liturgy Director and Office Manager to coordinate a holistic plan for parish liturgies and liturgical ministries.

· Under the supervision of the Office Manager, manages the recruitment and scheduling of all Liturgical Lay Ministers, including the Lectors (Readers), Altar Servers, Extraordinary Ministers of Holy Communion, Ministers of Hospitality (Ushers), and Mass Coordinators (MCs).

· Plans, organizes, and schedules regular trainings (quarterly at minimum) for all Liturgical Lay Ministers, including Lectors (Readers), Altar Servers, Extraordinary Ministers of Holy Communion, Ministers of Hospitality (Ushers), and Mass Coordinators (MCs).

· Ensures that all Liturgical Lay Ministers are compliant with Archdiocesan Safe Environment requirements.

· Plans, organizes, and schedules annual Days of Reflection/Retreat for Liturgical Lay Ministers.

· Prepares and generates Priest/Deacon Liturgical Schedule for daily and weekly Masses.

· Staff Liaison, working closely with deacons to ensure diaconate coverage at all Masses as Office point of contact with the Deacons to ensure coverage at Masses via the implementation of a Deacons’ Calendar and/or direct communication with the deacons.

· Keeps a weekly inventory of hosts and wine supplies stored in the Water & Wine Sacristy.

· Orders liturgical materials, supplies and/or equipment as needed, including but not limited to candles, wine, hosts, palms, and ashes.

· Maintains the Lighthouse Media stands in the Church with viable and up-to-date materials.

· Prepares liturgy resources for weekend Masses in English and in Spanish.

· Prepares weekly Mass Announcements for all Liturgies in English and Spanish.

· Keeps an accurate and electronic account of liturgical statistics including but limited to Mass attendance and lay minister sign-in’s.

· Responsible for filing parish’s Yearly Pew Count with the Archdiocese of San Antonio (typically I October).

· Prepares liturgical binders for all special liturgies, including but not limited to Confirmation Masses, Holy Days of Obligation, major feast days, Christmas Masses, and Easter Mases in English and Spanish.

· Assists the Liturgy Director and works with Events Coordinator in the planning and coordination of special off-site celebrations such as Christmas and Easter Masses at The Annex Property, funerals, and weddings.

· Assists the Liturgy Director with the scheduling and planning of all special sacramental Masses, including but not limited to First Communion and Confirmation Masses.

· Regularly updates all liturgical scripts, including but not limited to the Rite of Baptism Binder.

· Assembles and maintains a binder of all reading choices for Funerals and Weddings.

· Prepares scripts for rites during Mass, including but not limited to the R.C.I.A, Rite of Welcome and Scrutinies.

· Works with Liturgical Director as point of contact between the parish and the Archdiocesan Office of Liturgy on all Archdiocesan special Masses.

· Coordinates Archbishop’s Appeal Speakers and schedules dates for pledge weekends.

· Coordinates and schedules outside speakers and visiting priests for special events and Masses.

· Coordinates and assists with the scheduling of Advent and Lenten Penance Services for the parish and assists in planning of Penance Services for youth ministry programs and First Communion program (First Reconciliation).

· Assigns and coordinates Stations of the Cross options for Lenten Season.

· In the absence of the Liturgy Director, assists the Pastor and Parochial Vicar(s) with the scheduling and planning of weddings, quinceañeras, and any other special liturgies.

· In the absence of the Liturgy Director, schedules and coordinates funerals and funeral planning appointments with the family of the deceased.

· Provides information about and answers questions related to the Liturgical Ministries via email, phone, or in-person.

· In the absence of the Liturgy Director, coordinates and leads rehearsals for scheduled quinceañeras and weddings.

· Assists with the planning, coordination, and promotion of all parish-wide events including but not limited to the parish’s calendaring, Spring and Fall Festivals, Casino Night, and parish fundraising.

Additional Duties

· Serves as Staff Liaison and main point of contact in the planning of the Annual Pilgrimage and Feast Day of Our Lady of Guadalupe in coordination with O.L.G-San Antonio, including but not limited to the planning and scheduling of the Annual Joint Staffs Meeting.

· Staff Liaison and point of contact with the City of Helotes related but not limited to event notification, signage permit applications, and road closures affecting both the City of Helotes and O.L.G.-Helotes.

· Produces sacramental records upon request.

· Serves as a sacristan for weekday liturgical event to assist the Liturgy Director.
