Hennepin County District Court, Criminal Division is accepting applications to fill a Court Operations Associate position in the Criminal eFiling Unit.

Court Operations Associates work individually and in teams using independent judgment along with available resources to perform a variety of administrative assignments. This role requires dedication to providing excellent customer service, strong attention to detail, and technological skills to match our high-performance electronic environment. A successful candidate for this position will be accurate, reliable, and able to meet commitments and keep work projects on task with minimal supervision.
• Utilize court technology and available resources to ensure electronic filings are reviewed and accepted, cases are processed accurately, and reports are audited in a timely manner
• Coordinate, communicate, and collaborate with team members to ensure daily work assignments and case processing are completed efficiently and accurately
• Provide excellent customer service to court users and justice partners in a professional, respectful, and timely manner to ensure customer's needs are met over the phone or electronically
• Support the Criminal Signing Judge, other justice partners, and the general public to effectively meet the business needs of the court
Minimum Education and Experience:
• High school diploma or equivalent
• Experience providing customer service
• Experience working in a clerical or administrative position (for example: bank teller, cashier, court clerk, legal assistant, medical billing specialist, etc.)

Minimum Knowledge, Skills, and Abilities:
• Ability to communicate effectively both verbally and in writing with internal and external customers
• Ability to de-escalate difficult customer interactions and work respectfully with people from diverse backgrounds, both as customers and coworkers
• Team oriented, with a positive attitude and the ability to establish and maintain respectful, effective relationships
• Ability to understand and follow oral and written instructions
• Ability to make independent judgments based on training, resources, and experience
• Demonstrates initiative and self-directed completion of work upon knowledge of expectations and goals
• Ability to multi-task, work well under pressure and work in a high volume, fast-paced work environment
• Ability to learn Microsoft Office Suite, Adobe Acrobat, and other job-related software
• Well-organized and analytical

• Knowledge and working experience with eFile and Serve (EFS) and Microsoft office
• Criminal court-room experience
• Knowledge of legal and court systems

LOGISTICS:
This AFSCME-represented position is classified as a Senior Court Clerk, with a working title of Court Operations Associate. The Criminal eFiling Unit is strictly working remotely, which could change depending on business needs. The hours for this position will be between 8:30 a.m. and 5:00 p.m., Monday-Friday; hours may vary depending on business needs.

SALARY RANGE:
The expected starting salary for external candidates is at least $21.00 per hour and may be higher, depending on qualifications. This position is non-exempt under the Fair Labor Standards Act and is eligible for State of Minnesota employee benefits.

The Tenth Judicial District is seeking qualified applicants for a full-time Court Operations Clerk to join the Pine County Administration team in Pine City, MN.

As a Court Operations Clerk you will perform entry level court administration filings and document processing, clerical work assisting proceedings in a district court of the Minnesota Judicial Branch. This position will primarily be responsible for the local front counter customer service support, administrative office support. Office clerical work includes customer assistance, processing record requests, and mailroom duties. This position will primarily work on the PICK (Pine, Isanti, Chisago, Kanabec) criminal case filings with the opportunity to work within all court case types.

This AFSCME-represented position is classified as a Court Operations Clerk and located in the Pine County Courthouse located at 635 Northridge Dr. NW Suite 320 Pine City, MN 55063. Example of Duties

The following are examples of major job duties expected of this position:
• Perform routine and/or limited scope court operations work, which may include scanning and/or imaging documents, data entry, retrieving and filing case files and documents, set up and maintain documents, files, records, and reports relating to court activities and/or responding to requests for information from the general public, attorneys, and court employees
• Issue receipts for payment of court fees, fines, bail, and restitution; check people in for court; assist public in filling out various applications and forms; prepare certified and plain copies of court records upon request
• Input, update, or delete information in electronic case management system; copie, scan, and distribute documents including imaging original documents into digital files; assign appropriate security levels for documents; manage, handle, indexe, store, maintain, return, and/or destroy court exhibits and documents per policies and procedures.
• May perform the duties of an Electronic Recording Equipment Operator (EREO) including setting up and testing recording equipment, recording and monitoring court proceedings, creating courtroom log as necessary, backing up recordings in compliance with applicable policies and procedures, and shutting down recording equipment once recording has been completed.
• May perform office support duties including receiving, sorting, opening, and distributing mail; may process and receipt checks received; orders and distributes courtroom and office supplies; copies, prints, and maintains courtroom and office forms and documents; serves as a receptionist.
• May provide assistance to others in performing courtroom operation duties, including clerking hearings, scheduling hearings, working calendars, and assisting staff with in-court updating.

Anoka County District Court has a great opportunity to join the Assignment Division scheduling team as a Court Operations Specialist in a diverse professional environment, that promotes equity for all court staff and court users. This position performs detail-oriented work while providing excellent customer service in person and over the phone. • Serve as a subject matter expert and resource for court operations staff, using advanced knowledge and expertise to answer questions, address complex or unique case processing situations, and solve problems; access a variety of resources to research problems and consult with supervisor or lead worker to identify issues or trends.
• Train new court operations staff on procedures; provide training on new or changed processes or systems; prepare training materials as applicable; spot check employee work to ensure understanding; may provide training across divisions or counties.
• Serve as a resource for district and/or statewide projects or initiatives which may include analysis, quality assurance, compliance, document review, and data adjustments; may participate in application or procedure testing.
• Perform the full range of court operations work within assigned unit, which may include case processing in the areas of traffic, criminal, and juvenile using electronic case processing system and related applications and equipment. Provide input on workflow and process improvements; make suggestions for improved methods using technology; serve as a change influencer.
• Provide excellent customer service to the public, stakeholder, Judges and judicial staff in person, over the telephone, and through email.
• Assign proper document security when performing work independently and when training, ensuring staff are properly training on document security requirements in the areas pertaining to training.
• Work effectively and cooperatively with the leadership team and be open and flexible to new ideas and changes to how we process the work.
• Provide back-up for other court operation associate positions.

Typical Qualifications

What You Will Bring:
• Considerable experience in customer service, including phones, counter, and e-mail.
• Considerable knowledge of appropriate procedures for processing a variety of legal documents and for proper record imaging, maintenance, and retention.
• Considerable knowledge of criminal court procedures and policies, laws, legal terminology and legal factors pertaining to the court.
• Knowledge of the organization, operation, function, and jurisdiction of the court.
• Knowledge of electronic case management system and related applications.
• Knowledge of modern office practices and procedures.

What You Must Have:
For education requirements listed, the equivalent number of years of related experience may serve as a substitute.
• Possession of an Associate’s Degree from an accredited college or university in business, communications, administrative assistant or related field; and at least two (2) or more years of office and administrative experience.
• Considerable court operations in assignment scheduling and calendar preparation obtained through two (2) or more years of relevant work experience.
• Demonstrated ability to cross-train, offer suggestions to improve processes, and seek out additional assignments.

Supplemental Information

What You Will Earn: The expected hiring range for internal hires for this position is $24.00 - $26.34, based on qualifications. This position is non-exempt under the Fair Labor Standards Act and is eligible for State of MN employee benefits.

• Initiates case records using electronic means or paper documents; records required data regarding parties, documents, flags, comments, events, and dispositions in case processing system and other relevant systems; notifies relevant individuals about missing information, documents, or non-compliant legal forms. Processes cases within assigned area of responsibility; research, track, and monitor case status and progression; follows up with judges, lawyers, and/or parties as necessary; coordinates schedules between counties and/or districts as needed.

MINIMUM QUALIFICATIONS
The CRU is seeking both Stenographic and Electronic Court Reporters. A person seeking employment with the Branch for the position of official stenographic court reporter or electronic court reporter must meet the corresponding qualifications for the position sought.

Education and Experience Requirements for both Stenographic and Electronic Court Reporters
• Graduation from high school or equivalent
• If the position will be working remotely, access to reliable internet connection is required during this time.
• Meet certification requirements of stenographer or electronic court reporter

Knowledge, Skill and Ability Requirements for both Stenographic and Electronic Court Reporters

• Received an equivalent certification from another state or territory of the United States, or professional court reporter association; or
• Have been practicing proficiently as a professional stenographic reporter for the past two (2) years and within one (1) month of hire, accurately take a minimum of 20 minutes of court proceedings alongside a stenographic court reporter who has an RPR designation or certification as provided in clauses (a) or (b) , and then produce a transcript with 95% accuracy as described in (d) below; or
• Obtain RPR designation from the NCRA within two years of hire. Pending receipt of the RPR designation, must, within one (1) month of hire, accurately take a minimum of 20 minutes of court proceedings alongside a stenographic court reporter who has an RPR designation or certification as provided in clauses (a) or (b), and then produce a transcript. The participating RPR certified stenographer will determine that Ninety-five (95) percent accuracy is achieved to successfully complete this requirement.
Stenographic court reporters who do not meet requirements as noted above must become certified by the Minnesota Judicial Branch or the American Association of Electronic Reporters and Transcribers (AAERT) as an Electronic Court Reporter within three months of hire, and take the record electronically until they are in compliance with a, b, c, or d above.

Electronic Court Reporter Certification Requirements
• Compliance with one of the following within three months of hire:
• Receive an Electronic Court Reporter certificate from the State Court Administrator, or
• Receive an Electronic Court Reporter Certification and an Electronic Transcriber Certification from the American Association of Electronic Reporters and Transcribers (AAERT); or
• Receive an Electronic Court Reporter certification from an accredited court reporter school
