Who We Are.
Tiffany Cheung LLC is a business coaching company offering online courses, group coaching programs, high level mentorship and a top rated podcast dedicated to helping ambitious women of color build their online business through manifestation, magic, mindset techniques and aligned high-level strategy.
Our culture is one of client-focused excellence, and our 4 main core values are humanness, sovereign business practices, creating a “WOW” experience, and encompassing love and inclusion in all we do. The entire brand is here to support women of color rising up and breaking out of societal and cultural boxes. If you’re thinking, “finally, my people!” - read on.
ISO: our dream Online Business Manager.
We’re looking for an Online Business Manager to hand off specific day to day admin tasks for 40-50 hours a month, depending on the season of business.
This role will include handling sensitive and confidential information, being very detail oriented and communicative. As a Business Activation Coach with a 100% online business, customer service, detail to attention, and tech knowledge is crucial in this role.
This addition to the team will work closely with Tiffany, the CEO, to assist with all things backend: scheduling, tech systems (Kajabi, Flodesk, Slack, Email management, Calendly, etc), podcast management, launch planning, staying on top of tasks and managing clients’ needs.
What You’ll Be Doing.
Managing backend systems, executing and overseeing workflows for business launches, tech setup and podcast management while partnering closely with Tiffany.
Podcast Management
• Editing the episode
• Mixing the episode with the intro music
• Uploading episode (scheduling in advance on Libsyn)
• Creating audiograms
• Posting audiograms on Instagram (both @tiffanycheung.co and @thesocialresetpodcast)
Kajabi Management
• Uploading call replays/files into existing Kajabi products
• Overseeing payments, payment plans
• Customer service, assisting students with login information
• Creating online checkout pages, creating offers, creating discount codes, etc.
Calendar Management via Google Calendar and/or Calendly
• Scheduling calls / rescheduling calls
• Communicating with clients or podcast guests to schedule calls within specific time frames
• Assist CEO with keeping on top of tasks in a timely manner
Content Creation for Social Media
• Repurposing previous content onto same platform or email
• Graphic design via Canva
• Editing videos into Reels
• Posting previously scheduled content
• DM Management
• Engaging with community and other accounts
• Monitor analytics, reading insights and reporting feedback
Email Funnels
• Creating a segment linked to an email workflow (sequence) on Flodesk
• Managing email segments and adding members as students join programs
• Scheduling emails in advance for launches
• Overseeing and creating email call reminders and email campaigns that go out to varying segments across the email list
Client Management
• Overseeing systems (many of which have already been created and are up and running)
• Onboarding and Support via Slack and Flodesk
• Responding to students’ admin requests
• Managing Facebook Group Communities / Slack Community (for 2 main programs and any active mini offers)
Creating workflows and systems
• Setting up systems / new online platforms / new SOPs (Standard Operating Procedures) to help the business run smoothly
• Assigning Tasks to CEO via Clickup on as need basis
• Managing communications to teams and contractors via email and Slack
• Create, update, and manage all SOPs for the business
• Bi-weekly calls with CEO and team (as needed)
• Miscellaneous admin tasks as needed
About You. You understand the “female entrepreneur with an online-based-business” space, the nuance, the buzz words, the expectations.
Ability to prioritize: You’re an individual who can focus on the right tasks will do well. You take the time to understand me and my priorities as CEO, and they become yours when you’re working on the team’s projects. Extraordinary time management skills and makes attention to detail a priority. (And since you are so detail- oriented, respond to this listing with the word ‘magic’ so I know you’re reading through this description ;) )
Proficient communicator: Most communication in a remote team happens via Slack. You’ll be in communication with students of our programs as well. You write clearly, creatively, and concisely with no grammar errors, reflecting the company’s tone and voice clearly, utilizing on-brand sign-off phrases, emojis, etc.
Insanely organized and resourceful: I want to be able to trust things get done and don’t slip through the cracks. You’re also someone who finds a way to get it done! The thought of missing a deadline, without discussion, gives you an *actual* visceral reaction.
Action oriented: You have a propensity towards action. The person I hire must be a critical thinker. Quick learner with a knack for technology, who is able to figure out new systems and adapt on the go as we switch, upgrade, or featured are updated. If something goes wrong, you aren't just alerting the team- you already have a solution and you're ON IT.
Analytical: You can read insights, collect and report data, and analyze effectively. You have experience in Google Drive (Sheets/Slides/Docs), Clickup, Square, Flodesk/ActiveCampaign, and Kajabi.
Trustworthy: We will build trust with each other over time. However, I’m pretty trusting to start, and based on your background, ratings, and expertise, I will give you a high level of trust to begin with. Maintains appropriate discretion regarding confidential business matters.
You are a warm and empathetic person too. You take time to understand what my goals are and how we can team together to be the most efficient and effective with the least amount of effort. I always ask myself, “How can I make this happen,” rather than “I can’t make this happen.”
You understand that before coming to me, preparing a solution or options in attacking any particular issue is beneficial.
Initially, this will be about 15-25 hours a week Monday through Friday with the potential to add hours in the coming months if it works well. I do expect a HIGH level of responsiveness. This is key.
--> Extremely Important: I want to make this an ongoing role and someone who will be a part of my team who will eventually oversee Social Media Managers, Graphic / Web Designers, and other hires, so we need someone who's interested in building a long-term relationship and isn't working with a variety of other clients on the side, or starting their own business to go full time.
If this job description is giving you the warm & fuzzies, apply today! Thank you for taking the time to read all the way through. I look forward to reading your application!
