Position Summary

This recruitment will be used to fill a part-time (a minimum of 10 hours per week and a maximum of 24 hours per week) Cascades Edge Event Specialist position at Oregon State University-Cascades. These student positions will be located in Bend, Oregon.

The Cascades Edge Event Specialist is a student employee who will work alongside the Cascades Edge Coordinator to plan and execute engaging career competency events at OSU-Cascades. They will be responsible for the logistics of the event planning process, including scheduling, room selection, furniture configuration, catering, and event technology coordination. Additionally, the Cascades Edge Event Specialist will be involved in event setup, cleanup, and evaluation.

The successful candidate will play a vital role in ensuring the smooth operation of the Cascades Edge initiative, promoting student success, and contributing to the overall success of OSU-Cascades.

Position Duties
• Plan and execute events that align with the goals of the Cascades Edge initiative: The Cascades Edge Event Specialist will work closely with the Cascades Edge Coordinator to create original events and support faculty-submitted event opportunities each week (except finals weeks) that align with the goals of the Cascades Edge initiative. They will help to develop event themes, goals, and objectives, ensuring that each event contributes to the overall success of the initiative.
• Plan and organize events with appropriate staff: The Cascades Edge Event Specialist will be responsible for ensuring that all logistics related to the event are taken care of. This includes selecting an event space that is appropriate for the event, arranging for equipment rental, coordinating with caterers, and ensuring that the event is accessible for attendees.
• Coordinate with event speakers, sponsors, and attendees to ensure a smooth and successful event: The Cascades Edge Event Specialist will assist in coordinating with event speakers, sponsors, and attendees. They will ensure that speakers have the necessary equipment and materials for their presentations, sponsors have the necessary visibility at the event, and attendees have a positive experience overall.
• Participate in event setup, breakdown, and cleanup: The Cascades Edge Event Specialist will be responsible for ensuring that the event is set up, broken down, and cleaned up properly. This may involve coordinating with other student employees to ensure that all tasks are completed on time and that the event runs smoothly.
• Evaluate the success of events and provide feedback to the Cascades Edge Coordinator to improve future events: After each event, the Cascades Edge Event Specialist will be responsible for evaluating its success. This may involve collecting feedback from attendees, analyzing event metrics, and providing feedback to the Cascades Edge Coordinator on how to improve future events.
• Support other campus events as needed: The Cascades Edge Event Specialist will be expected to support other campus events as needed. This may involve assisting with planning, logistics, or promotion for Student Life, Residential Education and Housing, Career Development Center, or other university department events.

Position Summary

“The OSU-Cascades Office of Admissions is continually looking for part-time (minimum 4 hours per week, maximum of 24 hours per week) TOUR Ambassador positions at Oregon State University-Cascades in Bend. While applications for this position are accepted on a rolling basis, please note our office hires twice per academic year, near the end of Fall term for Winter term starting dates, and during Spring term for the Summer and Fall term of the following academic year. OSU-Cascades TOUR Ambassadors are generally the first face-to-face contact with prospective students interested in attending OSU-Cascades. Our team is an energetic, motivated, collaborative group that strives to highlight all that our campus has to offer. TOUR Ambassadors work alongside the admissions staff and serve as a representative of the University in recruitment activities (both in-person and virtual) including campus visits, events, and managing the Welcome Center. This is an excellent opportunity to share and enhance your school spirit with potential future Bend Beavs by representing and showcasing OSU-Cascades, providing insight from your own experience, build connections with prospective students and families, play a key role in the growth and expansion of OSU-Cascades, and invest in the future of this campus. This position is located in Bend, Oregon.

Position Duties

Collaborate and work with other students in a positive and professional team environment. Learn about the admission process alongside professional staff, growing your knowledge about your university and how we bring in new students. Sharpen skills in interpersonal communication, public speaking, professional development, and more.

Campus Visits and Events: Process, schedule and conduct campus tours Monday – Friday. Campus Tours include both in-person tours with prospective students and families, as well as virtual tours (via Instagram Live, Zoom, etc.)

Assist in a variety of other special projects, including: campus preview days, prospective student events, and open houses.

Assist admissions staff with recruiting efforts by presenting on student panels during high school visits and campus events.

Responsible for operating the Welcome Center during business hours. Includes greeting guests and answering questions, assisting drop-in visitors, helping with organizational and office tasks, including answering phones and emails.

Customer Service and Admissions: Serve as a resource and liaison for campus services and programs. Responsible for answering phones, returning voicemails, forwarding calls, and responding to email inquiries, all in a timely manner. Knowledgeable about OSU-Cascades programs and campus offerings and able to provide and community information to prospective students and visitors, especially pertaining to the admissions process.

Welcome visitors and provide assistance in a respectful, courteous, inclusive and professional manner.

Key Responsibilities
50% – Human Resources Support
Coordinate all aspects of the hiring process.
Communicate search kick off meetings with search chair and committee.

Key Responsibilities
80% Routine Cleaning

Cleaning and sanitizing of OSU-Cascades facilities, according to routine schedules as well as recurring, non-recurring and seasonal events. Areas include, but are not limited to: classrooms, laboratory spaces, hallways, restrooms, showers, conference rooms, offices, dining areas, residence hall rooms, kitchens and outside spaces. Work will be performed using environmentally-friendly cleaning products, state of the art equipment, and modern cleaning practices. Cleaning schedules will be established for daily, weekly, monthly, bi-annual, and annual cleaning. During academic breaks, deep cleaning of spaces will be required.

10% Facility Support/General Labor

The Custodian will perform basic facility repairs, assist skilled workers with building maintenance, move and arrange furniture, replace light bulbs, clear snow (by hand and using powered equipment), and assist with emergency response. Facility support also includes basic security tasks such as locking and unlocking buildings or areas of buildings, turning lights on and off, making rounds to ensure systems are functioning properly and reporting safety or security deficiencies.

5% Vehicle Operation and Servicing

Operates University vehicles to transport cleaning supplies and equipment between facilities. Dispenses lubricants, cleans and washes vehicles, screens returning vehicles for interior and body damage and operational safety sufficiency.

5% Other duties as assigned

The Custodian will provide emergency support as needed for the Department of Public Safety and for Housing and Dining. Other duties as assigned.

What You Will Need
Six (6) six months of experience performing routine janitorial duties in a commercial, educational, or public environment.

Working Conditions / Work Schedule
This position is deemed essential and the incumbent is expected to report to work during inclement weather, emergency and other University work curtailments or closures.

Duties of this position will require the Custodian to perform work in a variety of conditions, both indoors and outdoors. The Custodian is expected to be available to respond to emergencies and provide support for special events.

The Custodian must be able to operate cleaning equipment, lift bulky items weighing up to 60 lbs and move heavier items using appropriate equipment. The work requires long periods of standing and walking, use of ladders, bending, kneeling, and reaching into tight spaces and around obstacles.

The work includes exposure to adverse weather conditions, wet and humid conditions, dust and other airborne particles, toxic and caustic chemicals, blood, human and animal waste and other potentially infectious material. The custodian must be willing and able to use the appropriate personal protective equipment.

The work schedule will consist of regular time not exceeding forty (40) hours in a work week, will have set start and stop times, may include evening and/or weekend work and is subject to change, with appropriate notice, to meet operational requirements.

Position Summary

This recruitment will be used to fill one part-time (a maximum of 24 hours per week) Resident Assistant for the Office of Residential Education and Housing at Oregon State University (OSU) Cascades.

Resident Assistants (RAs) are employees of the Office of Residential Education and Housing.

Supervised by a professional staff member, the RA is expected to work to accomplish the objectives of Residential Education and Housing and to create and maintain an effective living-learning community within the residence hall. The position requires a positive attitude towards RA responsibilities and Residential Education and Housing and its mission. Overall job effectiveness is tied to the RAs ability to establish and maintain credibility and good rapport with residents, and University faculty and staff.

RAs are responsible for creating and maintaining emotionally and physically safe and secure residential communities. RAs called upon to effectively respond to and manage a variety of crisis and emergency situations. RAs play a key role in the Residential Education and Housing and Oregon State University–Cascades Emergency Management Plan.

RAs play a key role in creating environments that encourage all students to be academically and personally successful. RAs are relied upon to effectively implement department and University initiatives.

RAs are responsible for creating an inclusive environment and community through understanding, enhancing, promoting, and celebrating the uniqueness of our student residents and department staff.

Position Duties

1. Community Development

a. Facilitate and support the Community Development Plan as directed by your supervisor, including but not limited to engaging in intentional conversations with residents, creating bulletin boards, and executing outcomes based programming.

b. Engage in structured individual conversations with each resident in your assigned community, often requiring you to be persistent in the outreach to set up these interactions.

c. Know your residents and create and maintain strong positive relationships with residents and staff in the community through consistent individual resident check ins, group interactions, and events.

d. Identifying and facilitating connections and relationships between residents on the wing/floor.

e. Promote academic initiatives in the community and refer residents to academic resources.

f. Role model academic success and engagement through resident interactions.

g. Identify and respond to resident needs through consultation and referral of campus resources.

h. Create a safe space for relationship building across differences.

i. Facilitate a process to build community standards among residents.

j. Convene wing/floor meetings each term.

k. Be accessible on the floor/wing during evening and weekend hours to ensure availability to residents.

l. Work with your supervisor to determine your community needs to create and execute an action plan utilizing the community building tools.

m. Understand the demographic makeup of your residents to support First Year Experience, Second Year and Above, and Living-Learning Community initiatives.

n. Promote and practice social justice values within the community.

o. Develop ways to support personal well-being.

p. Promote, attend, and participate in all of the programming in the hall.

q. Work as support staff during campus programming as directed.

r. Develop a strong positive relationship with the student representatives and other student organizations.

2. Administration & University-Wide Support

a. Attend and participate in a weekly staff meeting, regular meetings with your supervisor, and any other assigned meetings.

b. Complete Duty Logs and Incident Reports appropriately and accurately.

c. Complete interaction logs summarizing and documenting conversations that you have with residents.

d. Check email twice a day and respond as requested.

e. Check staff mailboxes and hang up advertisements.

f. Complete bulletin boards and door decorations as assigned.

g. Report one-on-one resident interactions and community-wide programming as directed.

h. Participate in Hall Opening, Quarterly Transitions, and Closing. Complete housing services related tasks, such as occupancy reviews, health and safety checks, resident check-in and check-out inventories, and all other assigned tasks.

i. Participate in all training and orientation.

j. Check out items to residents using the appropriate software.

k. Demonstrate timeliness.

l. Provide feedback in the appropriate time, place, or manner.

m. Facilitate University assessment activities as required.

n. Assist with the recruitment and selection of new student staff members.

o. Complete basic customer service for Conference Service guests and assist guests with their needs or connect them to the appropriate person in Conference Services.

p. Work as support staff during campus and/or Residential Education and Housing programming.

q. Complete other tasks as assigned

3. Behavior & Crisis Management

a. Confront potential policy violations and behavior that is disruptive to the community.

b. Assist residents with developing strategies on how to resolve conflict.

c. Encourage residents to practice safety.

d. Understand, abide by, and support the OSU Student Conduct & Community Standards and all Residential Education and Housing Policies.

e. Communicate expectations of appropriate behavior and University policy information to residents.

f. Communicate any incidents and student/conference guest concerns to supervisor.

g. Understand and implement emergency response protocol and procedures.

h. Refer students and conference guests to appropriate support services as needed.

i. Communicate with the professional staff member on call during crisis response.

j. Communicate with residents the appropriate action to take in the event of an emergency.

k. Provide duty and desk coverage as assigned. This includes performing lock out assistance and other appropriate assistance as part of the desk and/or duty responsibilities for both summer students and summer conference guests.

l. Follow up with students after an incident to express care, support, or concern.

m. Role model behavior expected of students and conference guests as outlined in the OSU Student Conduct & Community Standards and all Residential Education and Housing Policies.

Meeting, Duty, and Training Requirements
• RAs are required to successfully complete required training sessions, including in-person trainings prior to the start of each term, supplemental trainings during the academic year, and online trainings.
• Summer Training may begin as early as June 8, 2024 and lasts until June 9, 2024. All RAs are expected to participate in training in its entirety.
• RAs may be assigned to duty shifts while classes are not in session, and on holidays when OSU is closed (Juneteenth, Independence Day, and Labor Day).
• RAs are responsible for Summer Transition, which includes being on campus during the last weekend of Spring Term (June 14-16), and the last weekend of Summer Term (September 13-15).

Additional Required Qualifications
• Be a current full time OSU-Cascades student or degree partnership student with OSU-Cascades and COCC with a cumulative Grade Point Average (GPA) of 2.50 or higher. Failure to do so may result in employment warning, probation, or removal from the RA position.
• RAs are required to meet full time student status. Given the time commitment needed to complete job responsibilities, enrolling in more than 16 credit hours requires prior approval from your supervisor.
• Maintain good academic and conduct standing with both OSU-Cascades and Residential Education and Housing.
• Must have lived in a residence hall or community living environment at least two terms.
• Demonstrate the ability to cultivate relationships with people.
• Demonstrate the ability to respond to conflict.

Working Conditions / Work Schedule

Typically, RAs work in a positive residence hall environments. While there are routine commitments, the RAs often encounter unpredictable and dynamic work schedules. The RA position routinely works indoors and most often during evenings and weekends. Occasionally, RAs encounter the following circumstances:

o Addressing high-risk medical and emergency situations.

o Experiencing periods of high stress when responding to student crises with a potential to cause secondary traumatic stress.

o Communicating with members of the OSU-Cascades community and the public, some of whom may be hostile.

o Lifting up to 10 pounds, and rarely up to 70 pounds.
