Court Operations Associates work individually and in teams using independent judgment along with available resources to perform a variety of administrative assignments. • Utilize court technology and available resources to ensure electronic filings are reviewed and accepted, cases are processed accurately, and reports are audited in a timely manner
• Coordinate, communicate, and collaborate with team members to ensure daily work assignments and case processing are completed efficiently and accurately
• Provide excellent customer service to court users and justice partners in a professional, respectful, and timely manner to ensure customer's needs are met over the phone or electronically
• Support the Criminal Signing Judge, other justice partners, and the general public to effectively meet the business needs of the court
Minimum Education and Experience:
• High school diploma or equivalent
• Experience providing customer service
• Experience working in a clerical or administrative position (for example: bank teller, cashier, court clerk, legal assistant, medical billing specialist, etc.)

Minimum Knowledge, Skills, and Abilities:
• Ability to communicate effectively both verbally and in writing with internal and external customers
• Ability to de-escalate difficult customer interactions and work respectfully with people from diverse backgrounds, both as customers and coworkers
• Team oriented, with a positive attitude and the ability to establish and maintain respectful, effective relationships
• Ability to understand and follow oral and written instructions

LOGISTICS:
This AFSCME-represented position is classified as a Senior Court Clerk, with a working title of Court Operations Associate. The Criminal eFiling Unit is strictly working remotely, which could change depending on business needs. SALARY RANGE:

As a Court Operations Clerk you will perform entry level court administration filings and document processing, clerical work assisting proceedings in a district court of the Minnesota Judicial Branch. This position will primarily be responsible for the local front counter customer service support, administrative office support. Office clerical work includes customer assistance, processing record requests, and mailroom duties. This position will primarily work on the PICK (Pine, Isanti, Chisago, Kanabec) criminal case filings with the opportunity to work within all court case types.

Example of Duties

The following are examples of major job duties expected of this position:
• Perform routine and/or limited scope court operations work, which may include scanning and/or imaging documents, data entry, retrieving and filing case files and documents, set up and maintain documents, files, records, and reports relating to court activities and/or responding to requests for information from the general public, attorneys, and court employees
• Issue receipts for payment of court fees, fines, bail, and restitution; check people in for court; assist public in filling out various applications and forms; prepare certified and plain copies of court records upon request
• Input, update, or delete information in electronic case management system; copie, scan, and distribute documents including imaging original documents into digital files; assign appropriate security levels for documents; manage, handle, indexe, store, maintain, return, and/or destroy court exhibits and documents per policies and procedures.
• May perform the duties of an Electronic Recording Equipment Operator (EREO) including setting up and testing recording equipment, recording and monitoring court proceedings, creating courtroom log as necessary, backing up recordings in compliance with applicable policies and procedures, and shutting down recording equipment once recording has been completed.
• May perform office support duties including receiving, sorting, opening, and distributing mail; may process and receipt checks received; orders and distributes courtroom and office supplies; copies, prints, and maintains courtroom and office forms and documents; serves as a receptionist.
• May provide assistance to others in performing courtroom operation duties, including clerking hearings, scheduling hearings, working calendars, and assisting staff with in-court updating.

Anoka County District Court has a great opportunity to join the Assignment Division scheduling team as a Court Operations Specialist in a diverse professional environment, that promotes equity for all court staff and court users. • Serve as a subject matter expert and resource for court operations staff, using advanced knowledge and expertise to answer questions, address complex or unique case processing situations, and solve problems; access a variety of resources to research problems and consult with supervisor or lead worker to identify issues or trends.
• Train new court operations staff on procedures; provide training on new or changed processes or systems; prepare training materials as applicable; spot check employee work to ensure understanding; may provide training across divisions or counties.
• Serve as a resource for district and/or statewide projects or initiatives which may include analysis, quality assurance, compliance, document review, and data adjustments; may participate in application or procedure testing.
• Perform the full range of court operations work within assigned unit, which may include case processing in the areas of traffic, criminal, and juvenile using electronic case processing system and related applications and equipment. Provide input on workflow and process improvements; make suggestions for improved methods using technology; serve as a change influencer.
• Provide excellent customer service to the public, stakeholder, Judges and judicial staff in person, over the telephone, and through email.
• Assign proper document security when performing work independently and when training, ensuring staff are properly training on document security requirements in the areas pertaining to training.
• Work effectively and cooperatively with the leadership team and be open and flexible to new ideas and changes to how we process the work.
• Provide back-up for other court operation associate positions.

Typical Qualifications

What You Will Bring:
• Considerable experience in customer service, including phones, counter, and e-mail.
• Considerable knowledge of appropriate procedures for processing a variety of legal documents and for proper record imaging, maintenance, and retention.
• Considerable knowledge of criminal court procedures and policies, laws, legal terminology and legal factors pertaining to the court.
• Knowledge of the organization, operation, function, and jurisdiction of the court.
• Knowledge of electronic case management system and related applications.
• Knowledge of modern office practices and procedures.

For education requirements listed, the equivalent number of years of related experience may serve as a substitute.

Supplemental Information

What You Will Earn: The expected hiring range for internal hires for this position is $24.00 - $26.34, based on qualifications. This position is non-exempt under the Fair Labor Standards Act and is eligible for State of MN employee benefits.
