We’re looking for an Online Business Manager to hand off specific day to day admin tasks for 40-50 hours a month, depending on the season of business.
This role will include handling sensitive and confidential information, being very detail oriented and communicative. As a Business Activation Coach with a 100% online business, customer service, detail to attention, and tech knowledge is crucial in this role.
This addition to the team will work closely with Tiffany, the CEO, to assist with all things backend: scheduling, tech systems (Kajabi, Flodesk, Slack, Email management, Calendly, etc), podcast management, launch planning, staying on top of tasks and managing clients’ needs.
What You’ll Be Doing.
Managing backend systems, executing and overseeing workflows for business launches, tech setup and podcast management while partnering closely with Tiffany.
Podcast Management
• Editing the episode
• Mixing the episode with the intro music
• Uploading episode (scheduling in advance on Libsyn)
• Creating audiograms
• Posting audiograms on Instagram (both @tiffanycheung.co and @thesocialresetpodcast)
Kajabi Management
• Uploading call replays/files into existing Kajabi products
• Overseeing payments, payment plans
• Customer service, assisting students with login information
• Creating online checkout pages, creating offers, creating discount codes, etc.
Calendar Management via Google Calendar and/or Calendly
• Scheduling calls / rescheduling calls
• Communicating with clients or podcast guests to schedule calls within specific time frames
• Assist CEO with keeping on top of tasks in a timely manner
Content Creation for Social Media
• Repurposing previous content onto same platform or email
• Graphic design via Canva
• Editing videos into Reels
• Posting previously scheduled content
• DM Management
• Engaging with community and other accounts
• Monitor analytics, reading insights and reporting feedback
Email Funnels
• Creating a segment linked to an email workflow (sequence) on Flodesk
• Managing email segments and adding members as students join programs
• Scheduling emails in advance for launches
• Overseeing and creating email call reminders and email campaigns that go out to varying segments across the email list
Client Management
• Overseeing systems (many of which have already been created and are up and running)
• Onboarding and Support via Slack and Flodesk

Creating workflows and systems
• Setting up systems / new online platforms / new SOPs (Standard Operating Procedures) to help the business run smoothly

• Managing communications to teams and contractors via email and Slack
• Create, update, and manage all SOPs for the business
• Bi-weekly calls with CEO and team (as needed)

Students may earn academic credit toward a degree, study for career advancement, or purse cultural and avocational interests.The Online Business Programs Coordinator is an integral member of the Extended Studies recruitment and advising team to provide support to online students in business programs. The goal of this position is to support recruitment and retention of students in the following online degree programs: the BSBA in Business Management, BAS in Leadership and Management, and the Master of Business Administration. This position will participate in recruitment activities and visits to community colleges, monitor inquiry and applicant data, assist transfer students with admissions procedures, and advise all students in online business programs to enhance retention and graduation efforts.
This position is a part-time, 20 hours per week, in-person position in the Extended Studies division to be reevaluated annually for continued funding.
Primary Duties
Student Recruitment and Support
• Recruits new students to Extended Studies online business degree programs through targeted recruitment activities including but not limited to online and in-person recruitment fairs, information sessions, and seeking outside business partnerships throughout the region.
• Provides information on admission requirements, academic programs, special services, scholarships and financial aid, etc. Encourages prospective students to schedule online information sessions with the goal of application submission for admission.
Data Tracking and Coordination
• Monitors inquiry and applicant data to ensure progress is on pace with enrollment targets, to maximize yield, and proactively identify issues impacting student progress within the enrollment process.
• Compiles data to provide ES information on recruiting and marketing efforts to aid in successful completion of targeted recruitment.
• Tracks online business program applications, admissions data, and manages admissions CRM email inbox and gateway functions.
Student Advising
• Responsible for processing official and unofficial advising forms, petitions of credit, graduation planning sheets, student correspondence and for tracking admissions applications in coordination with applicable campus offices.
• Explains potential course transferability, and academic policies and procedures to students and staff.
• Works collaboratively and effectively with the Hasan School of Business, other academic departments, the Registrar’s Office, and financial aid staff to assist students with academic processes on the path to graduation.

Minimum Qualifications
• Bachelor’s degree from a regionally accredited institution
• Working knowledge of Microsoft Office programs and enterprise information systems
• Demonstrated ability to effectively communicate verbally and in writing

Preferred Qualifications
• Master’s degree from a regionally accredited institution
• Knowledge of regional accreditation and higher education regulatory processes

Condition of Employment

This is a great position for people who desire some flexibility in their daily schedules. Tutors can fit their responsibilities around errands, graduate school courses, other part-time jobs, or family obligations. Tutors receive appointments and conduct tutoring sessions via ThinkingStorm’s system.
Desired Time Commitment: Minimum 5-10 hours per week, though competency in additional subjects could have you up to 20 hours per week
Compensation: $18-20/hour (non-negotiable)
